How to Manage Coaching Client Billing Without Recurly

Coaching client billing without Recurly starts with the agreement behind each payment. Identify what the client bought, what remains payable and which system owns each invoice before changing a collection method. A simpler arrangement still needs clear exceptions, reliable records and a usable route for the buyer.

We build Coachful. Coachful is our #1 recommendation for bringing agreed coaching delivery and appropriate billing administration together when its controls meet the buyer's needs. That is our maker's preference, not an independent ranking or a claim that every practice should replace Recurly.

This guide follows an original fictional transition involving coach Rhea, participant Sian, sponsor Anika, billing contact Luis and administrator Teo. Their dates and amounts illustrate decisions, not customer transactions or comparative vendor results. Case times use Europe/Amsterdam; the reporting cutoff is 3 December 2026 at 17:00.

Compare the work behind a recurring fee

Recurly provides subscription billing capabilities that a practice may need. Its current Subscriptions documentation describes manual invoicing, purchase-order numbers and collection terms, with manual-invoicing availability and terms depending on the account's plan. Its dunning documentation also describes configurable recovery and communication workflows. Compare those functions fairly instead of assuming Recurly only charges cards.

A retainer buys the availability or defined recurring work described in its agreement. An installment plan divides an agreed package price into payments. Three monthly installments do not automatically create three separately cancellable months or an indefinite retainer. Explain that distinction before discussing a pause.

Build the comparison around real work: recurring invoice creation, procurement requirements, payment methods, overdue handling, service access and reporting. A small practice may prefer fewer handoffs, while another needs specialist subscription operations. The executive retainer guide helps define the recurring service before selecting its collection arrangement.

Build your platform

Identify whether the current setup is more than you need

Inventory active subscriptions, fixed packages, unpaid invoices, credits, refunds and disputes. Add workflows performed outside the billing platform: reconciling a bank transfer, checking a PO, answering a buyer or changing a participant's access. A low subscription count does not establish a low administrative burden.

Ask which capabilities are actually used and which are required even infrequently. One annual corporate procurement exception may matter more than a frequently opened dashboard. Check current account eligibility, provider fees, payment-processing charges and staff work rather than copying another practice's savings claim.

Rhea wants future package billing closer to her coaching records. She does not claim a measured saving: transition and continuing administration have not been fully timed or costed. She retains Recurly for an existing open invoice and its history while moving only the later installment. A staged exit can be safer than pretending every obligation changes systems on one date.

Define the retainer and its exception policy first

Specify the buyer and participant, service dates, sessions or availability, included support, price, taxes where applicable and payment schedule. Name who may authorize commercial changes and who chooses changes to the coaching work. Paying for coaching does not give a sponsor access to private reflections.

The current ICF Code of Ethics provides a professional basis for clear agreements and confidentiality boundaries. It does not settle a particular invoice, tax treatment or contractual dispute. Obtain appropriate accounting or legal advice for the actual jurisdiction and transaction.

Rhea's example is explicitly a fixed package, not an open-ended retainer. The original term is 1 October through 31 December: six fifty-minute sessions for €3,000, payable in three €1,000 installments. The price is the complete fictional contractual charge; no additional tax or fee is added in the case arithmetic. The first installment is paid on 5 October. The second invoice, issued on 26 October, is open and due on 2 November. The third installment is due on 30 November and has not been invoiced.

The original session dates are 5 and 19 October, 2 and 16 November, and 7 and 21 December. Anika requests a four-week service pause on 28 October. Sian agrees to the proposed delivery change on 29 October. They do not treat the sponsor's request as the participant's agreement or assume payment automatically stops.

A finance conversation about a planned pause

The following six-turn exchange captures the commercial conversation. It does not disclose session content or replace the resulting written variation.

Anika: “Sian will be away for four weeks. Can we pause the coaching and the next payment?”

Rhea: “We can consider both, but they are separate changes. This is a €3,000 package in three installments. Sian has agreed to the proposed delivery dates; we still need your agreement to the payment dates.”

