Membership Site Model for Coaches: Service and Costs

A membership site model for coaches works when it serves a continuing need through a service you can keep delivering. Recurring payment is the commercial arrangement. The product is the useful practice, reference material, facilitation or support that members receive during the access term.

Start with that service, then choose the technology and price. An archive of old lessons, weekly calls and unlimited messages do not become a coherent membership simply because they share a login. This guide compares delivery models, builds a complete fictional membership and follows its capacity, member experience and renewal arithmetic.

Coachful is our #1 recommendation for packaging the actual membership resources, Program, sessions and configured community access in a recurring Offer. It connects the purchase with delivery, while keeping each inclusion explicit. Describing “monthly coaching” in a benefit line does not create the corresponding session allowance.

Choose the continuing need before the membership model

Ask what members will still need after the first month. A reference library can help people solve recurring tasks. A practice group can provide a regular place to rehearse. Alumni may want an occasional application clinic after a finite program.

Each answer creates a different operating commitment. A library needs curation and reliable access. A facilitated group needs preparation, moderation and fair participation. A private support membership needs a response promise the coach can actually meet.

Distinguish an ongoing need from a finite learning sequence. If the product has six essential lessons and a defined finishing point, sell that bounded service honestly. A subscription should not depend on inventing more lessons merely to postpone the ending.

Defined ongoing coachingA stated amount of individual support remains useful.Actual session capacity and a bounded response commitment.

You can combine models, but every addition needs a reason and a workload estimate. The alumni program guide examines the transition from completed coaching; this article focuses on the continuing membership's service and operating model.

Build your platform

Write the promise as an operating specification

Replace “everything you need to thrive” with a list someone can check. State the audience, service, cadence, support route, access term and price. Explain which benefits are guaranteed inclusions and which depend on available practice places.

Separate attendance from individual attention. Forty people may be able to attend a group clinic, but a sixty-minute clinic cannot provide forty meaningful private coaching turns. If only a few volunteers receive direct feedback, say how they are selected and what observers receive.

Define the boundary of support. “Questions reviewed on Tuesday and Thursday working days” means something different from an immediate response. State what happens during planned leave and which matters require another professional or a separate engagement.

Check the work at a small starting size. A model that only becomes deliverable once one hundred people join is a fragile launch promise. Have a minimum viable service you can honor, a clear test and a way to stop new enrollment if capacity fails.

Worked model: a practical membership for first-time managers

All people, prices, membership figures and results in this example are fictional. They are planning assumptions, not market benchmarks, Coachful fees or customer evidence. Tessa coaches new managers. Intended readers of her sample material ask for a recurring place to prepare everyday management conversations, rather than another long introductory course.

1. Make the service small enough to deliver

Tessa designs Manager Practice Room with a forty-member pilot cap. It is for managers seeking general practice in framing requests and discussing work. It does not provide legal advice, handle an employer's formal grievance process or offer crisis support.

Service elementCompleted membership specification
Monthly rhythmTwo sixty-minute group clinics, with dates published in advance.
Clinic formatA fictional case, structured discussion and up to two eight-minute volunteer practice turns.
Reference materialA small maintained library of conversation examples and planning aids.
Between-session spaceOne course-related discussion space for practical questions, with facilitator review on two stated working days.
Individual attentionNo private coaching calls, unlimited messages or guaranteed volunteer turn each month.
Replay arrangementA separate teaching recap using fictional material, rather than a default recording of member disclosures.
Access and renewalMonthly recurring access under the stated cancellation and access terms, configured and checked before selling.

Tessa allocates each clinic's sixty minutes: ten for orientation, fifteen for the shared case, sixteen for two practice turns, nine for discussion and ten for choosing an application. That provides four volunteer turns across the two monthly clinics, not forty individual reviews.

Members can request a turn through a stated process. Tessa rotates opportunities where appropriate, checks suitability and offers fictional material. Observers identify a clear request, the evidence used and one possible revision. They receive a learning task rather than a promise of private coaching.

2. Show a member's first useful action

Omar joins to prepare for a workload conversation. He does not start by watching every recording. The welcome directs him to a one-page planning aid with four fields: situation, decision needed, request and next action.

