Mastermind Application Funnel Template: A Complete Example
Nour
Founder, Coachful

A mastermind application funnel template should help both parties make an informed choice before anyone buys a place. It needs more than an attractive application page: relevant questions, a review standard, truthful decisions and a clear handoff into the actual service.
The template below includes original invitation copy, a complete application, review criteria, messages and a worked eight-application case. Applications are optional for a group whose needs are simpler. A selection process does not itself prove that the group is effective, exclusive or worth a particular fee.
Design the application around the actual group
Decide what members will do together before choosing questions. Will they bring a current decision, exchange experience, receive teaching or ask for specialist advice? These are different expectations. A peer mastermind should not be sold as unlimited consulting or a guarantee of referrals and revenue.
Set capacity from the promised interaction. If five members each receive two 20-minute individual discussion turns, the program needs ten turns, totaling 200 minutes. Five 75-minute meetings provide 375 live minutes. Allocating two turns per meeting leaves 35 minutes per meeting for opening, check-in, synthesis and closing: 175 minutes across the program.
That is a live agenda calculation, not the facilitator’s entire workload or a universal ideal group size. Review preparation, administration and any promised support separately. If the planned agenda cannot deliver the advertised turns, change the promise or capacity before accepting applications.
Explain the fit criteria publicly. “Bring a current proposal-scope decision” is more useful than “be an exceptional high performer.” Give applicants enough information to decide not to apply. Do not conceal the price until an interview or collect private financial information to reveal it.
Template 1: the invitation page
The following is finished operational copy for an invented program. It illustrates what to specify; dates, price and arrangements are not recommendations for every mastermind.
PeerScope: make clearer decisions about consulting scope
A facilitated peer group for independent consultants who have a current decision about proposal scope, revision boundaries or how they deliver their service. Bring a decision you control and enough non-confidential context for others to understand it. You can use a fictionalized scenario instead of naming a client.
We meet online on 17 and 24 November and 1, 8 and 15 December 2026, from 12:00 to 13:15 Europe/London time. The group has a maximum of five members and will run with at least four. Each member receives two 20-minute discussion turns during the program and participates in the other peer discussions. Preparation is one brief decision outline before your turn.
Cleo facilitates the meetings and the discussion process. This is not legal, tax or investment advice, an emergency service, a referral network or a revenue guarantee. There is no between-meeting private coaching. Meetings are not recorded; members agree to respect confidentiality, but no facilitator can guarantee other people’s conduct.
The total price is £600 for the whole five-meeting program, with no additional mandatory fees in this example. Applying and the fit conversation are free. An application is not a reservation, purchase or commitment to pay.
Apply by 5 November at 17:00 London time. We will send a human next-step message by 9 November at 17:00. Fit conversations take place on 10–11 November. Written invitations are sent on 12 November, with a decision deadline of 16 November at noon. The invitation includes the agreement and applicable cancellation and withdrawal information before you decide to buy.
Ask about access or application adjustments by emailing
applications@peerscope.example. A text-based alternative can be discussed. Application information is reviewed by Cleo and her authorized administrator, Iris, and is not posted to the group. You do not need to disclose a diagnosis, confidential client files or your bank balance.Button: Apply for PeerScope
The example email uses the reserved .example domain and is not a live contact. In your own page, supply the actual working route and applicable privacy information. Explain your application retention process rather than adopting a period merely because another business uses it.
For UK consumer sales, the CMA’s current price-transparency summary explains the requirement to show total prices with unavoidable charges. Consumer and business arrangements can differ; the fictional copy is not a complete legal contract. The US FTC’s advertising guidance separately emphasizes truthful, supported claims. Neither source makes an application process evidence of future commercial results.
Template 2: the application
Use visible labels, explain required and optional fields, and provide instructions where people need them. W3C’s form-instruction guidance explains why placeholder text should not replace labels. Clear copy helps, but it does not establish that a particular form has passed an accessibility test.
