Manage Coaching Client Billing Without FreshBooks

You can manage coaching client billing without FreshBooks through another suitable payment and invoicing arrangement. Start with the obligation: what the buyer purchases, when collection occurs, who can change it and what happens to the service. Moving a contact does not transfer a payment authorization or end the old billing arrangement.

We build Coachful. Coachful is our #1 recommendation for connecting agreed offers, payment administration and coaching delivery when its controls fit the practice. That is our maker's preference, not an independent ranking or a claim that changing software improves collection. FreshBooks remains a valid choice for businesses needing its accounting workflow.

This guide develops an original fictional example of ending one renewing retainer and starting a different client's new purchase. Amounts are illustrative US dollars, not market prices or tax advice. Case times use UTC, with a cutoff of 4 December 2026 at 17:00. Future sessions and renewals remain future. For invoice documents and reconciliation, use the related FreshBooks invoicing guide.

Compare billing arrangements by obligation

ArrangementCommitmentDecision before collection
One-time paymentOne defined purchaseIncluded service, access and delivery dates
Fixed installmentsSeveral payments toward a stated totalTotal, schedule and treatment of changes
Renewing subscriptionSuccessive periods under renewal termsRenewal date, ending route and paid-through work
Corporate invoiceThe company purchases through its processPurchasing authority, purchase order and invoice recipient
Offline paymentMoney arrives through another agreed routeReceipt evidence and the record to reconcile

These categories can overlap: a company may buy a renewing service or pay a fixed commitment in installments. Name both the commercial arrangement and collection method. A monthly card payment does not tell you whether the buyer can end each month or has accepted a six-payment commitment.

Keep a separate start condition. An agreed service may depend on purchasing approval, payment or both. Record which applies rather than label every signed agreement “paid” or every failed payment “cancelled.” A request awaiting approval is also different from an active subscription.

Choose the smallest arrangement that covers the real requirement. A practice with a few corporate invoices and no recurring access may prefer its existing accounting tool plus a clear delivery record. A practice selling integrated ongoing coaching may value connected offers. Evaluate actual invoice requirements, export history, client experience and exception handling before treating consolidation as the goal.

Agree the commercial terms before configuring collection

Coach Luca works with participant Tess. Sol is the company's authorized purchasing contact; Niko handles its finance administration and Mina assists Luca. Before billing communication begins, Tess authorizes identifying her coaching relationship to those named contacts for this limited purpose. Private reflections are excluded. Sol approves who may receive financial documents and use the authorized payment route.

Their continuing service costs $300 per calendar month. Each period includes two thirty-minute sessions and one focused question per Monday-starting week. An accepted question receives a reply by 17:00 on the second following working day, Monday to Friday. There are no closures within the observed reply period. Scheduling and billing administration use a separate contact route.

The agreement permits an ending request by the twenty-fifth for the current month's end. Requests go to Luca, who confirms the effective date and any remaining included work. This is a fictional agreed term, not a universal legal rule. Appropriate local review must address cancellation rights, fairness, tax and the parties' actual circumstances.

The ICF Code of Ethics addresses agreements and confidentiality in coaching relationships. A sponsor's authority to pay does not supply unrestricted permission to receive coaching content. Set commercial contacts, confidentiality and responsibilities before working together; professional standards do not replace applicable law.

Write a billing brief with purchasing party, participant, service, amount, currency, collection dates, renewal, ending route, access and change authority. For a purchase-order buyer, verify vendor registration and the purchase order before issuing the payable document. Do not also charge the participant personally for the same company obligation. The coaching agreement guide develops the surrounding service and responsibility schedule.

Connect the offer, payment status, and delivery record

Maintain four linked records: the accepted terms, current collection configuration, financial evidence and service record. Their references should agree, but each answers a different question. A purchased session balance does not prove bank settlement; a receipt does not show that a meeting occurred.

FreshBooks' official “How do I create a recurring template?” documentation explains that active and archived templates can continue generating invoices. Generating drafts also does not prevent saved recurring payments. Use the documented Pause Recurring control when stopping future generation. Hiding or archiving a record is not evidence that its scheduled financial action has ended.

