Start by separating contact details, session balances, curriculum, files and live subscriptions. A contact import does not migrate every part of a coaching business.
Workspace modes: the full workspace uses Create, Sell and Manage. Simple Mode uses a shorter menu, with Settings opening the management hub. Search can open tools permitted for your account; if a structured builder is not in the shorter menu, use Advanced Mode.
Set up the right workspace areas
- Clients: your coaching roster and individual records.
- Sessions → Availability: hours and calendar/video connections.
- Create → Programs/Resources: structured delivery and reusable material.
- Sell → Offers: what clients can purchase.
- Manage → Branding: Customize, domains and communication settings.
- Manage → Payments: business payment records and supported billing controls.
Import reviewed contacts
Keep a copy of the spreadsheet. Use the contact import flow, map fields and review names, email addresses, client-versus-lead status and any session-credit details. Each job accepts up to 250 reviewed rows, skips duplicates and respects the account's client limit. Review the import receipts.
Migrate other records deliberately
Historical progress, messages, media and live subscriptions are separate from contact imports. Rebuild or import only through the appropriate supported workflow. Do not cancel existing subscriptions before the replacement billing dates, payment methods and access rules are mapped.
Review before inviting clients
Use the intended client account to review access, content and booking links. Confirm offer prices, currencies and recurrence. For a large library or roster, provide support with record counts, file sizes and your planned transition date before assuming a one-click migration.
If the steps do not match what you see, contact support@coachful.co with the workspace URL, the action you tried and a screenshot without passwords or codes. Do not post client information in a public channel.