Collect the name the person wants you to use and their email for the application process. Then use these six original prompts. Short, concrete answers are welcome; a polished personal essay is not the selection criterion.
- Current decision, required: What proposal-scope or delivery decision would you like to examine? Describe it without identifying a client or sharing their confidential material.
- Your role, required: Which part of that decision can you make, and which part depends on someone else?
- Peer contribution, required: Give one example of experience or a question you could bring to a discussion. You can describe a disagreement or something that did not work.
- Schedule, required: Having reviewed all five dates and preparation, what can you attend and what needs discussion? A constraint is information to review, not an automatic character judgment.
- Expected support, required: What would you want from the facilitator and peers? Note anything you expect that may be outside the published service.
- Price and decision questions, required: Having seen the £600 total and scope, what do you need clarified before deciding? “No current questions” is a valid answer. Do not provide account details or private financial records.
Add a separate optional field: “Is there an access or application adjustment you would like to discuss? Describe the arrangement you need, not medical information.” If you collect newsletter permission, make that a separate optional choice and name the sender and email purpose. Applying must remain possible without choosing marketing.
The ICO’s data minimisation guidance, currently under review, connects collection to a specified purpose. Do not request client lists, health histories or income proof merely to make an application feel selective. The ICO’s electronic-mail guidance also distinguishes requested messages from unsolicited marketing and explains the applicable consent rules. An application is not a blanket newsletter opt-in.
Template 3: receipt and review instructions
The success screen should describe the submission’s actual status. This original copy can also be adapted into a receipt email when you have configured and checked that delivery:
Your application has been submitted for review. This does not reserve a place or create a payment obligation. Cleo or Iris will email the next step by 9 November 2026 at 17:00 Europe/London time, after applications close on 5 November at 17:00. That message may invite a conversation, ask a question or explain that this program cannot meet the need. To correct or withdraw your application, reply to the application email or contact
applications@peerscope.example.
Do not call a staff notification an applicant confirmation. Check the submitted response, the intended contact details and any actual outbound acknowledgment. In the worked case below, Iris sends receipt emails manually from the group’s business mailbox; no automatic email is assumed.
Use a small review sheet with four criteria: a relevant decision, realistic expectations of peer learning, workable participation arrangements, and ability to respect information boundaries. For each, record the supplied evidence, an unanswered question and the next decision. This is an original operational rubric, not a psychological assessment or validated predictor of success.
Separate a missing fact from a refusal and a service mismatch from a preference about communication style. Avoid unexplained labels such as “not coachable,” “low energy” or “not generous.” If a criterion matters, describe the behavior or arrangement it requires.

The demo screenshot uses the older Prospects label. In the released navigation the page is Leads. Its contact and submission information can support review; it is not an automatic judgment that a person is suitable.
Template 4: the two-way fit conversation
A 20-minute conversation can use this original agenda: two minutes to explain the decision process, five for the person’s example, four for peer participation, four for their questions, three for practical arrangements and two for the next step. Change the length when the work requires it.
Ask for a realistic example without demanding confidential evidence. Explain that peers can disagree and that each member retains responsibility for their own decisions. Check what the person expects you to do when a question needs expertise outside the service.
Opening: This is a mutual fit conversation, not a promise of a seat. We can both decide the program is unsuitable. What decision would you bring, and what would useful peer input help you examine?
Boundary check: We facilitate discussion rather than certify contracts or promise leads. Does that match what you want, or is there a different service you need?
Close: Here is what we have established and what remains open. I will send the written outcome on 12 November. Please do not pay or assume membership before receiving and considering that invitation.
For a longer individual conversation, the discovery call framework offers another structure. Do not extend the interview into unpaid specialist work to make the person feel indebted.
A complete fictional application and decision
All people, records, payments and events in this case are invented. Cleo and Iris run the published process above. In a prelaunch rehearsal, the first success screen says “Your place is confirmed.” A test reader points out that only an application has been submitted. Cleo replaces it with the receipt copy above before applications open. That synthetic test is excluded from the applicant count.