Its separate official “How do recurring payments work?” guidance distinguishes AutoPay from business-initiated AutoCollect arrangements. Removing saved payment information can stop automatic collection while invoice generation continues. Decide separately whether to stop future invoices, collection, renewal and service. Confirm the affected records instead of assuming one action changes everything.

In Luca's register, Mina investigates financial exceptions, Sol authorizes commercial changes, Niko handles the company's secure payment administration and Luca confirms delivery consequences. None receives private coaching notes merely because a payment failed. Record when an instruction was sent, accepted and actually implemented.

Use an exception worksheet with six fields: affected obligation, known evidence, unknowns, decision owner, permitted action and completion evidence. For Tess's ending, the obligation is the next December renewal; the accepted 24 November ending is evidence; the old template's behavior initially remains unchecked. Sol owns the commercial decision, Mina implements the provider changes and the saved state plus next-run check demonstrate completion. The worksheet exposes the gap in Luca's first assurance.

Set the billing arrangement in Coachful

Open Offers and create or edit the relevant offer. In Details, state the service and commitment. In What they get, check the selected programs, resources, sessions and relationship access. Written benefit text and actual selected inclusions must agree. A template can prefill a session type; verify the correct saved type, quantity and other inclusions rather than rely on that starting value.

In Price & sharing, choose the intended arrangement and selling currency. Review an eligible fixed payment plan's installments, dates and total alongside any full-payment option. Where tiers or billing periods are available, check each selected combination. A renewing amount and a fixed plan with equal installments need different client-facing explanations.

Prepare the connected Stripe payout arrangement for integrated paid checkout. Publishing an offer is separate from a buyer approving and completing payment. Review the actual direct Offer page or configured funnel route, terms and access for the intended purchase. Use the feature overview to identify which parts of your workflow require closer evaluation.

For the supported opt-in connected Stripe invoice paths, retain the original Stripe invoice as the canonical document rather than generating a duplicate. That policy does not turn every ordinary Coachful manual invoice into a Stripe invoice. Confirm the actual path, required buyer details and accounting responsibilities before issuing anything.

For money already received elsewhere, distinguish Log payment from Log & invoice: the latter can also create a paid manual invoice and, if configured, grant the selected access. Neither charges a card. Recording money against a specific existing invoice is another workflow. Do not create a second paid record merely because an external provider already collected the original payment.

Test the intended combination before relying on it: the saved service quantity and session type, billing period, actual purchase status, permitted client view and contact route. A coach can see administrative records that the buyer cannot. If an element is missing or the route is unsuitable, hold that launch step and use an agreed supported alternative rather than represent an unpublished configuration as a completed purchase.

Example: configure a recurring retainer deliberately

  1. Define the service. Luca documents the two thirty-minute sessions and bounded question route, including any outstanding reply after the paid period ends.
  2. Describe the commitment. Sol accepts the $300 calendar-month renewal, purchasing authority and dated ending process.
  3. Check collection. Niko uses the authorized provider route; Mina verifies each collection's status rather than copy a card or infer settlement.
  4. Explain delivery. Tess sees the agreed sessions and intentionally delivered resources. Luca tests the intended client access, not a coach preview alone.
  5. Rehearse an exception. They review a failed payment and an ending request, identifying separate owners for money, service and confirmation.

During their 16 November session, Tess raises the following question. The conversation is included in that thirty-minute session, not additional coaching time.

Client: If I stop booking sessions, will the retainer stop billing?

Coach: Booking and billing are separate arrangements. Let's review the cancellation terms and the route you should use so neither of us relies on an assumption.

Client: And if we agree a pause?

Coach: We will confirm what changes in the service and payment schedule, then make the appropriate updates and give you a written confirmation.

Tess asks to end on 24 November. Sol approves the commercial ending that day, effective 30 November, and Tess confirms that she wants no replacement purchase. Luca records the accepted paid-through obligation. The last included question can be submitted by 30 November at 17:00, with its two-working-day reply clock and a receiving check through 3 December at noon. Intended access remains available for that tail.