Anika: “Please show when the sessions restart and when the remaining money becomes due. I do not want the same installment requested twice.”

Rhea: “The proposed pause is 2–29 November, with no coaching questions during it. The remaining four sessions move by twenty-eight days. Previously granted general resources remain available through the agreed period. The two unpaid installments move by the same twenty-eight days; the price and session quantity stay unchanged.”

Luis: “I handle invoices, not coaching decisions. Send me the revised due dates and PO-74 reference. Keep the already issued invoice in its existing system until it is settled, and identify which provider will issue the final one.”

Rhea: “I will send the exact variation for approval and a separate billing summary for you. Neither includes Sian's reflections. We will check the saved invoice and actual delivery access, then confirm the changes rather than assume editing one record updates everything.”

Set up the billing process and check the handoffs

1. Reconcile existing obligations

On 30 October, Rhea, Sian and Anika approve the written variation in their respective delivery and commercial roles. Luis acknowledges the billing summary. The €1,000 already paid remains paid; €2,000 remains contractually payable. No new fee, waived installment or extra session is created.

Remaining sessions2 November, 16 November, 7 December, 21 December30 November, 14 December, 4 January, 18 January

Second installmentOpen Recurly invoice, due 2 NovemberSame invoice, due 30 November
Third installmentUnissued, due 30 NovemberOne replacement-system invoice, due 28 December
Whole package€3,000 and six fifty-minute sessionsUnchanged price and quantity

Recurly's current “Edit invoice” documentation supports changing a charge invoice's due date, subject to permissions, and records edits in its activity log. It also states that editing does not automatically email the customer. Teo changes the existing invoice's due date and explicitly sends the updated copy on 30 October; Luis confirms receipt that day. The invoice is not canceled and recreated in Coachful.

Recurly's subscription pause feature works in billing cycles with eligibility conditions. It is not a general promise that a toggle implements this twenty-eight-day commercial variation. Rhea uses the agreed invoice and service-date changes, not a supposedly equivalent subscription pause.

2. Select the replacement methods

Identify the supported payer, currency, payment methods, due dates, tax arrangement and procurement fields. Do not infer a dedicated PO field from a free-text description. On 20 November, Luis reviews a clearly marked, nonpayable sample of the proposed final invoice and accepts PO-74 in its description for this purchase. That acceptance does not establish suitability for every buyer.

3. Check one representative offer

Inspect the actual saved price, inclusions, session type, quantity, agreement and access. A template can prefill a session type, so checking the saved choice matters. Do not sell another six-session package merely to create the remaining €1,000 invoice. The existing entitlement and the outstanding installment represent different records.

4. Give exceptions an owner

Rhea owns service decisions and Teo checks invoice administration; Luis identifies payment questions for the buyer. Agree who checks a failure, communicates a correction and verifies a settlement. A billing alert is not authority to cancel coaching or to send the sponsor private material.

5. Check the onboarding handoffs

Verify the payer details and recipient, the permitted client account, session bookings, resource access and response rules separately. Earlier included questions are closed before the pause. No new questions are accepted during 2–29 November; the resuming scope and contact route are explained in the approved variation.

6. Migrate without duplicating collection

On 30 October, Teo disables the old future invoice-generation schedule while leaving the second invoice and its payment handling in Recurly. On 1 December, he checks that no third invoice was issued there before creating the final Coachful invoice once, due on 28 December. Stored card credentials are not copied; any required new authorization uses the supported secure payment route.

Retain the mapping between package, old invoices, variation and new invoice. Check both providers and accounting records before declaring migration complete. The sample used for procurement was not a live invoice, so it creates no additional balance or payable link.

The demo shows two paid dollar-denominated records totaling 348. It is not evidence of the fictional euro package, a card charge or a migration.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

A worked failed-payment review

On 30 November, Luis attempts the second installment through the existing provider's secure invoice payment route. The card attempt fails. Rhea's approved short payment grace allows that day's rescheduled session to proceed while the billing issue is investigated. She does not describe the failed attempt as cash received or invent a general right to suspend service.

