How Much to Charge for a 6-Month Coaching Program

How Much to Charge for a 6-Month Coaching Program

To decide how much to charge for a 6-month coaching program, price a defined service, not the duration alone. Count all delivery work, allow for business costs and payment charges, check capacity, then test whether suitable buyers choose the offer on clear terms.

There is no defensible universal price for six months of coaching. Twelve private meetings with reviewed material are different from a group course, daily messages or occasional check-ins. A useful answer explains the service, the numbers and the remaining uncertainty.

This guide works through an original fictional price of 1,860 USD, then follows the pilot through actual collections, delivery and a revised margin. That figure is not a surveyed market rate or a recommendation for every niche. Coachful is our #1 recommendation for organizing the scope, agreements, client work and payment records around the decision, not a guarantee that any price will sell.

Define what six months buys before choosing a number

Start with a client need that can use the period. Someone might want opportunities to try delegation practices and review experience across several work cycles. A single decision or a need for specialist advice may call for a shorter or different service.

Name the actual allowance. Twelve appointments, two per calendar month and a meeting every fortnight are not interchangeable promises. Work through dates, breaks, opening and closing conversations. State whether onboarding and the final review use the session allowance or are additional.

Define the surrounding attention: preparation, notes, material review, messages, scheduling and administrative work. “Support between sessions” is incomplete if the client cannot tell what they can send, who answers or when to expect a response.

Explain resources and access separately. A six-month service does not automatically mean every purchased file disappears at the end, nor that private coaching continues because a worksheet remains accessible. Choose terms suited to the service and applicable rights, then configure them accurately.

Also state the role. Coaching, training, consulting and clinical care involve different work and competence. A longer package or higher fee does not create expertise or authority. The ICF Code addresses agreements, roles, competence and changing value within its professional scope; it does not prescribe a six-month dosage or fee.

Build your platform

Build three separate views of the economics

Delivery cost and the owner's time allowance

List work in minutes or hours before multiplying by a rate. Count activity once: reading and replying during a block is handling time, not an additional block of uninterrupted preparation. Include shared sales and onboarding work through a stated allocation rather than assuming it is free.

Choose an internal time-cost target that reflects your business. It may include an allowance toward owner compensation, non-client work and time away. It is not automatically a take-home hourly wage or the rate a client sees. Explain which costs it already funds so you do not add the same allowance twice.

Allocate relevant overhead on an explicit basis. A fixed bill divided among five engagements looks different if only one sells. Recalculate when the denominator changes. Costs you omit remain omitted even when you call the remaining amount margin.

Contribution and a meaningful price floor

The SBA describes break-even as equality between cost and revenue and explains the distinction between fixed costs, variable costs and selling price. Its single-service formula is a planning estimate, not a guarantee of actual accounting profit. See the SBA's business-planning guidance.

For your own model, make percentage-based payment charges depend on the price, not on the amount you hope to retain. Include fixed charges for the expected number of payments. A cost-covering floor and a desired margin answer different questions.

A price above that floor can still be unsuitable. A buyer may not value this scope, the total may not fit their budget, or another service may meet the need better. The floor tells you when this model fails your economics; it does not create demand.

Cash timing and remaining obligations

Show when money arrives and when work and bills occur. An upfront payment or early installments can leave a large bank balance while months of service remain. It is not all available for personal spending.

Keep capacity for outstanding delivery and appropriate refunds, tax and other obligations. The exact reserve and accounting treatment depend on the business and jurisdiction. An internal service budget is useful, but it is not a completed tax calculation or a universal rule for recognizing revenue.

Work through the complete fictional costing

Eli designs a six-month private coaching service for five clients, including Rin. The purpose is to help each client compare career-role options and review actual information-gathering conversations, without promising a vacancy or employment outcome. The programme runs from 1 June to 30 November 2051. All people, demand observations, prices and cost assumptions here are fictional.

The offer contains twelve 60-minute meetings per client, including the midpoint and closing reviews. There are six written responses to accounts of up to 500 words, one per month. Each response is due by 17:00 UTC on the second working day after the agreed submission date. Their service calendar defines working days as Monday to Friday outside two agreed break weeks; submission dates are scheduled outside those breaks. A separate short-question allowance is fifteen minutes of coach handling per month, with an agreed Tuesday and Thursday response schedule. It is not continuous access or a daily promise. Clients retain the supplied text worksheets for their own personal reference after 30 November; live meetings and the question allowance end then.

