Coaching Welcome Packet Template: Complete Client Copy
Nour
Founder, Coachful

A coaching welcome packet template should become a usable reference for the service a client has already agreed to. The client needs to find the next appointment, preparation, contact route and important documents without reconstructing them from several messages.
The complete example below includes a quick-start sheet and six finished sections. It is followed by an adaptation process and a fictional delivery check that catches both an access failure and an unclear privacy instruction.
Use the structure and original wording as a starting point. Replace every fictional fact and destination, check the current agreement and remove promises your actual service does not support. This is an operational document example, not a legal agreement template.
Decide what the welcome packet needs to do
The agreement establishes the relevant service arrangements. The welcome packet explains how to use them. A preparation worksheet gathers a small amount of context. A booking confirmation identifies an appointment. These records can link to one another without becoming one document with several conflicting jobs.
A welcome packet should not quietly introduce a new charge, confidentiality limit, recording choice or response promise. If the source documents disagree, resolve the discrepancy before presenting a polished guide as the answer.
The ICF Code of Ethics addresses clear agreements, responsibilities, confidentiality and information exchange. In practice, compare the welcome copy with the actual agreed service, including any sponsor arrangement.
A client also needs a way to say, “I received this, but I still have a question.” Receipt, comprehension, contract acceptance and permission to record are separate matters. Do not make one generic acknowledgment stand for all four.
A complete fictional quick-start sheet
The following packet belongs to fictional coach Rowan Lee of Elm Quay Coaching and fictional client Mina Shah. Its .example addresses are deliberately nonworking sample destinations, not real Coachful URLs. Replace them with actual checked links and contacts before sending your own version.

Today’s action: check the appointment details and make sure the welcome resource opens. Reply by email to tell Rowan whether those two checks worked, and include any question. That reply acknowledges practical receipt only.
Section 1: welcome, purpose and what is already complete
Welcome, Mina. Our four sessions will help you examine the career decision you bring, compare options and choose actions you want to investigate. You do not need to arrive with a final decision or a perfectly worded goal.
Our agreement is signed and your agreed payment has been received. No further signature, checkout or duplicate first-session booking is needed to start this engagement.
We will begin by agreeing what would make the first conversation useful. You can change your view as you learn. I will ask questions, reflect what I hear and help you examine options. I will identify any proposed teaching or advice so we can decide whether it belongs in our work.
This service does not include recruitment representation, legal advice, psychotherapy or a promise of a particular job or salary. If a different need emerges, we will discuss the appropriate scope and next step.
This opening says what is complete as well as what comes next. Replace it if the actual client still has an unresolved agreement or payment condition. A welcome document should not imply an incomplete gate has been satisfied.
Section 2: communication, audience and response schedule
For an included practice question, open our direct Coachful conversation with Rowan. Use the direct conversation, not a community post. In this fictional practice Rowan is the only team member with access to that coaching conversation; there is no assistant or additional coach reviewing it.
The service includes one short question about the agreed practice in each interval between our booked sessions. A reply addresses that question; further exploration can happen in the next session. Document editing, application reviews and continuous chat coaching are not included.
I reply on Tuesdays and Thursdays, 14:00–15:00 Europe/London. A question received by 12:00 on a review day will receive a reply by 15:00 that day. A later question moves to the next Tuesday or Thursday review. For example, a message sent Thursday at 16:00 is due a reply by Tuesday at 15:00.
The final practice-question deadline is 15 December at 12:00, with the reply due that afternoon by 15:00. There are no practice-question replies promised after that final round. Our final session remains 17 December.
For scheduling, documents or access problems, email
rowan@elmquay.example. I check administrative email Monday to Friday and reply by 17:00 Europe/London to messages received before 12:00; later messages move to the next weekday. There are no planned closures during this engagement.Messages are not continuously monitored and this is not an urgent-support service. If there is immediate danger or an urgent health need, use appropriate local emergency or healthcare services rather than wait for a coaching reply.
Notice how the schedule defines a cutoff, reply window and final round. “Access to your coach” would not convey these limits. Your real version must describe actual team access and any absence arrangements, rather than copy Rowan’s sole-practitioner setup.
Section 3: appointments, joining and changes
Your confirmed sessions are 5 November, 19 November, 3 December and 17 December 2026. Each is 10:00–11:00 Europe/London. They are already booked; do not use a new-client booking page to reserve them again.
Each appointment confirmation contains its own joining destination. The first is
https://meetings.example/elm-quay/mina-5nov. The remaining sample destinations end inmina-19nov,mina-3decandmina-17decat the same address prefix.Check the displayed date and timezone when opening an appointment. If your calendar displays a different local time, compare it with the confirmed Europe/London time and ask me if it is unclear.