Mika submits the following application on 4 November. Contact details are supplied privately to the process; the substantive answers are shown here to make the review traceable.
| Prompt | Mika’s complete illustrative answer |
|---|---|
| Current decision | I want to decide whether my next proposal should include one revision round or price further revisions separately. I can bring a fictionalized version of my workflow, but not a client’s draft or identity. |
| Role | I run my own practice and set my proposal terms. A client decides whether to accept them; the group cannot make that decision for them. |
| Peer contribution | I tried a detailed scope checklist. It made assumptions visible but was too long for an early conversation. I can discuss how I would shorten it and ask peers what they would need to decide. |
| Schedule | I can attend all five dates and prepare a short decision outline before my turns. |
| Expected support | I want questions and experience from other consultants. I will obtain qualified advice separately if I need legal wording. |
| Price and questions | I understand £600 is the full program price. I want to check how turns are allocated and whether I must reveal client material. |
Mika also requests live captions through the optional access field. This is a request for a usable arrangement, not a medical disclosure. Iris sends the receipt email on 4 November, and Mika receives it.
Repair an inappropriate review judgment
Iris initially notes “limited generosity” because Mika will not share client drafts. On 9 November Cleo reviews the actual answer and challenges that label. The application already offers a fictionalized workflow and a specific experience. Refusing confidential disclosure is consistent with the published process, not evidence of unwillingness to contribute.
Iris replaces her comment with the factual note: “Offers a fictionalized scope example; confirm that it contains enough context for peer discussion.” Cleo invites Mika to the 10 November fit conversation. The question is whether the example is usable, rather than whether Mika can be persuaded to disclose more.
In that conversation, Mika describes the revision decision using an invented service example. Cleo confirms that this is sufficient and explains the two-turn allocation. Captions remain a practical condition, so she does not yet describe the place as confirmed. They agree a brief caption check for 11 November.
The check takes place using the meeting setup Cleo will actually use. Mika confirms that the captions are usable for this check. Cleo also agrees a disruption plan: pause the affected discussion and resume only when Mika confirms a usable route. A written prompt alone is not treated as a substitute for access to the spoken discussion.
On 12 November Cleo makes the fit decision and sends the written invitation. This is an actual completed review in the fiction, with the access condition resolved for the check; it is not a guarantee that the technology will never fail.
Send the operational invitation and allow refusal
This excerpt accompanies the program’s reviewed agreement and cancellation/withdrawal information. It is not a substitute for those terms:
Mika, we invite you to PeerScope on the five dates and scope published above. Your total is £600, paid once for this fixed program; it is not a rolling monthly subscription. Your two 20-minute turns will use your fictionalized example. The caption arrangement and disruption plan we checked are included in your participation instructions.
Please read the attached agreement and cancellation/withdrawal information and send any questions before deciding. If you choose to accept, reply by 16 November at noon London time and complete the stated agreement and purchase steps. You may decline. This invitation is not a request to publish your application or name in marketing.
Mika reads the documents, asks one allocation question and receives Cleo’s answer on 12 November. Mika then accepts, completes the agreement and pays £600 on 13 November. Cleo verifies the actual paid purchase and included Program access before confirming enrollment. The application alone did none of those things.
The onboarding message provides all five dates, the first-call joining instructions, the agreed caption arrangement and one preparation request: bring a brief fictionalized outline of the revision decision. Mika opens the Program and finds the instructions on 13 November, then acknowledges by email. No client documents or application answers are posted as a member introduction.