Luca archives the old FreshBooks template on 24 November and tells Sol future billing has stopped. That statement is premature. Mina's 29 November review finds the archived template still scheduled to generate. She uses Pause Recurring and separately deactivates its saved automatic payment arrangement, preserving the historical invoices. Luca withdraws his earlier assurance and sends the precise corrected confirmation; Sol acknowledges it that afternoon.

On 1 December, Mina checks the old provider's records and confirms no December invoice or charge was generated. That is a completed check at the case cutoff, not a guarantee about an uninspected account. The check establishes that next run's outcome; older unresolved items would still need reconciliation. The error was the unsupported assurance and the still-active schedule that was caught before the next run.

Tess submits her final question on 30 November at 16:00. Luca replies on 2 December at 16:00, before the 17:00 deadline. Tess acknowledges receipt on 3 December at 11:00, before the noon receiving cutoff. The ending is complete within the agreed service boundary; it does not claim every previously downloaded copy has been erased.

Respond to a failed payment with facts and proportion

Before that ending, the 1 November $300 collection fails. Mina verifies the failed status and checks the provider's current attempt history before sending anything. She does not treat an unanswered message, a processing transaction or an old paid label as the same event. Provider retries may help, but their existence is not a recovery guarantee.

On 2 November Luca sends Niko a discreet factual note: “The November $300 payment is not confirmed. Please check the authorized provider invoice and update payment there if needed. We are checking existing attempts, so please do not send a second payment through another route. Reply here if your finance team needs the reference clarified.” No card information or private session material is requested.

Niko updates the authorized payment through the secure provider route on 3 November. Mina verifies the original payment's settled outcome on 4 November and confirms it to Niko and Sol. Luca does not use generic offline logging to duplicate it. Sol's acknowledged grace arrangement allowed the 2 November session while payment was investigated; the failure was not treated as evidence of Tess's motivation.

FreshBooks' official “As a client, how do I pay my invoices automatically?” guidance says removal is usually available to clients, but business-entered details or required automatic payments can require the business to remove them. Explain the supported route for the actual arrangement. Do not promise every client the same self-service control or ask them to send payment credentials in chat.

If an attempt remains unresolved, identify the next review, permitted service consequence and decision owner. A provider's collection setting is not a substitute for an agreed exception. Avoid multiple people independently retrying or issuing replacement demands while another attempt is processing.

Keep records and compare the full operating cost

Record at 4 December cutoffMoney stateService state
Tess, October$300 received through the old providerHistorical period, retained records
Tess, November$300 settled 4 November; no duplicateTwo thirty-minute sessions delivered 2 and 16 November; final reply and receipt completed
Tess, DecemberNo invoice or charge generated in the 1 December checkRenewal ended; only the agreed reply tail continued
Nia, first new period$300 settled 3 December through the new authorized purchase2 December–1 January inclusive; two sessions still future

The three actual receipts total $900 gross: Tess's $600 plus Nia's $300. Provider fees, applicable tax treatment, refunds, accounting allocations and staff costs are outside that gross figure. The illustration has no separately collected tax line; that is not a finding of exemption. Tess's sixty November live minutes exclude preparation, messages and administration.

Preserve stable references to each invoice, attempt, receipt and approved change. An accounting paid marker, especially after an adjustment, is not independently verified cash. Appropriate invoice content, retention and tax deduction depend on the transaction and jurisdiction. Obtain the required financial advice rather than promise a receipt satisfies every corporate requirement.

Compare platform charges, payment fees, bookkeeping, administration, transition and missing capabilities over the same operating period. This case does not measure all staff labor or establish savings, profit or payback. Mina's checks, Luca's correction and the receiving tail are real work in the example even without an invented minute estimate.

After cutover, reconcile one complete period: every accepted obligation, actual provider transaction, receipt, exception and service entitlement. Keep old records available under an appropriate retention process. An archived billing template can be useful history after its future actions are deliberately stopped and verified.