For a change or cancellation, email me as soon as you can. Our sample agreement permits appointment changes without a separate change fee; an unheld session remains to be arranged under that agreement. I will confirm any replacement time in writing. Sending a request does not itself move the appointment.
If I need to cancel, I will contact you through our administrative email route and arrange the applicable rebooking or undelivered-service resolution under our agreement. If you want to end the engagement, use the same email route so we can confirm the remaining arrangements and any applicable refund. The packet does not replace those terms or applicable rights.
If the joining route fails at the start of a session, email me immediately. I check that inbox during the first ten minutes of each booked appointment. If we cannot establish a usable connection, we will agree another appointment; I will not count a failed connection as coaching delivered.
Keep change instructions consistent with the actual system and agreement. A simple email request is valid only when the coach really manages that route. Do not claim an automatic allowance restoration, refund or calendar change that has not occurred.
Section 4: optional preparation and participation
You may spend up to five minutes considering three questions: What has changed? What would I like to explore? What would help me participate?
You can keep the note for yourself, bring it to the call or send the relevant part through our direct conversation. It is optional. You can also arrive without a written note and choose a focus with me.
A completed example is: “I have been offered two project assignments. I want to compare their learning opportunities and workload. A written list of the options would help me follow the discussion.”
Please do not upload other people’s identifiable documents or sensitive records without first discussing a specific need. You do not need to provide a medical history to request a practical participation adjustment.
Tell me through email if the proposed format is difficult to use. We can discuss readable text, additional processing time or another suitable arrangement. We will confirm what is available rather than assume the same setup suits everyone.
The first-session questionnaire guide develops the choice of preparation questions. The welcome packet only needs the small set that helps the client begin; it should not repeat a full intake every fortnight.

Section 5: resources, documents and access help
Use the Coachful account you accepted for this engagement. The assigned welcome resource is titled “Mina: Career Decisions Welcome, Version 1.1.” It contains this packet. Your shared preparation resource is separate and is not required to attend.
To review the agreement, open My profile > Details > Agreements, then “Career Decisions, Version 1.” Open the signed copy and retain the PDF if you want an offline reference. You also already have the saved PDF supplied after signing.
If a protected resource says access is unavailable, email Rowan with the resource title and the account email you used. Do not send your password, authentication code or an unredacted screenshot containing unrelated personal information.
The plain-text welcome copy is available by email if portal access fails. That copy is a practical fallback, not a second agreement. Use Version 1.1 dated 2 November as the current operational reference.
A title is useful when a client reports a problem. “The link does not work” might refer to an appointment, invitation, signing page or resource. Ask which destination failed before changing visibility or sending another invitation.
Section 6: privacy, records and questions
You are the coaching client and payer. There is no employer or other sponsor receiving progress reports in this engagement. I will not contact your manager as part of the service.
Our sample sessions are not recorded or transcribed by an AI note-taking tool. I keep brief working and administrative notes as described in the agreement and privacy information. We can agree which actions to share with you; not every private working note becomes a client document.
Your unshared journal and takeaway pages remain private. Where enabled, Share with coach lets you deliberately share an individual page with me. Keep sensitive personal words unshared. If you want to discuss something from them, choose what to bring into the session or direct conversation.
The privacy information is at
https://elmquay.example/privacy, with a plain-text copy supplied alongside this packet. It explains the practice’s actual processing, retention and contact route. The confidentiality limits are in the signed agreement; this packet does not promise absolute secrecy or legal privilege. If you have a question, an objection or a concern about the service, email Rowan at
rowan@elmquay.example. You do not have to mark every step complete before asking. A receipt acknowledgment does not change the agreement or give new recording permission.
The actual privacy notice must contain the real information, not a link to a generic example. For UK processing, the ICO’s data-minimisation guidance connects the amount of information collected with its defined purpose. The page currently notes that it is under review following legislative changes. The principle is not a complete privacy-compliance checklist.
Adapt the template in a deliberate order
- Read the source agreement and service description. Extract the actual scope, appointments, support allowance, change arrangements and information recipients. Resolve conflicting terms first.
- Replace the fictional facts. Search for every name, date, version, email and
.exampledestination. Check the timezone and the last included response window. - Separate completed and pending actions. State what the client has already done. Keep unresolved agreement, payment or access conditions visible rather than generating another generic checklist.
- Match the actual audience and records. Verify who can read each channel or document. Rewrite the sample if staff, sponsors or a group are involved.
- Check the routes from the recipient’s position. Test invitation acceptance, the assigned resource, signed agreement and appointment destination using the permitted client view or an authorized nonsensitive test.
- Send the usable version and track questions. Record what was sent, what the client confirmed and what remains unanswered. Update practical instructions deliberately.
The agreement clauses guide can help organize issues to discuss with an appropriately qualified adviser. Do not turn a copy-editing exercise into an unreviewed change of consequential terms.