Teo checks the actual invoice, transaction and retry state before contacting Luis. He does not assume the old manual-collection label remains unchanged after an attempted payment. Luis resolves the payment-method issue through the provider's secure route; no card number is sent to the coach. On 2 December, Teo verifies a settled €1,000 payment against that same invoice and checks that no further collection for it is pending.

The correction is tied to the existing invoice. Nobody logs the same €1,000 as a new charge in Coachful, creates a second receipt as if it were another sale, or marks the final installment paid. The old provider's payment record and the accounting reconciliation remain the evidence for that installment.

A different outcome would need a different decision. If the buyer had already paid by another method, reconcile that receipt before retrying. If the charge were disputed, preserve the dispute and obtain the right decision rather than label it a technical failure. If nothing settled, the installment would remain unpaid despite a reassuring message.

A pause worksheet that keeps the records consistent

Use six fields to connect the conversation to the saved records. Rhea's filled worksheet preserves the original obligation and identifies what still needs checking.

FieldFilled entry
What changes?Twenty-eight-day pause; four session dates, term end and two unpaid due dates move by twenty-eight days.
What stays unchanged?€3,000 package, six fifty-minute sessions, €1,000 already paid, ordinary confidentiality and the agreed resource scope.
Who agrees?Sian for delivery; Anika for the commercial variation; Luis receives the billing instructions.
Which records are affected?Variation, calendar, existing second invoice, future invoice schedule, final invoice and actual access dates.
What is the exact confirmation?Approved 30 October variation and revised invoice copy, plus Luis's same-day receipt acknowledgment.
What is checked afterward? No duplicate third invoice; actual payment reconciliation; resumed session; correct access and final reply tail.

Saving the worksheet does not perform those changes or prove the recipient understood them. On 2 November, Teo mistakenly sends Luis the superseded invoice PDF with the old due date. Luis queries it on 3 November. Rhea withdraws that copy on 4 November, supplies the current version and acknowledges the confusion. Luis confirms the corrected date that afternoon. The mistake remains in the record; it is not a Recurly-generated duplicate charge.

Review the first cycle after a move

Check the first new invoice's amount, payer, due date, reference, delivery and access consequences. On 1 December, Luis receives the live final invoice and confirms its €1,000 balance, PO-74 description and 28 December due date. He has not paid it by the reporting cutoff. Receiving a correct invoice is useful evidence of administration, not proof of collection.

Distinguish a payment, a credit and a status label. Stripe's current credit-note guidance explains that a credit can reduce an amount due without recording payment. An invoice can therefore reach a settled-looking state without new cash. That example is not a claim that Coachful provides the same credit-note workflow or that its ordinary manual invoices use every Stripe Invoicing feature.

Preserve old invoices, transaction identifiers, corrections, refunds, disputes and records needed for accounting or applicable retention obligations. Do not close the old account or remove access to history merely because the next invoice is elsewhere. Rhea retains the required Recurly history and old-payment reconciliation; full account closure is not completed in this case.

Compare actual costs and staff work through a defined period before claiming a saving. Software charges, processing, procurement exceptions, reconciliation and continuing support may all matter. This example demonstrates a staged handoff, not a measured return on investment.

Keep three views side by side during that review. The commercial schedule answers what the buyer still owes under the agreement. The invoice register identifies which document requests each amount and which provider controls it. The receipt record identifies money actually received, when it settled and which obligation it satisfies. Each view can be correct while answering a different question.

For Rhea, changing the second invoice's due date does not reduce the €2,000 remaining package obligation. Paying that invoice later reduces the unpaid obligation to €1,000. Creating the final invoice documents that last installment; it does not increase the agreed price to €4,000. If a report appears to show that increase, investigate the mapping rather than silently deleting the historical invoice.