Eli schedules onboarding before each person's first meeting across the first fortnight. Two clients have their first call in the first service week and three in the second, avoiding five onboarding hours plus five meetings in one eight-hour week.

Short-question handling, 15 minutes per month90
Onboarding outside the twelve meetings60
Allocated acquisition, payment and scheduling administration60
Closure administration outside the closing meeting30
Total1,500 minutes, or 25 hours

The shared administration allocation totals 300 minutes across five places. It includes handling the pilot inquiries, proposals and collections; it is not added again as a separate sales-time charge. Other general business activity is allowed for through Eli's chosen loaded time target and wider schedule.

That target is 50 USD per service-work hour. The time allowance is therefore 25 × 50 = 1,250 USD per place. A separately budgeted 300 USD of pilot overhead is allocated across five completed places, or 60 each. This overhead excludes the time allowance already counted.

Eli's hypothetical payment-cost assumption is 3% of the amount collected plus 0.30 USD per successful payment. These are invented modeling inputs, not the current fees of Coachful, Stripe or any other provider. A real practice must read its actual applicable charges, including additional invoicing or currency costs.

Calculate the floor instead of guessing the markup

Let P be the total price, collected in three payments. Modeled payment cost is 0.03P + 0.90. The amount remaining after the defined time and overhead allowances is:

P − 0.03P − 0.90 − 1,250 − 60.

For simple modeled cost coverage, set that amount to zero. P must be at least 1,351.4432… USD. At whole-dollar pricing, 1,352 covers these stated assumptions. It does not fund a separately desired margin or protect against omitted costs.

Eli instead wants the modeled remainder to be at least 20% of the selling price. That requires:

0.77P ≥ 1,310.90; therefore P ≥ 1,702.4675… USD.

He chooses a candidate total of 1,860 USD, payable as three monthly payments of 620. The modeled charge is 56.70, leaving 493.30 after the stated time and overhead allowances, approximately 26.52% of the price. This is a planning remainder before any unmodeled costs or personal taxes, not guaranteed net profit.

For the broader relationship between cost, value and demand, see our coaching package pricing guide.

Test demand and informed acceptance

Eli receives twelve suitable pilot inquiries through existing contacts. Five buy, four decline and three have not replied by the pilot's enrollment close. Those are outcomes in this small convenience cohort, not a representative willingness-to-pay survey or a conversion rate to project across the market.

Rin asks: “Does three monthly payments mean I can stop after the third month, or that I get only three months?” Eli answers:

“The service lasts six months, with twelve meetings and the written-response and short-question limits in the brief. The total is 1,860 USD. The three 620 payments on 1 June, 1 July and 1 August pay for that finite service; they are not an ongoing monthly membership. There is no fourth scheduled payment. Ending and any settlement follow the agreement and applicable rights, not a hidden assumption that every payment is nonrefundable.”

Rin receives the full service description, scheduled meetings, response arrangements, access promise and professionally reviewed change and ending terms before deciding. She declines an optional longer document-editing service. Eli confirms that writing or rewriting her team's work is outside this coaching scope.

She accepts and signs the intended agreement. Each of the five buyers has their own acceptance and payment record. A full-pay option, if offered, would need its own disclosed total; this pilot sells only the three-payment option, so there is no invented “discount” comparison.

The US FTC's small-business advertising guidance emphasizes truthful claims supported by evidence and warns about material omissions. A long service period or a refund promise does not substantiate claims of guaranteed promotion, revenue or permanent change. See the FTC advertising guidance. Keep the jurisdictional scope clear when applying it.

Check capacity before accepting more clients

Eli reserves eight hours of total pilot work per service week for 24 working weeks, or 192 hours. This envelope includes the counted acquisition and administration, not just live calls. The wider thirty-hour week also reserves sixteen hours for existing clients, four for other business work and two unallocated. The figures are an illustrative schedule, not a recommended working week.

Five places require 125 hours under the initial model, leaving 67 hours within the pilot envelope. That aggregate does not prove every week fits. Eli maps meetings, preparation, monthly responses, onboarding and payment handling on actual weeks before confirming dates.

During August, a review-heavy week is forecast to require eight and a half hours. He moves thirty minutes of nonurgent internal administration to the following week, which otherwise has seven hours planned. Actual work is eight hours in the first and seven and a half in the next. No promised response is postponed to create that fit; the moved work stays in the total.