Worked handoff: a successful preview is not client access
Continue the fictional Rowan and Mina case. These events illustrate the check; they are not claims that we inspected a real customer account.
On 2 November Rowan opens the welcome resource in the coach view and sees its content. She sends Mina Version 1.0, assuming that a copied protected link is sufficient. Mina accepts her client invitation but reports by email that the welcome resource is unavailable.
Rowan checks the intended account and the actual resource assignment. The resource was not assigned to Mina. Rowan assigns the correct welcome resource through the normal client workflow rather than making it public.
At 10:30 Mina opens it successfully and confirms that she can find the 5 November appointment and her signed agreement. The access issue is resolved. That acknowledgment does not establish that she read every paragraph or accepted any new term.
At 11:00 Mina asks whether a “private chat” could be read by an assistant and whether she must post the preparation note there. Rowan checks her sole-practitioner setup and answers by email at 14:00: she is the only team reader, and Mina may bring preparation without submitting it.
Rowan changes the packet to Version 1.1, naming both facts. She sends the corrected text and version notice by email, updates the assigned resource and asks Mina to use that version. Mina acknowledges the clarification that afternoon. Rowan does not claim the earlier downloaded copy has disappeared.
On 5 November Mina joins the first appointment. She brings a private handwritten note and chooses to discuss the two project assignments. Rowan does not treat the missing online preparation response as a problem.
The handoff record contains separate outcomes:
| Check | Actual fictional result |
|---|---|
| Initial resource access | Failed; correct assignment then confirmed by Mina |
| Appointment and agreement | Mina located the existing records |
| Audience and preparation question | Answered; Version 1.1 delivered and clarification acknowledged |
| First session | Mina joined and used a private note by choice |
| Remaining service | Three sessions and their included support remain to be delivered |
This record supports a completed first handoff and a repaired instruction. It does not prove every future message will be timely, every access need is satisfied or the career decision will improve.
Deliver the packet through Coachful
Coachful is our #1 recommendation for keeping the welcome resource, agreement, preparation and actual client communication together. The setup should follow the client’s agreed service, rather than require a Program when none is needed.
For an individual resource, use Clients > client > Worksheets & resources > Assign. A copied private resource link does not grant access. Check the correct person’s account and assignment when access fails; a staff preview is a separate permission.
Review the invitation state too. Clients > Add client distinguishes an invitation to the platform from a record-only tracked client. In the invitation’s Essentials view, review the person, actual access, payment and final review. Do not charge again or send a new invitation to solve an unrelated resource issue.
Start a supported direct conversation through All messages > Direct and select the client. Check the real staff scope and client chat entitlement. A label saying private is not a substitute for checking the audience.
Keep the signed agreement in its own workflow. Signed copies retain the text signed. Template versioning can update eligible pending unsigned copies when that option is selected, while customized pending copies are excluded. Editing the welcome resource does not substitute for that process.

The illustrative Programs screen is relevant when a real service includes a Program. Rowan’s individual engagement does not need that extra structure. The Coachful features overview helps identify suitable resources and client workflows without implying the demo shows Mina’s account.
Make the finished copy readable and maintainable
W3C WAI’s writing guidance recommends meaningful titles, headings, descriptive links and clear instructions. Use readable text for essential information. A screenshot of a policy should not be its only available version.
Name links by their destination and job: “Join 5 November session” or “Read signed Career Decisions agreement.” Avoid five identical buttons called “Start here.” Keep technical help next to the step it helps the client complete.
Maintain one current operational version and retain the change history needed for the engagement. A corrected joining link can be a practical update. A changed fee or confidentiality arrangement requires the applicable substantive agreement process.
If a destination changes, update the resource and tell affected clients exactly which link changed. If an earlier copy contains a consequential error, explain it directly. Do not rely on the person noticing a quiet edit.
Frequently asked questions
Should a coaching welcome packet be a PDF?
A PDF, readable resource and plain-text copy can serve different needs. Choose formats the client can use and revisit. Keep essential instructions available as text, and check that the actual delivered version is accessible to its recipient.
Does the client need to sign it?
A practical receipt acknowledgment is different from accepting an agreement. Decide what the document actually does and use the appropriate process. Do not treat one generic checkbox as contract acceptance, proof of understanding and recording permission.
How much preparation should it request?
Ask for the small amount needed to begin. The sample offers three optional questions and permits private notes. If your actual service requires preparation, explain the purpose, realistic effort and alternatives before the client commits.
What if the client cannot open the resource?
Identify the exact destination, account and error. Check the actual grant or assignment and provide an appropriate fallback. Do not request credentials, assume the invitation failed or make a protected resource public without justification.
When is the welcome process complete?
Define the operational milestone. In the example, resource access, the appointment route, the agreement and an audience question are resolved before the first session. Later sessions and support remain separate obligations, not completed simply because the packet was sent.