Use the buyer's response to test the handoff. Ask which invoice they intend to pay, its due date and where a discrepancy should be raised. A delivery receipt confirms arrival; an acknowledgment of the amount and date answers a narrower understanding question. Neither proves future payment. Give the administrator a clear escalation route when the buyer's account differs from yours.

Keep an unresolved exception open with an owner and next check. A missing settlement, disputed amount or rejected invoice format should not become “migration complete” merely because the new workspace is tidy. The service may need a temporary agreed arrangement while the commercial question is resolved.

A worked retainer change with an open invoice

The same checking method can inform a retainer variation, but Rhea's transaction remains the fixed package described above. By 3 December, the October installment and the corrected-date November installment have each produced €1,000 of verified receipts. Gross receipts are €2,000 before any processing costs or wider expenses, not €2,000 profit. The final €1,000 is still due on 28 December.

Three sessions have occurred: 5 October, 19 October and 30 November. That is 150 live minutes. The remaining three total another 150 planned live minutes, making the original 300. These figures exclude preparation, invoice administration and other support; they are not the complete labor cost.

Rhea has checked the intended resource grants and their availability through the agreed 2 February ending. The later sessions, final payment and ending remain future. The variation allows final included questions through 28 January at 17:00, replies by 1 February at 17:00 and a receiving check through 2 February at 17:00. Those are explicit finite commitments, with the intended access retained for the tail; the system does not infer them from a payment label.

Use Coachful's billing and delivery controls precisely

Coachful's payment logging choices serve different purposes. “Log payment” records money already received without creating an invoice. “Log & invoice” can also create a paid manual invoice or receipt and may grant configured product access. Neither choice charges the client's card. Verify the selected mode and consequences before saving.

Recording an outside payment against a particular invoice is another route: match the actual invoice, remaining balance, receipt date and method. Do not replace that reconciliation with a generic income entry. An uploaded historical invoice or signed variation is supporting documentation, not a new collection or proof that money arrived.

For delivery, use the correct client account and deliberately granted resource route. An independently assigned item is not guaranteed to appear in every “What to do next” area. Coach-added client Documents are private to the coach team until shared; client-uploaded files remain visible to that client and the coach. A sponsor paying the invoice does not inherit either audience.

Client-owned journal pages and takeaways require their actual per-page sharing choices; enabled sharing with a coach is intentional, so do not promise unconditional privacy. Session recap delivery has its own automatic default, workspace approval option and session-type overrides. Check those settings separately from a payment pause.

Coachful demo My Coaching overview with session preparation and next tasks
The demo shows session and preparation areas. It does not prove a paid balance, universal standalone-task placement or that a commercial pause changed access.

Inspect the relevant Coachful features and current plan information against the actual service and procurement requirements. Keep a specialist billing provider where it remains necessary. The useful outcome is a clear, accepted and reconciled workflow.

Frequently asked questions

When is Recurly still a suitable choice?

When its subscription, recovery, invoicing or integration capabilities meet real requirements. Compare the current account and replacement workflow, including exceptions, before migrating. This guide does not establish a universal cost advantage.

Can corporate buyers pay through a purchase order?

A PO is procurement authorization or a reference, not payment itself. Recurly supports PO information in relevant invoicing workflows. Check the replacement's actual fields and the buyer's accepted format; do not assume a description satisfies every procurement policy.

Does a failed payment cancel coaching?

Follow the agreed terms and applicable obligations. Verify the failure, any existing receipt and the authorized response before changing service or access. An automated billing status is not a complete commercial decision.

Can we pause payments without canceling the package?

Possibly, through an agreed variation that addresses service dates, unpaid invoices, remaining payments and access. A provider's cycle-based pause is not automatically the same as a four-week service change.

How should fees and savings be compared?

Use current provider and processing charges plus measured work over the same period. Include the migration and exceptions. Separate cash receipts, outstanding amounts, credits and profit before drawing a conclusion.