He does not add a sixth client merely because total unused hours remain. That purchase would require its own calendar check, revised overhead denominator and realistic demand evidence. Empty capacity on a quiet week cannot answer an already full response window.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Follow a buyer's service through actual work

Rin attends her twelve meetings. Her first and last are on 6 June and 21 November; the ten between them are also scheduled within the agreed period. The closing review is the twelfth meeting, not an unpriced thirteenth. She submits six monthly accounts and receives all six written responses.

Rin submits her July account on Monday 3 July at 12:00 UTC. She has written “senior analyst opening confirmed,” but her manager Jo's actual message only gives permission to explore the work with a current role holder. Eli returns this feedback on 5 July at 16:00 UTC, before the agreed 17:00 deadline:

“Permission to learn about a role is different from an approved vacancy. Check that status with Jo before planning an application. You can still ask a role holder about the actual work, if they agree. Keep their availability and the employer's hiring decision separate from your interest.”

On 6 July Rin asks Jo: “Is there a currently approved senior analyst vacancy? If not, may I request a twenty-minute information conversation with Malik about the work? I will not describe it as an application or offer. Please reply by 10 July, 12:00 UTC.”

Jo replies on 7 July: “There is no approved opening. You may ask Malik for role information; he decides whether he has time. This is not an application or a job commitment.” Rin corrects her record and asks Malik for twenty minutes on 4 August.

Malik replies on 11 July that he cannot meet on 4 August but can offer 10 August, 10:00–10:30 UTC. Rin accepts that actual alternative at 10:15 that day. They hold the conversation on 10 August. Asked about stakeholder contact, Malik explains that his week usually includes one planning meeting and substantial individual data-quality review. This is his account of his own role, not a verified requirement for every analyst job.

Rin records that the actual work is less aligned with her preference for frequent stakeholder collaboration than she expected. She chooses not to pursue that particular path now. The employer has not rejected an application, and coaching has not obtained an offer. She declines an extra informal coaching call when Eli offers to discuss future scope, choosing the remaining scheduled sessions instead. No additional purchase is recorded.

At the November closing review, Rin values having checked the actual role before pursuing it. She also reports that a separate information conversation about another role was canceled and has not been rearranged. The record preserves that unresolved work issue. Eli does not turn an honest mixed review into a testimonial or claim the six-month price bought a guaranteed outcome.

Reconcile actual time, collections and the margin

All five pilot engagements finish with twelve meetings and six returned written responses each: sixty meetings and thirty responses in total. The fifteen scheduled payments of 620 USD are received, totaling 9,300 USD. The illustration assumes no refunds, disputes, failed payments or additional transaction charges occurred; another pilot must use its actual record.

Actual average time per place is 1,580 minutes, or 26 hours 20 minutes: 720 live, 270 preparation, 120 notes, 210 written-response work, 90 short-question handling, 60 onboarding, 80 allocated acquisition/payment/scheduling administration and 30 closure. The increases are thirty preparation minutes, thirty response minutes and twenty administration minutes. Active reading and replies are included in those categories.

Across five places, actual work is 131 hours 40 minutes, leaving 60 hours 20 minutes of the 192-hour pilot envelope. At the same 50 USD loaded target, the time allowance becomes 6,583.33 USD, rounded only for display. The whole-pilot reconciliation is:

Actual modeled accountUSD
Gross collected: 5 × 1,8609,300.00
Hypothetical fees: 3% × 9,300 plus 15 × 0.30283.50
Loaded time allowance: 131⅔ × 506,583.33
Separate pilot overhead300.00
Remainder after these allocations2,133.17

The remainder is approximately 426.63 per place, or 22.94% of gross price, calculated from unrounded values. The service fits the recorded capacity and exceeds the desired 20% margin, although actual work reduces it from the planned 26.52%. The additional work is real; it does not justify claiming that the target was missed.

All payments have arrived by 1 August, leaving 9,016.50 USD after the hypothetical fees, before time and overhead allocations. Months of service remain. To illustrate that timing without inventing actual monthly work records, spread the final rounded 6,883.33 USD time-and-overhead budget into five monthly allocations of 1,147.22 and a last allocation of 1,147.23.

