How to Raise Coaching Rates: Email Templates

If you are deciding how to raise coaching rates, start with the actual price change, when it could apply, what service it covers and what choices the recipient has. Be direct and considerate. A client should not have to decode “fee evolution” to understand their next payment or commitment.

The three complete original templates below address an active client, a former client and a prospective buyer. Adapt them to the actual agreement, communication permissions, scope and required notice. A clear email does not itself authorize a new charge or override existing terms.

Coachful is our #1 recommendation for keeping the Offer, client and payment administration organized around an agreed change. Use its actual saved terms and supported actions. A well-written announcement still needs the client’s proper decision and the correct billing process.

Decide the price and transition before writing

Review your actual service, workload, costs, capacity, demand and business goals. A price can change for several reasons, including a revised scope or increased costs. Raising rates is one possible decision, alongside changing delivery, improving processes, reducing costs or ending work that no longer fits.

A higher fee is not proof of competence or a way to guarantee client commitment. Relevant credentials, accurate claims and professional scope still matter. Do not justify a change with hypothetical millions in avoided loss unless the claim is properly supportable.

Separate prices for new buyers from changes to existing agreements. Check what is currently promised, any price-review mechanism, required notices, relevant consumer rules, signatory authority and the actual client choice. Get appropriate advice for the real arrangement.

If the revised service includes new work, describe that work. If the scope stays the same, say so accurately. A price increase does not need an invented transformation story or a claim that clients who decline are less serious.

Use four communication principles

PrincipleWhat to writeWhat to avoid
Specific amountsThe currency, current and proposed price, billing period and complete commitment.A vague statement that the practice is evolving.
Truthful reasonA concise accurate explanation where useful, including genuine cost or scope changes.Invented scarcity, shame about costs or unsupported claims about the client’s return.
Clear timing and choicesActual effective date, scope, review or approval route, and alternatives or ending rights.Treating silence, an open or a link click as agreement.
Respectful toneAcknowledge the relationship and invite practical questions.Diagnosing objections as insecurity or refusing to hear a real budget constraint.

You can be confident and still acknowledge inconvenience. A brief apology can be appropriate when you made an error or created avoidable difficulty; it is not a pricing technique to prohibit. Keep the message readable, with important details easy to find.

Build your platform

Template 1: an active client approaching review

Subject: Reviewing [service] and the proposed price from [date]

Hi [Name],

I am writing ahead of our review on [date] so you have time to consider the next period of [service]. Thank you for the work we have done together.

Your current arrangement is [accurate scope, currency, total price and period]. For a new arrangement beginning [date], I am proposing [scope, complete new price, period and any minimum commitment]. [Brief truthful reason, if useful.] Your currently agreed term and price remain as set out in our existing agreement.

The available choices are [accurate continuation option], [a genuinely available different scope, if any], or ending through [the applicable route and terms]. [If a permitted legacy-price option is actually offered, state its exact scope, price, term, deadline and ending conditions.]

Please review the attached or linked details and let me know which questions you would like to discuss. We will confirm any new agreement and billing steps through [actual process]. This message does not itself change your payment arrangement.

[Actual name and contact details]

Use only options you can deliver and terms that actually apply. There is no universal sixty-day notice or six-month legacy extension. If a notice of an agreed price adjustment, rather than a proposal for a new term, is appropriate, have its wording and process reviewed for that exact arrangement.

Template 2: a former client considering new work

Subject: Current options for [accurate service purpose]

Hi [Name],

You previously [asked about hearing from me or other accurate, appropriate communication context]. I am sharing current information about [service] in case it is relevant to a new question you want to work on.

From [real date], new engagements of [scope] are priced at [currency and complete price, period and commitment]. [If a genuine alumni option exists, explain the actual scope, price, term, conditions and relevant date. Otherwise omit this sentence.]

There is no obligation to restart. If you would like information or a conversation about fit, you can [actual optional next step]. We would agree the service and payment arrangements before new work begins.

Please use [appropriate preference or opt-out route] if you do not want further messages of this kind.

[Actual sender and required contact details]

This is a marketing example, not a reason to contact everyone in an old client list. Completion of coaching, a saved card or a prior invoice does not establish permission for every new campaign or charge. Check the actual audience and applicable communication requirements before using it.

The re-engagement guide develops a separate audience and follow-up process. Do not invent a coming price deadline merely to prompt a former client to act.

Template 3: a prospective buyer with an outstanding proposal

Subject: Price information for proposal [reference]

Hi [Name],

I am writing to clarify the price and validity of the proposal you are reviewing. Proposal [reference and version] covers [scope] at [currency and complete price, payment schedule and commitment]. Its stated validity is [actual date or relevant terms].

We will handle that proposal according to its existing terms and any applicable rights. For new proposals issued from [real date], the price for [accurate scope] will be [new complete price and commitment]. [Explain any relevant scope difference.]

