How to Manage Client Documents Without OneDrive

To decide how to manage client documents without OneDrive, map the coaching work before moving files. Identify what the client needs to prepare, which original belongs to the employer, who may see each item and what happens when a version changes or the engagement ends.

OneDrive can remain the right home for company-controlled material. A coaching workspace can organize the permitted preparation and follow-up around it. The practical aim is an understandable document workflow, not a second repository containing everything the client can access.

We build Coachful. Coachful is our #1 recommendation for organizing documents alongside coaching delivery when its actual access controls fit the agreement. That is our maker's editorial preference, not an independent security or compliance ranking. Permission, ownership and appropriate handling still need attention.

Separate storage from the coaching document environment

Microsoft's external-sharing guidance explains that OneDrive and SharePoint can support outside partners and clients, subject to organization and site settings. The more restrictive applicable setting governs. A blocked invitation may express an intended policy boundary rather than show that the service cannot work with clients.

A coaching document environment starts with the engagement: the accepted scope, next preparation, shared action and review. It need not replace the employer's storage, assessment provider or authoritative version. Link or refer to an original only where that route is permitted.

QuestionDecision to record
Where is the original?Name one authoritative location for each purpose
What is needed?Keep only the permitted material useful for coaching
Who is the audience?Distinguish client, authorized coaching staff, sponsor and group
How will it be used?Connect it to preparation, discussion or an action
When does access change?Agree review, handover and retention responsibilities

A single location can contain records with different audiences. Conversely, one engagement can legitimately use several approved locations. Judge the arrangement by whether the client can understand and use it, not by whether every file has moved into a coaching portal.

Investigate sharing friction without bypassing policy

Check the intended recipient identity and the account actually used. Ask whether the sender granted access or merely sent a reference to existing access. If the document owner needs to correct the invitation, use that authorized route rather than copy confidential content into a public location.

Microsoft distinguishes an existing-access link, which changes no permission, from a Specific people link. It also notes that other people may already have access and that administrators can restrict sharing choices. The selected link audience is therefore only part of the access picture.

A view setting should not be treated as a universal no-download or no-copy guarantee. Check the actual policy and available controls with the owner. A senior executive's access does not automatically authorize export of employee comments, licensed assessment items or confidential plans.

When policy prevents sharing, a permitted client-written description may be sufficient. Removing names is not automatically enough: a distinctive situation can identify someone, and a licensed questionnaire can remain protected without respondent names. Confirm the exact material and use before receiving it.

The ICO describes personal information as needing to be adequate, relevant and limited to the purpose. Its guidance is under review. Decide what the coaching question requires rather than collect the whole report because storage is available. An incomplete or misleading summary also needs correction; minimization does not mean ignoring necessary context.

The demo Agreements page files signed PDF agreement records. It is not a general OneDrive import screen or proof that every document may be copied.

Organize five parts around the coaching work

  1. Agreement and scope. Keep the accepted version and instructions relevant to each party.
  2. Preparation. Use one focused question or resource linked to the next conversation.
  3. Shared follow-up. Identify the action or summary and its actual audience.
  4. Private coach records. Handle internal notes separately from deliberately shared material.
  5. Review. Recheck access, version and retention when the purpose changes.

Give each item a meaningful title, purpose, owner and audience. “Session 2: delegation themes, V2, 12 November” gives more direction than “Assessment_FINAL_final.” Where a revision matters, state the current version explicitly and explain what the older copy should no longer be used for.

Separate a reusable blank worksheet from the client's submitted answers. Reusing the blank does not make personal responses suitable for a group library. Explain whether the response is visible to authorized coaching staff and what reading commitment accompanies submission.

The client onboarding checklist helps place these instructions in a coherent welcome. For questions and responses, the intake form guide develops the distinction between collecting information and making useful preparation.

Ask about authority before accepting a sensitive assessment

The original fictional case concerns executive Nadia and coach Tess. Nadia has a company-sponsored 360 report. Their forty-five-minute preparation session on 2 November 2026 includes this conversation:

Nadia: The report has everyone's comments. Should I upload the whole thing?

Tess: What are you authorized to share outside the company, and what would help our goal?

Nadia: I need to check the policy. I want to examine delegation and my response to challenge.

Tess: We can discuss your account today. If we need a document later, agree the permitted scope and audience first.

Nadia: I could prepare a page of themes and two situations, without identifying colleagues.

Tess: That may be useful, subject to the actual permissions. Let's also decide whether we need to retain it afterward.

Company information owner Keir confirms an approved guest-view route for Tess on 5 November. The full original stays in the company's OneDrive. The permission allows viewing for this engagement, with no download or copying of the original. It does not authorize screenshots, a personal-email attachment or onward sponsor reporting.

Assessment administrator Basil checks the applicable provider license and confirms on 6 November that Nadia may prepare the specified one-page account in her own words, without assessment items or verbatim respondent comments. Keir separately approves the company-information scope. These are completed fictional checks, not an inference that anonymizing any report grants permission.

Nadia's approved V1 identifies delegation and response to challenge as themes and includes two anonymized situations. Tess distinguishes Nadia's interpretation from the original report and from an independently established fact about every respondent. The full assessment is not uploaded to Coachful.

