Automated Email Nurture Funnel for Coaches: 7 Emails
Nour
Founder, Coachful

An automated email nurture funnel for coaches should help a willing reader use a resource, understand your service and choose a relevant next step. Define that journey before writing the messages: who enters, what they chose, when messages arrive and what stops them.
This guide provides seven complete example email bodies, a precise timing plan and a fictional pilot with reconciled delivery and recipient counts. Automation handles the prepared sequence; a named person still handles questions, fit and exceptions. A download, subscription, booking and payment remain different events.
Give the sequence one useful purpose
Start with the reader's practical question. A new manager downloading a delegation worksheet may need to understand which decisions to give a colleague, how to prepare a conversation and whether coaching would help. That creates a coherent sequence. Seven unrelated motivational messages would not answer the same need.
Choose one optional next step, such as requesting a short introduction. Explain its purpose and any cost. A call intended to discuss fit and a paid service should be described that way, rather than disguised as a diagnostic assessment or an exclusive award.
Define what the sequence will not need to collect. Someone can learn from a worksheet without sharing private employee information, a health history or their employer's confidential plans. Replies should ask only for information needed to answer the actual question.
For conversations after an introduction, use the separate post-call follow-up guide. This article concerns the initial resource-to-introduction journey, before a coaching relationship or payment exists.
Separate resource access from marketing permission
The ICO's electronic-mail guidance distinguishes specifically requested information from later unsolicited marketing. Requesting a worksheet does not automatically establish permission for every later promotion. In the fictional UK pilot below, resource access and the optional marketing series are separate choices.
The ICO's current consent guidance explains affirmative, specific choice and withdrawal. UK rules differ for individual and corporate subscribers, and limited soft opt-ins have conditions. The example uses recorded affirmative permission rather than assuming every download qualifies for an exception. Apply the requirements for your actual recipients and markets.
For US commercial email, the FTC's CAN-SPAM guide addresses accurate identity and subjects, advertising identification, a valid postal address and a working opt-out. It also explains that commercial purpose matters even in mixed-content messages. US requirements are not a substitute for checking another jurisdiction's permission rules.
A technical consent switch supports a chosen process; it does not decide that your collection wording was legally sufficient. Keep the actual wording, source, time and relevant recipient choice. Do not treat a generic contact label or a completed funnel as the permission record itself.
Define the fictional funnel before writing copy
Rhea offers coaching for managers preparing and reviewing delegation conversations. All people, prices, dates, messages and results in this example are invented. Her assistant Miro handles marketing administration, and both have the necessary email access. These figures are not Coachful customer results or industry benchmarks.
The resource page supplies a free delegation worksheet immediately on its completion page, without requiring a coaching account or purchase. That page also has an optional route to Rhea's public service-information page, which explains the free fifteen-minute fit conversation and provides its actual booking link. Reading or booking through that route does not require joining the email series. A separate optional choice offers seven emails over fourteen days, including practical examples and information about Rhea's paid service. It says the series ends afterward, with no automatic weekly newsletter.
Illustrative subscription wording: Yes, send me Rhea's seven-email delegation series over fourteen days. It includes practical planning ideas and information about her coaching service. I can unsubscribe at any time. This is separate from receiving the worksheet.
The choice starts unselected. Readers who decline still receive the worksheet on the page. Rhea's privacy information explains the marketing use and contact route. Before any real campaign, use the actual business identity and applicable notices, rather than copy a fictional name into a consent record.
For this first pilot, Miro audits the choices before adding eligible people to a dedicated series list. List addition then starts the automated sequence. The audit is manual; the later email timing is automated. This deliberately avoids claiming that a resource download automatically means consent or creates a client.
Set the timing and stop rules
| Earliest planned day | Purpose | Delay after previous email | |
|---|---|---|---|
| 1 | Day zero | Provide the worksheet in the email and restate expectations. | None. |
| 2 | Day two | Explain the coaching approach. | Two days. |
| 3 | Day four | Teach a practical distinction. | Two days. |
| 4 | Day six | Show a complete fictional brief. | Two days. |
| 5 | Day eight | Explain service scope and price. | Two days. |
| 6 | Day eleven | Offer a private decision aid. | Three days. |
| 7 | Day fourteen | Make the final optional invitation and end. | Three days. |
These are delays between steps, not cumulative offsets to enter repeatedly. Adding delays of two, four and six days would produce a different schedule. Actual processing and delivery can occur later; do not promise an exact inbox minute.
Rhea accepts that this schedule can include weekends and states that replies are handled within two working days, Monday to Friday in Europe/London, excluding notified closures. Automated Sunday sending does not create Sunday human availability.