If your decision process needs more time or a different scope, please let me know. We can discuss what is actually available and provide a revised proposal if appropriate. There is no requirement to decide during a call.

Please contact [actual route] with questions about scope, total cost or next steps.

[Actual name and contact details]

Do not retroactively shorten a valid proposal to fourteen days or replace an already accepted agreement with a new price notice. Use the actual version, acceptance state and validity terms, with advice where needed. A warm inquiry is not the same as purchasing authority.

A practical transition record with seven fields

FieldWhat to settle before sending
1. Audience and arrangementNew buyer, current client, former client, sponsor or purchasing contact; actual existing terms.
2. ScopeWhat remains the same, what changes, the live/support allowance and access period.
3. Complete priceCurrency, amount, required charges, billing period, installment total and minimum commitment.
4. TimingReal notice, review, proposal validity, renewal and effective dates.
5. Choices and authorityAvailable scopes, legacy option if any, approval, acceptance and ending route.
6. Communication and paymentAppropriate recipients, delivery process, relevant marketing preferences and actual billing action.
7. Confirmation and reviewExact accepted version, scheduled provider state, completed charge when applicable and any open question.

Keep the message, agreement, public price, checkout and provider record consistent. A spreadsheet projection or drafted email should not be treated as evidence that a client accepted or a payment changed.

Offer meaningful scope choices if they serve the client

A different service can be appropriate for a real budget or need. You can also choose a considered discount where lawful and suitable; lowering a price does not automatically prove the original quote was dishonest. What matters is a truthful, viable arrangement that is clear to the buyer.

The following three original examples retain the distinction between individual, team and wider organizational services. Their USD figures are fictional designs, not typical fees or a ladder every practice should sell.

ExampleDefined allowanceIllustrative price and review
Individual advisory serviceTwo 60-minute private calls and two short written requests per month, with explicit response hours, resources and exclusions.USD 5,000 for an active month under the actual recurring terms.
Individual-plus-team serviceThe individual allowance plus one 90-minute team workshop each month, with preparation, participant and information arrangements separately defined.USD 8,500 for an active month under its reviewed scope and terms.
Four-participant organizational serviceTwo 60-minute private calls per participant monthly, one three-hour workshop per quarter and eight written requests monthly, with reporting agreed.USD 15,000 per month for a stated scope and actual minimum term, if any.

The four-person example contains eight private contact hours each month, plus an average of one workshop delivery hour per month across a quarter. Add request review, preparation, coordination, reporting, travel and other work before assessing capacity. Averaging must not hide a busy workshop week.

A monthly stakeholder assessment, board-governance mandate, unrestricted phone access or crisis service is not automatically included in any tier. Each activity requires its actual competence, permissions, authority and delivery budget.

Work through a buyer’s budget concern

This original fictional dialogue treats the budget as information.

Buyer: The new proposal is above our approved budget. We can consider USD 4,000 per month.

Coach: Thank you for being clear. Let us identify the work that matters and which parts could change. I will also check whether any suitable price adjustment is viable.

Buyer: We need the private conversations more than a workshop.

Coach: I can prepare a defined private-service option for review, with the allowance, support, complete price and ending terms visible. I will not assume the old team scope is still included.

Buyer: Purchasing will need the revised version.

Coach: I will provide it and keep the proposed change pending until the appropriate decisions are complete.

Do not promise that a smaller scope will meet every need or that procurement must accept it. A pause, another provider or ending can be reasonable. Keep any agreed change consistent across the document and actual service.

Worked transition: a smaller scope, a corrected checkout and a finite ending

This original case is entirely fictional. Nell’s current agreement with Pia covers October through December 2026: one 60-minute appointment and one written review each month, USD 900 total in three USD 300 installments. The review accepts up to 150 words and returns one comment within two working days. It is a finite engagement ending 31 December, with no automatic new term. Their existing service and payment obligations stay intact.

On 2 November, Nell proposes a new three-month engagement at USD 1,080, payable as three USD 360 installments, for the same allowance. These fictional totals include all required charges for this case; they are not a tax assessment or market quote. The increase is USD 180 over the old USD 900, or 20%. Nell explains her actual higher operating costs without claiming the new price guarantees a promotion or better commitment.

Take the budget answer seriously

Pia replies that USD 900 remains her budget and that she cannot commit to USD 1,080. Nell does not call this resistance or assume an employer will fund the difference. She offers a genuinely available smaller engagement: three 45-minute appointments across the period, no written reviews, USD 900 total in three USD 300 installments. Ending after the existing work remains an equally valid choice.

Pia asks whether the lower price still includes the short written reviews. Nell answers that it does not. Pia decides that the appointments alone fit her current purpose and confirms that choice. This is a change of scope, not a disguised claim that she receives the unchanged service for less. It also gives Nell less between-session work; her future profit remains uncalculated.