Omar's fictional first draft: “We keep receiving urgent requests and the team cannot do everything. I want people to prioritize better.”

Revised decision: “We need the authorized lead to choose which existing deadline moves if the new request is accepted.”

Revised request: “Can we compare the new request with the two commitments due this week and confirm which work has priority?”

Next action: “Bring the current commitment list to the planning meeting and record the decision, rather than promise that everything will finish.”

The example does not establish Omar's actual workload or authority. It shows how the aid makes a vague wish into a bounded request. Omar can keep his real notes private and discuss the fictional version during a clinic.

At the end of the month, his review asks whether the aid and practice were useful, what remains unclear and whether the next month's service fits. Continued membership is a choice about future value, rather than a condition for keeping a friendship or completing a past promise.

3. Complete a first-month path

Point in the pathMember receives or doesTessa checks
Before paymentReads the actual service, total price, recurring period and cancellation information.Terms match the configured product and access.
After confirmed purchaseOpens the start page, planning aid and clinic schedule.Access is granted to the intended items and community.
First weekChooses one practical question and reads the participation rules.A private route exists for access problems or concerns.
Clinic participationUses the fictional case, volunteers if suitable or observes with prompts. The session honors the advertised allocation of time.
Between clinicsRevises a plan and uses the defined question space if needed.Support stays within the response commitment.
Renewal decisionUnderstands the next period, price and route to end renewal.Cancellation changes the relevant billing arrangement and access as stated.

This is an intended path that must be tested through the actual member experience. A successful payment alone does not prove that the planning aid, discussion audience and session access are all correct.

Budget the service before predicting recurring revenue

For Tessa's fictional planning model, monthly revenue is €30 per paying member after separating applicable sales tax. The customer-facing checkout must show the correct total and tax treatment. She assumes €1.50 of variable cost per member, leaving €28.50 contribution before fixed costs.

She budgets twelve hours each month at an internal planning rate of €40 per hour, or €480 of labor value. Fixed tools add €60, giving €540 of fixed modeled cost. The twelve hours include two live hours, three preparation and recap hours, four moderation hours and three administration and access-support hours.

Paying membersNet-of-sales-tax revenueAfter assumed variable costAfter €540 fixed modeled cost
1515 × €30 = €450.15 × €28.50 = €427.50.−€112.50.
2525 × €30 = €750.25 × €28.50 = €712.50.€172.50.
4040 × €30 = €1,200.40 × €28.50 = €1,140.€600.

The modeled break-even count is €540 divided by €28.50, about 18.95, rounded up to nineteen members. It is not a business-profit threshold. Acquisition, initial creation, refunds, failed collections, other overhead and income taxes are excluded, and the assumptions may be wrong.

If recurring work rises to eighteen hours, labor value becomes €720 and fixed modeled cost €780. At twenty-five members the same €712.50 contribution then leaves a €67.50 shortfall before exclusions. Moderation and private requests therefore matter as much as the headline subscription price.

Tessa keeps her paid launch small. In this fictional scenario, twenty-four people complete their first monthly payments at the stated terms. She sets a three-month pilot, a forty-member cap and a twelve-hour recurring monthly target, with a maximum fifteen-hour allowance while she diagnoses a problem. Initial setup has its own eight-hour budget and €100 cash allowance, separate from recurring costs.

She will open a subsequent enrollment window only if at least nineteen members remain actively paying, actual recurring work is at or below twelve hours and no critical access or delivery issue remains unresolved. If work exceeds fifteen hours, she pauses new enrollment immediately and reviews the scope while honoring existing commitments. First payments establish purchases in this fictional scenario; they do not guarantee renewals.

The pilot can be worthwhile as learning even if it does not repay setup costs. Record that choice honestly. Do not describe the recurring model as passive income when preparation, moderation and administration are essential to the service.

Read renewals without hiding departures inside new sales

Choose a clear period and starting group. Consider a separate fictional mature-month example with forty active paying members whose renewals all fall within the window. Five choose not to renew. Two more reach the end of the applicable payment-recovery process without a successful collection, and their access ends under the stated terms.