An unsubscribe stops marketing under its actual scope. A bounce triggers delivery handling. A genuine reply needs review. A confirmed introduction booking stops this acquisition series through a checked route, while the actual booking confirmation remains separate. At the last email, the series ends without enrolling nonbuyers elsewhere.
Write seven complete message bodies
The following original bodies belong to Rhea's fictional service. Each is sent with her configured business identity, valid postal address and working marketing-unsubscribe footer. Those shared legal and preference details must appear in the actual saved email, not merely on a web page. Verify them for your own business before sending.
Email 1: Your delegation worksheet
Hello,
Here is a plain-text version of the delegation worksheet you requested. Choose one real task and write: the result needed; the decisions the other person may make; the approval still required; the information or support available; and the next review date.
For example, preparing a report does not automatically include permission to approve spending. If a field is unclear, make your next step a conversation about that responsibility.
You chose this seven-email series over fourteen days. I will send examples and explain my optional coaching service. You can stop through the unsubscribe link below. The worksheet remains useful without buying anything.
If you need an accessible version, reply to this email. Miro or I will respond within two working days, Monday to Friday in London time, excluding notified closures.
Rhea
This message supplies useful content even if the reader cannot reopen the original page. It repeats the actual subscription, rather than claiming that every person who saw the worksheet joined the series.
Email 2: What we prepare in a coaching conversation
Hello,
My delegation coaching helps a manager prepare a workplace conversation and review what happened afterward. We distinguish the result you need, the decisions you can delegate and the approvals that remain with someone else.
I ask about the actual work and your available choices. I do not decide your organization's authority or promise that a colleague will accept a request. Sometimes the next step is checking a responsibility with your manager before drafting a better brief.
You can use this approach privately: pick one worksheet field and ask whether the people involved would understand it in the same way. You do not need to send confidential workplace details to this mailing list.
Rhea
Email 3: A reminder cannot supply missing authority
Hello,
A delayed task may need a clearer deadline. It may also be waiting for a decision that the person doing the task cannot make.
Before adding another reminder, ask: what exactly is waiting, who may decide it and what information do they need? If a colleague can draft a supplier comparison but cannot authorize a purchase, a faster reminder does not create purchasing permission.
Write one sentence naming the next real decision. If you discover that the responsibility is unclear, confirm it through your workplace's normal route. That clarification is useful work, even when the task cannot yet move.
Rhea
Email 4: A fictional brief, with a limit included
Hello,
Here is an invented example, not a client testimonial. Manager Dana asks Ellis to compare two meeting-room options.
The first brief says, “Own the room booking.” They replace it with: “By Thursday at noon, compare capacity, availability and total quoted cost for both rooms. You may contact the venues and recommend one. Do not confirm a reservation or agree cancellation terms. Send the comparison to me; I will obtain the required approval before anyone commits.”
Ellis replies that one venue will not quote without estimated attendance. Dana supplies the estimate before Thursday. The comparison can now proceed, while the actual booking still requires approval.
The useful output is a clearer request and supplied information. It is not evidence of a guaranteed saving or a completed event.
Rhea
A fictional illustration teaches the reasoning without pretending to prove results. If using a real endorsement, check permission and the actual claim. The FTC's endorsement guidance explains honest claims, relevant connections and the limits of exceptional-result examples.
Email 5: The service, time and full price
Hello,
If you want help preparing and reviewing one delegation conversation, my current illustrative package contains two private fifty-minute online sessions over four weeks. The full one-off price is £360, including any applicable taxes charged to you. There is no recurring payment in this package.
The first session develops your brief and next action; the second reviews what actually happened. The package does not include live workplace mediation, an employee assessment or coaching between sessions. Administrative questions receive a reply within two working days, Monday to Friday in London time, excluding notified closures.
Before purchasing, review the actual agreement covering dates, payment, rescheduling, ending the service and applicable rights. If weekend sessions are essential, this weekday-only service will not fit.
You can reply with a practical question without booking.
Rhea
The price is part of the fictional worked example, not a recommended market rate. In a real sequence, remove “illustrative” and insert only the verified current service terms. Keep every email consistent with the actual saved Offer and agreement.
Email 6: Three questions you may keep private
Hello,
Before deciding whether coaching would help, consider three questions: Which part of the conversation can I prepare myself? What information or approval do I need from another person? What would I want a coach to help me examine or practice?
You can keep the answers private. This is a reflection aid, not a scored assessment. A missing approval may need a manager's decision rather than coaching, while a difficult conversation you can influence may be worth preparing.