They agree a new service period from 4 January 2027 at 16:00 UTC until 4 April at 16:00 UTC. The three appointments are 11 January, 8 February and 8 March, each 45 minutes at 16:00 UTC. The three charges are scheduled for 4 January, 4 February and 4 March. The service ends after the stated period; the payment arrangement is finite, not USD 300 indefinitely.

Before accepting, Pia asks whether she must pay now to keep the old December appointment. Nell confirms that the old appointment remains hers under the existing agreement. The new service is optional, and the old signed document is not rewritten. Pia reads and accepts the separate new terms. They will complete the new purchase on 4 January, rather than charge a saved card merely because Pia read the email.

Catch the payment-option error before authorization

Nell checks the old engagement at its close: all three USD 300 payments have been received and all three old appointments and reviews delivered. That USD 900 belongs to the old engagement; it is not credit against the new purchase.

On 4 January, Nell sends Pia the new Offer link. It opens with the USD 900 full-payment option selected. Pia stops before authorization and asks why the checkout requests the whole amount. Nell checks the saved price, option and exact link. She selected the wrong payment option; she does not blame Pia or tell her to pay first and seek a later adjustment. No new payment has occurred, so there is no mistaken charge to refund.

After checking the actual available installment option, Nell sends:

Subject: Correct payment option for our new engagement

Hi Pia,

The link I sent selected payment in full. That was my mistake. Please leave that checkout unfinished. The corrected link selects the agreed three payments of USD 300, USD 900 in total, with the first due today and the next on 4 February and 4 March. Please check that the checkout shows those terms before authorizing anything.

This purchase covers our three 45-minute appointments on 11 January, 8 February and 8 March, at 16:00 UTC, within the agreed 4 January to 4 April period. It includes no written reviews and does not automatically renew. Our earlier engagement is complete and remains separately recorded.

If the amount, option or scope differs from this, stop and reply here. You can ask questions before proceeding; do not complete both links.

Nell

Confirm the actual payment and delivery states

Pia opens the corrected link, checks the terms and deliberately authorizes the first USD 300. Nell verifies the provider’s successful payment and the correct new purchase, then Pia confirms the receipt. The unused full-payment checkout has produced no second purchase or charge. On that date, USD 300 has been received and USD 600 remains scheduled. An accepted USD 900 commitment is not USD 900 already collected.

Nell checks the actual saved 45-minute session type and three-session allowance, rather than rely on the Offer’s descriptive text. Pia opens her account, sees the correct appointment route and confirms the first booking. This is a particular configured fictional service, not a claim that a template always starts with empty access or the correct session type.

All three 45-minute appointments subsequently take place. The provider records successful USD 300 payments on 4 February and 4 March, and Pia acknowledges the final receipt. The new engagement’s cash received is now USD 900; combined with the separately completed old engagement it is USD 1,800, not the proposed USD 1,080 plus the old USD 900.

At their last appointment, Pia chooses to finish without another engagement. Nell sends the closing account and Pia confirms it: three new appointments delivered, three installments paid, no written reviews owed under this scope and no further purchase agreed. On 5 April, Nell checks that no further installment is scheduled. The account itself is not deleted, and any unrelated resource access follows its own entitlement.

The outcome is a fully delivered smaller service at the accepted price. It is not acceptance of the higher unchanged-scope quote, an observed improvement in coaching results or evidence that Nell’s overall revenue rose. That distinction is useful when reviewing the rate announcement.

A corrected eight-client financial example

This fictional arithmetic scenario uses eight clients at USD 3,500 per month. If all eight remain for twelve months at that price, the scheduled gross total is 8 × 3,500 × 12 = USD 336,000. This is a projection, not a report of revenue received.

If all eight instead knowingly choose a new twelve-month agreement at USD 4,500 per month, the comparable total is 8 × 4,500 × 12 = USD 432,000. The difference is USD 96,000, not USD 140,000. The monthly increase per client is USD 1,000, or about 28.6% relative to USD 3,500.

If that new agreement is genuinely paid annually in advance by all eight, USD 432,000 would be collected at that time before relevant adjustments. The USD 96,000 comparison is an annual contract-value difference, not automatically an immediate additional cash receipt. Delivery obligations, costs, refunds and taxes remain separate.

Now vary acceptance. If six of the eight choose USD 4,500 monthly and two end, the new monthly scheduled total is USD 27,000, compared with the original USD 28,000. Seven at the new price would total USD 31,500. A larger unit price does not guarantee a larger practice total.

A proposed USD 6,000 monthly rate would be a different option with its own scope and decision. Do not assume every client accepts, will be grateful or has the same budget. The example supports scenario planning, not a no-attrition forecast.