Use a small access matrix before migration

The matrix below is a planning record, not a permission configuration. It covers six distinct items in Nadia's engagement. Record the actual recipient routes and responsible people separately from a label saying private.

ItemAuthoritative location and purposeAudience and boundary
Full 360 originalCompany OneDrive, controlled assessmentApproved guest view only; company owner governs access
Signed commercial agreementAgreements record and appropriate retained signed copyContract parties and authorized administrative handling
Blank practice worksheetReusable coaching resourceDeliberately granted to Nadia, not all clients by implication
Completed preparation responseNadia's individual response recordClient and authorized coaching access, not sponsor or group
Permitted one-page themes accountCurrent V2 coaching copy after revisionNadia and authorized coaching staff; no automatic sponsor access
Internal coach review noteSeparate coach-side reviewInternal record, distinct from a summary delivered to Nadia

The signed agreement copy and permitted themes file are appropriate document records. Granting a blank resource is a different operation from migrating a file, and an existing response is not recreated merely to make every item look like an upload. The company original and internal coach note keep their separate boundaries.

Check whether actual staff permissions match the intended arrangement. A coaching team can include authorized administrative or privileged roles; a coach-private label should not promise that only one named person can ever access it. If a location cannot implement the intended audience, choose another approved route or reduce what is retained.

Pilot the permitted file and confirm client access

In the fictional pilot, Tess files the approved V1 themes account against Nadia's client record on 9 November. As a coach-added document it begins private to the coaching team. Tess deliberately shares that item with Nadia, whose linked client account is active. Nadia opens it on 10 November and confirms it is V1.

The distinction matters: a staff member seeing an uploaded file is not client receipt. A share notice being queued is not an opened document. Conversely, files Nadia uploads herself remain visible to Nadia and the coach; they do not become hidden from her just because the coach files other items privately.

The blank practice worksheet is separately assigned and its client link supplied on 9 November. Nadia opens and submits it on 10 November. This is a recorded client response, not staff preview. Tess does not create a Program or promise that every standalone worksheet appears in What to do next.

Before wider migration, use the pilot to check title, audience, actual access and instructions. Keep a clear record of what stayed in OneDrive. Avoid two locations both claiming to hold the current assessment when one is the restricted original and the other is only an authorized client-written account.

Test a small pilot before retiring anything

Use the following original sequence for each proposed move. First, identify the source and permitted purpose. Second, inspect the actual content rather than trust the filename. Third, verify the intended destination and client identity. Fourth, test the agreed recipient route. Finally, record what happens to the earlier reference and any copies already supplied.

Check the document itself after filing: the correct person, readable pages, complete attachments and the expected version. A plausible title can sit beside the wrong PDF. If you discover an error, stop onward sharing, follow the appropriate handling process and establish what was actually received before claiming that changing the title resolved the problem.

Ask the client to identify the current preparation item and explain where they would find the next action. This checks the navigation instruction without asking them to reveal private answers. If they cannot distinguish the assessment original from the coaching summary, improve the explanation before adding more resources.

A concise handover instruction might say: “Use the dated V2 themes account for preparation. The complete assessment remains in the company's approved repository. The older coaching copy is obsolete. Tell me if the permitted current item does not open, and keep private answers out of a group message.” Adapt it to actual permissions and support terms.

Do not retire the source just because one upload succeeded. Check whether it remains authoritative for another purpose or recipient. A pilot can end with a decision to retain OneDrive, simplify only the coaching instructions or postpone a move until the owner resolves permission questions.

Which one looks like you?

Handle a revised document without two current versions

On 12 November Nadia corrects an interpretation in her themes account. Keir and Basil approve the exact V2 within the same limited purpose. Tess receives it that day and adds the V2 coaching file on 14 November, but leaves V1 shared too. Both titles remain visible to Nadia.

At their fifty-minute session on 16 November, Nadia asks which version Tess used. Tess acknowledges that she missed their agreed preparation commitment to read V2 by 13 November at 17:00. She had looked at V1 instead. Uploading the newer file did not establish that the coach reviewed it.

They spend fifteen minutes of that same fifty-minute session reading and discussing the selected V2 passage together. This time is nested within the session, not another fifteen coaching minutes. Tess asks which interpretation Nadia wants to examine instead of claiming to have read the complete source report.

On 17 November Tess labels V1 obsolete and stops sharing that coach-added item. Nadia opens V2 and acknowledges the correct current version on 18 November. This fixes the portal's competing-current-copy problem; it does not retrieve the V1 download Nadia had already made on 10 November.

Microsoft's version-history documentation describes viewing, restoring and tracking earlier file versions, with a restoration becoming the new current version. Use the actual repository's supported history when appropriate. Uploading a copy to a coaching workspace should not be described as importing OneDrive history or automatically preserving every version's permissions.

If a historical copy needs retention, record why and restrict its use appropriately. Do not silently overwrite an accepted agreement or treat a new attachment as a signed amendment. An assessment interpretation, a reusable worksheet and a contract change have different version and approval requirements.