If the practical issue is affordability, you do not need to justify your budget to me or commit to borrowing. You can continue using the worksheet and decide later whether any paid service is suitable.
Rhea
The affordability conversation guide develops that topic. An email should help the reader choose, rather than reframe every refusal as fear or lack of commitment.
Email 7: This series ends here
Hello,
This is the last message in the delegation series you requested. You will not be added to a weekly newsletter because this series ended.
If an introduction would help, reply “introduction.” Miro or I can send the current booking details for a free fifteen-minute fit conversation. We discuss your goal, practical requirements and questions about the paid service. There is no obligation to buy, and requesting the details does not reserve a paid place.
You may also keep using the worksheet without taking another step. If you want no further marketing email from this business, use the unsubscribe link below. You can still contact us about a specific administrative question.
Thank you for reading,
Rhea
Build the actual sequence in Coachful
Coachful is our #1 recommendation for this workflow because the prepared sequence, email audience and lead follow-up can be organized alongside the relevant coaching Offer. This is our recommendation for the use described, not an independently measured market ranking.
- Open Email's Sequences area. The released route is Sell > Email > Sequences; authorized Simple Mode users can reach Email through Search. Custom sequences are separate from notification templates and coaching flows.
- Create a dedicated entry list. Rhea uses a list for the delegation series, not every captured contact. Miro checks the actual choices and prepares only eligible addresses. Configure the sequence's list-addition trigger for that exact list and enable Only with marketing consent. Keep the pilot addresses out of the list until activation.
- Add the seven email steps and six delays. Use the intervals in the table. Check the final step ends the journey and that no unrelated series follows it.
- Verify sender and reply handling. Resolve the required sending-domain records. Use a monitored reply route and check who can access it. An unconnected inbox or a forwarded message may not behave like an attributable sequence reply.
- Check stop behavior for this goal. Inspect the sequence recipient record when a person books, declines or replies. Stop that enrollment when appropriate. A Program-enrollment stop rule is a different event from a free introduction booking.
- Review the client-facing content and activate deliberately. Check the saved subjects, prices, footer and destinations. Any real test email is an actual send. Use authorized test recipients, then inspect the result. Activate the checked sequence before adding the audited pilot addresses to its entry list. Adding contacts while a sequence is inactive does not establish that they will be enrolled later.

The demo Broadcasts view illustrates scheduled and historical campaigns; it is not the sequence canvas. A one-off broadcast or a drip distribution of one broadcast is different from seven separate emails connected by delays. Use the Sequences editor for this case.
Where reply processing can attribute a genuine reply to the sequence, the enrollment can show Paused after reply. Review that state and answer the person; do not assume every external or unrecognized reply paused the correct record. Automatic replies are also different from human questions.
The sequence's recipients view supports stopping an active or paused enrollment. Check the saved status afterward. Stopping one sequence is not necessarily an organization-wide unsubscribe, and unsubscribing is not the same as canceling a booking or refunding payment.
Run a complete pilot with explicit exceptions
In Rhea's fictional record, 100 unique people request the resource during 2–6 November 2026. Forty have current affirmative marketing permission recorded in Coachful and have completed any required confirmation; sixty receive only the resource. Miro checks the actual series choice and current suppressions, then activates the checked sequence before adding the forty to its dedicated list on 9 November. Importing addresses alone would not create those consent records.
The planned email dates are 9, 11, 13, 15, 17, 20 and 23 November. Rhea monitors the reply inbox on working days; Miro checks recipient states and actual bookings. They do not add the sixty resource-only readers to improve the apparent list size.
One address bounces on the first email and is stopped from further delivery. Three people unsubscribe before email two. Four different people reply after email two; the attributable replies pause their enrollments. Rhea answers them and Miro checks the next action before continuing anything.
Two of those four book introductions and their acquisition enrollments are stopped. A third needs weekends; Rhea confirms weekday-only availability, the reader declines and Miro stops the series. The fourth asks whether coaching will supply a finished delegation policy. Rhea explains that policy drafting is outside this package; the reader chooses their existing consultant, and that enrollment is stopped too.