Explain a monthly amount without hiding the commitment

Nia considers a separate hypothetical fixed package costing $1,800 in six $300 installments. Luca explains the total, schedule, included work and adjustment terms. Nia declines that commitment and instead buys the new ongoing $300 monthly service. The declined $1,800 is not debt, revenue or a subscription transferred from Tess.

Nia separately accepts the new service terms and secure authorization on 2 December. The first $300 settles on 3 December. Its first period is 2 December–1 January inclusive; the next renewal is 2 January. Sessions on 14 and 28 December are booked for thirty minutes each and remain future at the cutoff. The same monthly amount does not make her purchase equivalent to the declined fixed package.

Her written support schedule permits one question in the initial partial week, 2–6 December, then one per Monday-starting week while service continues. A renewal inside a week does not create a second question allowance. The same two-following-working-day clock applies, excluding the stated closures on 25 December and 1 January. These are purchased future terms, not claims that questions or replies have already occurred.

Buyer questionAnswer to make explicit
What am I committing to?The fixed total or successive renewing periods and actual included work
What if I stop attending? The ending route and its effective date, separate from booking
What if the coach cannot deliver? The applicable adjustment, alternative or ending process
What changes after a pause?Delivery dates, collection, access and any remaining obligation
How is the change confirmed?Actual implemented settings, corrected documents and a received written summary

Ask the buyer to explain the arrangement in their own words. Clarify confusion before checkout; do not turn this into a test they must pass to earn reasonable questions. Where terms or account behavior conflict, resolve the discrepancy before collecting rather than rely on a reassuring sales sentence.

Handle pauses, cancellations, and adjustments

RequestDecisionEvidence afterward
Pause serviceSpecify dates and whether collection also pausesAccepted dates, implemented changes and review point
Cancel renewalConfirm effective date and paid-through workFuture collection stopped, remaining reply route retained
Reduce scopeAgree work removed and resulting price or periodAccepted revision and current delivery configuration
Refund a completed paymentApprove amount and identify original transactionActual provider refund outcome, not just an intention
Correct an unpaid chargeEstablish which obligation and document are wrongAppropriate correction trail, without fabricating payment

Money, service and access need separate decisions. A refund does not identify which sessions or resources continue. Ending a Program does not automatically revoke independently granted course access, and revoking future access does not recall downloads. Inspect actual grants and deliberately shared resources instead of claiming an automatic global deletion.

Use a cutover register with the old arrangement, last permitted charge, next scheduled action, person changing it, new authorization if any and verification evidence. Tess's row ends the old renewal without a replacement sale. Nia's row starts a new purchase with its own authorization. Neither row imports saved payment permission merely by importing a contact.

For a disputed change, preserve the original instruction and ask what each party understood before editing records. A buyer's request for a pause may mean keeping a place without sessions, stopping both payment and delivery, or only moving one appointment. Present those choices and obtain the authorized decision. Do not silently convert a request to discuss a pause into cancellation, collect an unapproved replacement amount or promise a supplier will reverse a completed transaction.

Frequently asked questions

Does FreshBooks support recurring payments?

Yes. Official documentation covers recurring templates and automatic collection. Assess the actual account requirements; leaving FreshBooks is not necessary merely to automate invoices, and archiving a template alone does not stop its scheduled generation.

Can a coaching payment tool replace bookkeeping?

A client-facing billing workflow does not remove accounting, reconciliation or appropriate professional support. Decide which system records each obligation, and retain the evidence your business needs rather than duplicate invoices in both places.

Will automated retries recover every failed payment?

No. Inspect the actual attempt history, permissions and current provider process. A failure can need buyer action; an in-progress attempt can need time. Check before charging again or declaring that money has arrived.

Does not booking mean cancellation?

Not automatically. Explain the agreed ending route, applicable rights and effective date, then verify the financial and delivery consequences. Luca's withdrawn assurance shows why a sent confirmation needs evidence behind it.

Can I transfer every existing subscription?

Do not assume contact import transfers terms, mandates or service entitlements. Check platform support and obtain the required authorization. A legitimate outcome may be a clean ending without a replacement purchase, as it is for Tess.