In that retrospective allocation illustration, the first three months use 3,441.66, leaving 5,574.84 after fees. The remaining three use 3,441.67, leaving the final 2,133.17. These are internal budget allocations, not observed monthly labor or bank withdrawals, a financial statement or a tax determination. Actual work is supported by the 1,580-minute categories, not by an assumed even monthly distribution.

Make the next pricing decision from the actual result

With 26 hours 20 minutes per place and the same 60 overhead and hypothetical charges, the 20% target requires P ≥ (1,316.666… + 60 + 0.90) ÷ 0.77 = 1,789.0476… USD. A whole-dollar candidate floor is 1,790 under those assumptions. The current 1,860 already exceeds it; the time overrun alone does not require a price rise to meet that target.

Eli can retain the current candidate, test a different future price, improve a genuinely inefficient process or redesign an accurately described scope. He cannot quietly reduce current obligations or charge existing buyers the difference. He also checks whether 50 remains the right loaded target and whether the overhead and payment assumptions are complete before treating the new calculation as a decision.

If suitable buyers do not choose the service at a sustainable price, investigate fit and alternatives. A smaller service with less work can be legitimate. The answer is not automatically to discount the same scope until the time allowance disappears. Our rate-change guide separates future pricing from accepted client terms.

Configure and check the finite service in Coachful

  1. Write the service before creating a price. Include the actual purpose, twelve meetings, written responses, short-question allowance, dates, access and ending. Additional benefits text describes an inclusion; it does not itself grant resources or session credits.
  2. Select the real fulfillment. Choose the actual programme, resources and session type. If using the programme's sessions, keep that programme authoritative for its allowance rather than adding a duplicate Offer allowance. Review booking validity against the promised dates; descriptive copy does not set credit expiry.
  3. Choose the correct payment structure. Configure the finite total and eligible three-payment option, not an indefinite recurring membership. Review the complete amount, currency, installment count and schedule in the client-facing summary. A saved record or registration alone does not establish full payment.
  4. Use the intended agreement and audience. Obtain the actual client's informed signature and retain the accepted copy. An agreement is not automatic proof of payment or permission to share private accounts with an employer.
  5. Track delivered work and actual cash separately. Record meetings, responses returned, time and receipts. A private Coach review status is internal handling, not feedback delivered. Send promised comments through the agreed private client conversation.
  6. Close the real remaining obligations. Confirm outstanding installments, unused work and promised access. A partial refund that keeps access does not automatically stop future installments. Confirm actual provider cancellation where required before promising no further billing.

For summarized sessions, recaps send automatically by default. Check Approve before sending and the session-type override when review is needed, then deliberately Send recap or Keep private. This does not recall an already sent message. Agree what client material is shared; unshared journal pages differ from pages explicitly shared through supported specialty workflows.

The Coachful feature overview describes the wider workflow. Its demo screens and example prices are illustrations, not market evidence for this programme.

Use fair terms and troubleshoot the model

Define changes, unused work, coach cancellation, pauses and access failure before sale. For UK consumer arrangements, current CMA guidance cautions about blanket nonrefundable prepayments, disproportionate cancellation charges and hidden terms. Use appropriate legal review for the actual jurisdiction; the pilot's cost floor is not a lawful cancellation fee. See CMA fair-contract guidance.

  • The price covers costs only at full enrollment. Recalculate fixed-cost allocation at fewer buyers before committing to the cohort.
  • Payments finish before coaching does. Preserve a delivery and obligations budget rather than interpreting the remaining bank balance as profit.
  • Messages exceed their allowance. Clarify the actual need and boundary; track the time. Do not conceal the work under preparation.
  • The original purpose ends early. Discuss suitable remaining work or an appropriate ending under the agreement and rights. Do not manufacture another problem to fill the calendar.

Frequently asked questions

What should I charge for six months of coaching?

Use your defined scope, full work, costs, capacity and actual demand. The 1,860 USD case is a worked illustration, not a universal fee band.

How many sessions should six months include?

Choose and state the actual allowance and dates. Twelve sessions is one design; a genuine fortnightly schedule needs its own calendar check.

Must installments cost more than paying once?

No. Model the charges and relevant payment or credit requirements, then disclose each complete total. Do not invent a mandatory premium.

Is the amount above the time allowance profit?

Only within the stated model. Check overhead, refunds, tax and omitted obligations. Loaded owner-time allowances and actual take-home pay are different.

Can a longer programme guarantee lasting change?

No. Price the work you can provide, review its usefulness and preserve the client's real choices and circumstances.