Two more people unsubscribe after email three. One further person books after email four without first replying: they return to the resource completion page, open its optional service-information route and use the free fit-conversation booking link there. Miro confirms the actual reservation and stops that enrollment before email five. No purchase tag or link click substitutes for this check.
| Message | Attempted | Recorded delivered | Change before next message |
|---|---|---|---|
| 1 | 40 | 39 | One bounce and three unsubscribes. |
| 2 | 36 | 36 | Four replies paused, then all four enrollments stopped after review. |
| 3 | 32 | 32 | Two further unsubscribes. |
| 4 | 30 | 30 | One confirmed booking, enrollment stopped. |
| 5 | 29 | 29 | No further change. |
| 6 | 29 | 29 | No further change. |
| 7 | 29 | 29 | These twenty-nine complete the series. |
The forty people reconcile as one bounced, five unsubscribed, five stopped after human review and twenty-nine completed. There are 225 message attempts and 224 recorded deliveries across the seven steps. Those are message totals, not 224 different people.
Count the commercial outcome without overstating attribution
By the 27 November review cutoff, three introductions have been booked. Two took place on 17 and 20 November. The third, planned for 23 November, was canceled on 20 November. One attendee accepted the actual two-session terms and paid £360 on 20 November. Future coaching delivery is not observed in this pilot record.
Using all forty enrolled people, booking incidence is 3 ÷ 40, or 7.5%. Attendance is two of the three bookings. Paid uptake is one of two completed introductions. State those denominators and the window rather than choosing the smallest denominator to advertise an impressive percentage.
The pilot cannot establish that email caused the purchase. The person also read the service information and had a conversation. Recorded delivery does not prove inbox placement or reading. Apple's primary Mail Privacy Protection guidance explains that its protection can prevent senders seeing whether a message was opened, so opens are not a dependable individual readiness score.

The demo Prospects view illustrates contact and source information. Keep the actual booking, attendance and payment evidence alongside the relevant lead record; a stage label alone does not prove any of them. Do not create a coaching-account or paid-client claim from an email subscriber.
Rhea decides to revise before adding another cohort. Five unsubscribes and two practical mismatches merit attention even alongside one payment. She moves weekday availability and the distinction from policy drafting onto the resource signup page, retains the existing seven-message promise for current recipients and plans a separately described shorter series for a future pilot.
She has not demonstrated that shorter will perform better. She will judge the next pilot by its own counts, useful questions and actual service fit. The current group's unsubscribed and stopped addresses stay out; revised copy does not renew permission.
Maintain the funnel as a working service
Assign a person to check replies, bounces, suppression and stale information. Rhea owns service answers; Miro owns recipient-state checks, with both seeing only the marketing information needed for those jobs. A lead without a coaching account replies by email, rather than being directed into an unavailable private coaching chat.
Google's primary sender guidance distinguishes authentication and other requirements by sender volume and recipient service. Follow the actual sending setup and provider requirements, rather than inventing DNS values or assuming a successful save proves delivery. Authentication supports sending; it does not guarantee inbox placement.
When a price, booking route or package changes, review every active message and the destination it describes. Pause or stop affected work deliberately while correcting it. Inspect already enrolled recipients before resuming so a repair does not become a duplicate introduction or an inaccurate old price.
Explore Coachful features for the email, audience and Offer workflow. Keep the actual entry and stop decisions reviewable, even when the routine sending is automated.
Troubleshoot common failures
The resource opens but no email arrives. Check whether the person chose the series, completed required confirmation, entered the correct list and remains eligible. Do not bypass suppression merely to make the funnel appear complete.
A booking is followed by another invitation. Check the recipient and exact booking event, then stop the acquisition enrollment. A Program stop rule cannot be assumed to cover an unrelated introduction.
A reply receives conflicting sales copy. Verify whether it was attributable and paused. Answer the actual question and decide whether to stop or resume; do not reflexively resume everyone after replying.
Link clicks are high but purchases are absent. Check the actual destination, price, scope and questions. Do not infer hidden resistance or claim that automated activity proves reader interest.
Frequently asked questions
Must every coaching sequence contain seven emails?
No. Seven is the explicitly described example here. Choose the amount of contact that serves the purpose and matches the reader's choice. A future shorter series needs its own clear description.
Does a worksheet request create marketing permission?
Not automatically. Distinguish the requested resource from the subsequent series and keep the appropriate permission evidence. Rules vary by jurisdiction and recipient; a technical funnel completion is not the legal analysis.
Does booking automatically stop every sequence?
No universal booking stop is established here. Configure and verify the supported event for the actual sequence, or have the responsible person stop the confirmed recipient enrollment. A Program enrollment is a separate event.
Can subscribers receive coaching through replies?
Only under an actual agreed service. In this example replies concern the resource and service fit, within a stated administrative response window. Joining the series does not create private coaching or emergency availability.
What happens to people who finish without buying?
The series ends. They retain the resource under its stated access arrangement and receive no unrelated newsletter merely because they completed the emails. Any later marketing must have its appropriate basis and respect current preferences.