Connect documents with a realistic reading commitment

Ask what question the document should inform and which passage matters. A long strategy pack may need only a permitted reference and a short explanation of the decision. If policy prohibits external access, do not request a complete upload simply to make preparation easier.

Agree the arrival deadline, the amount you will read and what happens if either party cannot meet it. Tess's missed V2 reading commitment belongs in the account even though she uploaded the file. The shared reading in the session is a repair, not evidence that preparation happened as promised.

Afterward, name the action and supporting document precisely: use the opening on V2 page one to prepare the chosen delegation request, rather than “review materials.” Invite factual corrections. A client's challenge to the coach's summary should not be treated as resistance to feedback.

Keep permission for a source separate from permission for a later audience. Approval to use the themes page in individual coaching does not authorize copying it into a sponsor update, group case or marketing story. Prepare a separate minimum account where reporting is agreed.

Finish the handover and retain the missed deadline

Nadia and Tess hold a thirty-minute closing conversation on 26 November. With the forty-five-minute preparation and fifty-minute middle session, the example contains 125 client-coaching-live minutes. It excludes reading outside sessions, correspondence, administration and company effort; it is not whole-engagement labor.

Nadia approves the exact final private account and a separate short work-progress statement that day. It records the chosen delegation action and remaining review, without the assessment page or respondent comments. The original sharing permission is not used as a blanket sponsor waiver.

Tess promises Nadia the final private copy by 26 November at 17:00 but sends it on 27 November at 09:00, sixteen hours late, with an apology. Nadia acknowledges at 09:30. Tess sends the separately approved work statement to sponsor Deen at 10:00, and Deen acknowledges receipt at 11:00.

Those receipts establish that the intended copies arrived. They do not establish the success of Nadia's future delegation conversation or that Deen has assessed the underlying 360 evidence. Nadia's personal account and the sponsor's limited statement remain different records.

After Nadia and Tess agree that guest viewing is no longer needed, Keir removes Tess's OneDrive guest access on 27 November. Tess checks that the original no longer opens. She has not downloaded the full report. Nadia marks her earlier V1 copy obsolete; Tess does not claim to have remotely erased Nadia's device.

The coaching agreement ends on 30 November. At the 27 November 12:00 cutoff, the final retained-record review scheduled for 7 December remains future. Ending guest access, stopping a shared item and deleting every retained record are separate actions. No backup erasure, universal export or automatic deletion is claimed.

Review retention by purpose rather than by platform

The ICO's storage-limitation guidance calls for justified retention periods and periodic review; it does not set one universal period for every record. Its guidance is under review. Identify the purpose and applicable obligations for each category, including a signed agreement, preparation response and temporary assessment summary.

Explain what the client receives and what remains necessary to retain. A downloadable copy is different from continuing portal access, and revoking a sharing link does not recall a copy already held elsewhere. Consider the actual handling process for local downloads and other recipients rather than promise complete deletion from a button click.

Revisit the access matrix when a sponsor changes, a coach hands over or a client joins a group. Historical permission need not cover a new use. Check client identity, actual staff roles, current versions and outstanding delivery commitments before calling the document work closed.

Use Coachful's actual document routes

In Advanced mode, open Clients, the client, then Documents. In Simple mode, use Clients, the client, More options, then Documents. Coach-added files and links begin private to the coach's team until that item is deliberately shared. Client-uploaded files remain visible to the client and coach.

For an existing coach-added item, use its menu to Share with the client. The Shared badge identifies that state; Stop sharing hides that item again from the client. Sharing requires an account-backed client. Check the resulting client route and receipt rather than equate a saved record with delivery.

File an already signed PDF through Agreements when it belongs in that record, checking the matched client and document. Uploading it records an existing agreement; it is not a new signature, legal validation or permission to upload an employer's restricted assessment.

For preparation, deliberately grant the intended resource and use the correct client link. An internal Coach review can help organize staff thinking, but it is separate from the client-facing account actually received. These distinctions help make Coachful's client delivery features useful without overstating a storage migration or privacy guarantee.

Frequently asked questions

Can OneDrive share files with external coaching clients?

Yes, subject to the actual configuration and policy. Check the approved identity, invitation and access route. A disabled option may be intentional. Do not advise exporting confidential content to bypass the organization's restriction.

Should every file move into the coaching portal?

No. Keep restricted originals in the approved repository. Move or reference only material with a continuing purpose and authority. The worked case keeps the full 360 in OneDrive and handles a separately permitted one-page account in coaching.

Does a portal guarantee confidentiality or compliance?

No universal guarantee follows from the label. Check real audiences, staff permissions, provider terms and the engagement's requirements. A login, a private-looking title or an upload confirmation does not establish ownership, authority or the complete handling arrangement.

Can the sponsor receive the assessment?

Only through the appropriate permission and actual access arrangement. Paying for coaching does not automatically entitle a sponsor to respondent comments or personal reflections. Nadia's approved work statement is intentionally narrower than her assessment and private account.

What should happen when coaching ends?

Arrange the agreed handover, confirm actual receipt, review access and retain information only for justified purposes and applicable obligations. State what is complete and what remains pending. Removing a link or hiding an old version does not erase every downloaded or retained copy.