Thirty-three of the original forty renew successfully. Six new members complete purchases and remain active at the window's end. With no other starts, pauses or departures, the ending active count is 40 − 5 − 2 + 6 = 39.

MeasureCalculation for this exampleWhat it tells Tessa
Voluntary nonrenewal5 ÷ 40 = 12.5%.Departures chosen by the starting group.
Unrecovered payment lapse2 ÷ 40 = 5%.A separate source of lost active membership.
Total starting-group attrition7 ÷ 40 = 17.5%.All seven starting members no longer active.
Ending member change(39 − 40) ÷ 40 = −2.5%.Net count after the six new purchases.

The new members reduce the net decline; they do not erase seven departures from the starting group. These percentages are descriptive example calculations, not acceptable-churn targets or evidence about coaching memberships generally.

For this simplified window, thirty-three renewals plus six new purchases at €30 correspond to €1,170 of modeled collections after separating sales tax, assuming all those payments are collected in full with no refunds or proration. That is different from a future billing forecast and still not profit.

Keep payment status and access status precise. A single failed attempt may still be in recovery. A cancellation scheduled for period end may leave current access active. Do not count either as an immediate lost member merely because a broad dashboard label looks similar.

Ask for optional departure feedback, and allow “the service no longer fits” as a useful answer. Do not require a survey or sales call before completing cancellation. Review access problems and delivery gaps separately from someone successfully finishing the need that brought them in.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Make renewal, cancellation and archive rights understandable

State the currency, amount, recurring interval, any minimum term, renewal arrangement and cancellation route before payment. Explain any trial or introductory rate and the later charge. Check applicable legal and tax obligations for the markets served rather than copying a universal terms template.

The FTC's guidance following its Chegg settlement describes allegations about a confusing cancellation process and continuing charges. Its practical warning for subscription businesses is to make the cancellation method findable and usable. This is US enforcement context, not a complete global compliance checklist.

Specify whether resources remain available after the paid term ends. Downloaded personal-use worksheets, access to a maintained online library and live community participation can have different rights. Do not sell permanent access and later remove it because the new membership offer uses different terms.

Distinguish stopping future renewal, ending current access, issuing a refund and deleting records. They are different actions. A confirmation should reflect the action actually completed, the relevant date and any remaining rights. Do not infer a refund from a cancelled session or a removed community role.

Write a simple owner checklist: locate the exact purchase; inspect its current billing and access state; complete the requested authorized action through its actual controls; verify the resulting state; provide an accurate confirmation. A customer should not have to understand your internal product structure to exercise a clear choice.

A completed cancellation and access record

In a separate fictional example, Omar's membership period runs from 1 September through 30 September, with the next renewal due on 1 October. He asks on 10 September to stop that renewal. The terms sold to him retain membership access through the current paid period. He also owns a separate one-time course whose purchased access continues independently.

Tessa inspects the exact membership purchase, completes the authorized renewal cancellation and checks the recorded effective date. She does not delete Omar's client record or remove the separately purchased course. No refund is requested or recorded in this example.

Record fieldCompleted fictional record
RequestStop the membership renewal due on 1 October.
Confirmed billing resultFuture renewal stopped for this membership; no refund recorded.
Current membership accessContinues through 30 September under the terms purchased.
Separate courseUnchanged under its own purchase and access terms.
VerificationThe saved purchase shows renewal stopped, with no 1 October renewal due. Membership access remains through 30 September. The separately purchased course still opens through its unchanged entitlement.

After checking those fictional results, Tessa records this case confirmation: “Your membership will not renew on 1 October. Your current membership access continues through 30 September. Your separately purchased course remains available under its original terms. No refund was requested or issued.” This is an illustrative confirmation, not an assertion that a real account was changed.

The example's dates and terms are deliberately explicit. Another product may have a different lawful arrangement. The lesson is to identify the actual purchase and effective change. An email preference, archived roster entry or inaccessible community page alone would not support that billing confirmation.