Read simple annual projections with their assumptions visible

Hypothetical monthly priceEight clients for twelve full monthsWhat remains unproven
USD 2,500USD 240,000 scheduled grossDemand, acceptance, full occupancy, collection, costs and sustainable workload.
USD 5,000USD 480,000 scheduled grossThe same assumptions; a price does not establish a more qualified or easier roster.
USD 10,000USD 960,000 scheduled grossThe same assumptions; no automatic enterprise status or financial freedom.

These are multiplication examples, not surveyed market tiers. Eight to ten clients is not a universal comfortable capacity. Actual live work, requests, preparation, travel, supervision, leave and other responsibilities determine what is viable.

Upfront cash is not risk-free operating surplus. It can fund service still to be delivered and create refund, tax and other obligations. A fixed annual commitment and a renewing monthly arrangement should be described differently.

Legacy prices and annual reviews need actual decisions

You can choose to retain an existing price, offer a time-limited new arrangement, provide a suitable reduced scope or apply another appropriate policy. State what the client receives, for how long, and what happens afterward. Do not offer an unsustainable lifetime promise casually.

A genuine deadline should reflect a real proposal or pricing plan, not a false shortage. Avoid using a long advance-payment offer as pressure to renew before someone can review the terms or obtain organizational approval.

An annual price review can be a business planning habit. It does not mean every contract permits a January 1 increase or that a welcome packet can add a price-change right after purchase. The current UK CMA fair-contract guidance illustrates why unilateral variation terms need careful, specific treatment in its consumer context.

Review actual response, acceptance, workload, collection and reasons people share. A client who declines may have changed priorities or a genuine constraint. Do not treat the result as a judgment of their character or of your personal worth.

Five digital capabilities to check

CapabilityWhat to verify
Existing-price handlingWhich saved purchases retain their terms, and what a deliberate agreed change requires.
Public and proposal pricesThe actual versions, currencies, total commitments and publishing states.
Agreement and renewal recordsAccepted text, authority, date, next review and any new approval.
Scenario planningClearly labeled assumptions, costs, workload and actual receipts, without automatic forecasts.
Communication recordsActual recipient, queued/sent/failed state and replies; an open is not acceptance.

A platform should not be described as automatically changing every public, private and existing price from a single edit unless that exact behavior is verified. Keep delivery, agreement and billing decisions separate.

Use Coachful’s actual Offer and plan-change behavior

Existing Offer buyers retain the plan, price and access they bought when you edit tiers for new buyers. Review the saved terms and actual available currencies and payment options before preparing a client change. Descriptive benefit text does not itself grant the named service allowance.

A coach’s supported Change plan action on an eligible paid recurring purchase schedules the new plan and price from the next renewal; it does not charge immediately. A client’s own eligible paid upgrade has different immediate and proration behavior. Do not assume that a coach edit is the same transaction.

Confirm the agreed effective date and the actual provider state before telling someone what will be charged. A template change, a sent rate email or an invitation does not authorize a payment or prove collection.

Use an appropriate billing notice or marketing workflow for the actual message. A broadcast’s queued or sent state is different from delivery, agreement or renewal. Explore Coachful’s features for offers, client records and payment administration. The pricing-strategy guide develops the earlier service and cost decisions.

Check the message as the recipient will read it

Before sending, verify the exact old and proposed price, currency, total commitment, scope, date, recipient and actual choice. Use readable paragraphs, meaningful links and an accessible way to ask questions.

If the message refers to an attachment, proposal, legacy option or cancellation route, make sure it exists and says the same thing. Keep required contact, privacy and opt-out details appropriate to the communication.

The current UK CMA price-transparency guidance emphasizes clear complete prices for its consumer context, including unavoidable charges. Apply the relevant requirements for the actual sale rather than copy a fictional figure from this guide.

Frequently asked questions

How much should I raise my coaching rates?

There is no universal percentage here. Review the actual scope, workload, costs, demand, client choices and applicable terms. The example prices are fictional.

How much notice should current clients receive?

Follow the actual agreement and relevant requirements, with enough practical time for an informed decision. This guide does not establish a universal thirty- or sixty-day rule.

Should I mention increased costs?

You can give a brief truthful explanation if it helps. Avoid invented reasons or claims that the higher fee guarantees better client results.

Must I keep old clients at the old rate forever?

No universal policy applies. Honor existing commitments and assess any new proposal or permitted change clearly and fairly.

Does editing an Offer change existing buyers’ prices?

Coachful preserves the plan, price and access they bought. An existing-client change needs the appropriate deliberate workflow and agreement.

Does a higher price guarantee higher revenue?

No. Acceptance, retention, occupancy, scope, collection and costs also matter. Model several actual scenarios.

A useful rate message makes the change clear and leaves the person able to decide. Set the real service and terms first, communicate them respectfully, and confirm the agreement and payment state through the appropriate process.