Reconcile the complete admissions cohort
The manual admissions log contains eight completed applications. The synthetic rehearsal, page views and abandoned forms are excluded. The case records these actual outcomes through 17 November:
| Stage | Count | What happened |
|---|---|---|
| Submitted applications | 8 | Iris sent each a manual receipt. One person later withdrew; one could not use the published dates and chose not to continue. |
| Completed fit conversations | 6 | The remaining six attended. One needed contract certification and guaranteed referrals, which the program could not provide. |
| Written invitations | 5 | The other five met the stated criteria, including Mika after the caption check. |
| Accepted and paid | 4 | Four completed the agreement and £600 purchase by 13 November. The fifth declined after considering the commitment. |
| Onboarded and first meeting attended | 4 | All four opened the Program instructions, acknowledged them and attended on 17 November. |
Cleo sends the specialist-service applicant a specific decline: “PeerScope cannot provide contract certification or guaranteed referrals. We will not invite you to this program on those expectations. You do not owe an application or interview fee.” She does not automatically put the person into a cheaper product or newsletter.
The other invited person declines without being pressed for private financial details. Cleo acknowledges the decision and closes the invitation. Four paid places meet the stated minimum of four; she confirms that the group will run. Four payments total £2,400 gross, not profit or a forecast of the members’ results.
Four members require eight promised turns, leaving two of the ten available agenda slots unallocated. They are reserve capacity, not an unstated promise of extra private support. The first meeting uses two turns; the other eight agenda slots remain future capacity at the cutoff, of which six are still needed to complete the members’ promised allocations.
Do not infer an abandonment rate from these eight submitted records. Nor do the small stage counts establish that the funnel is optimized. The useful findings are the misleading success text repaired before launch, the unjustified generosity label corrected, and the actual reasons for withdrawal, mismatch and refusal. Four later meetings and the remaining service are still owed.
Build the handoffs in Coachful
Coachful is our #1 recommendation for organizing this application and enrollment workflow. We publish Coachful, so this is our editorial recommendation for the described process, not an independent market ranking or a guarantee of admissions quality.
- Build the application form. Use Create, New, Resource, then Form or worksheet. Add the relevant prompts and a Contact info question. For a standalone account-free route, enable Public link. Alternatively, import the questionnaire into a funnel Form step and keep a clear Success step.
- Keep the application separate from purchase. The public application route in this example has no Signup, Offer checkout, Program enrollment or Join community action. A form response is not membership. Review any extra step you add rather than assuming it is harmless decoration.
- Review the actual response. Use View responses, the funnel’s Responses or the lead record’s Forms Submitted. Contact capture can create a lead at New in Leads; a submitted application still needs the human decision described above.
- Build the actual paid offer deliberately. Select the correct Program from the saved library and check its actual inclusions and price. A description mentioning a cohort does not itself grant it. Send purchase instructions only after the human invitation in this process; an unlisted checkout link alone is not a verified technical approval gate.
- Check the real enrollment result. Confirm the purchase and intended access, then verify the member can find the instructions. Do not announce that every onboarding email or calendar event was created unless the actual configuration and result support it.

The demo form builder illustrates structured capture, not automated fit scoring. Keep the manual review and decision evidence distinct. The payment terms guide helps organize the financial questions, and Coachful’s features show the relevant delivery tools.
Frequently asked questions
Does a mastermind need an application?
Use one when it serves a real fit or delivery decision. A clearly scoped open workshop may need a simpler route. An application should reduce uncertainty, not create artificial prestige or collect information you do not need.
How many questions should I ask?
Use enough to assess the published criteria and arrange delivery. The six prompts here are an original example, not an ideal length established by research. Remove a question when you cannot explain its purpose.
Can I automate the whole admissions decision?
Use supported tools for capture and configured delivery, but keep an accountable review for expectations, adjustments and exceptions. A fluent answer or a score does not establish that the actual group can meet the person’s needs.
When is a place confirmed?
State the actual conditions and verify them. In this example, an invitation, the person’s acceptance, the agreement, payment and intended Program access are distinct checks. A success screen after a free application confirms only that stage.
What should I do when an applicant declines?
Acknowledge the choice, close the invitation and stop treating the person as an expected member. Do not turn the decision into an argument about commitment. Any later marketing needs an appropriate separate basis and should not be disguised as essential application administration.