Configure the membership's actual inclusions in Coachful

  1. Assemble the service. Use a suitable ongoing Program where structured coaching over time is needed, or the actual resources, sessions and community for a simpler service. An Offer sells those items; it does not replace their delivery setup.
  2. Select What they get. Include the actual Program, resources and configured relationship or community access. Set session quantities deliberately if individual sessions are sold. Additional benefits are descriptive text and do not grant fulfillment.
  3. Set Price & sharing. Choose the real recurring period, selling currencies and price. Review the buyer-facing summary against the written promise, including access length and renewal.
  4. Check the community scope. Program community and Main community feed are different choices. Selecting Not included by this offer grants no new main-feed access; it does not revoke access a member already has from another source.
  5. Verify the complete path. Check purchase, actual access, resources, sessions, preferences and the stated cancellation route before an authorized launch. A draft can be prepared before payouts are connected; publishing a paid Offer requires payouts to be ready.

The demo Offers page below illustrates service formats and example prices. It is not Tessa's membership, the price of Coachful or proof that the right resources have been selected in your own Offer.

Coachful demo coaching offers with different service formats
Coachful’s demo Offers page illustrates different service formats and example offer prices.

If future plans need different levels, Coachful supports tiers within one Offer, with inclusions selected for each tier. Existing buyers keep the plan, price and access they bought; editing a tier is not a way to silently replace their terms. The detailed membership tier guide covers that separate design question.

Keep the first pilot simpler when one plan meets the need. More tiers create more promises to test. Explore Coachful's membership and delivery features against the actual service specification.

Make the community useful without requiring constant participation

Organize around a small number of tasks and a readable start point. Explain which questions belong in the shared space, who moderates them and how to raise a concern privately. More channels do not automatically make a more valuable service.

State boundaries on solicitation, sharing other people's material and identifying employers or clients. Ask members to use sanitized or fictional cases. Do not imply that a peer's membership makes them an authorized adviser on legal, clinical or financial matters.

The community demo below shows posts and a live discussion entry. Its visible sample activity does not establish Tessa's member engagement or promise that every member will post.

Coachful demo community feed with posts and a live discussion entry
Coachful’s demo community feed includes posts and a live-discussion entry.

Separate service information from promotion. The ICO's electronic-mail guidance distinguishes purely administrative messages from marketing. Adding a sales pitch can change the character of a message. Review the audience, content and applicable permissions rather than treating membership as blanket marketing consent.

Likewise, an email opt-out does not establish that recurring billing stopped. Explain how members can manage the actual choices. A quiet member may still use the library and value the service; do not use visible post frequency as a diagnosis of their commitment.

When a finite product is the better decision

A second fictional coach has four strong lessons about preparing a first board presentation. The audience mainly needs the material once. They do not request ongoing practice, and the coach has no clear recurring service beyond adding more recordings.

A finite course with a defined review or workshop fits that need more honestly. The coach can later offer a separate practice membership if there is evidence of a continuing task and enough capacity. Recurring revenue is not a reason to conceal that the useful work has an ending.

When members leave because the need is complete, respect the outcome. Keep any appropriate optional next service distinct from existing rights and make the current service easy to finish.

Frequently asked questions

How many members do I need before launching?

Use your costs, time and actual demand. Tessa's fictional break-even count follows her assumptions and exclusions. It is not a market threshold, and a paid pilot still needs a service you can honor at its starting size.

Should I add a new course every month?

Only if that is part of a useful, deliverable promise. A maintained reference library and meaningful practice may serve the continuing task better. Do not create content volume simply to discourage cancellation.

Can every member receive feedback during a group call?

Only if you have allocated enough time and sold that promise. Tessa's two clinics contain four volunteer turns across the month. Observing with a learning task is a different inclusion from individual coaching.

Is monthly recurring revenue the same as cash or profit?

No. A billing run rate describes an arrangement. Collections depend on actual payments; profit also depends on costs, tax and accounting treatment. Track the relevant measures separately.

What is a good membership churn rate?

There is no universal target established here. Define the period and starting group, separate voluntary departures from payment loss and examine why members leave. Net growth can conceal a large loss from the original group.

Does cancelling a membership always remove every resource?

No universal assumption is safe. Check the purchased terms, effective date and actual grants, including other purchases. Cancellation, current access, refunds and record deletion are separate decisions that must be confirmed accurately.
