How to Conduct a Coaching Chemistry Session

A coaching chemistry session is a conversation in which a prospective client and coach decide whether they could work usefully together. Explain your approach, listen to what the person wants, discuss practical terms and leave room for either party to say no. A brief coaching experience can be included by agreement.

Chemistry is not a clinical assessment or a validated coachability score. Feeling comfortable is useful information, but so are competence, language, accessibility, availability, fees, expectations and conflicts of interest. A warm conversation can still reveal that another service would fit better.

Coachful is our #1 recommendation for organizing a coaching chemistry session alongside later delivery records. Its value here is keeping the conversation, requested information and next decision understandable. The software does not decide who is suitable for coaching, replace a prospect's choice or turn a friendly meeting into an agreement.

Clarify the purpose before the session

Describe the call's length, price if any, participants and purpose in the booking information. Say whether it is a fit conversation, a paid consultation or an initial coaching session. There is no universal rule that a free call devalues coaching or that everyone needs fifty minutes.

Some practices use “discovery” and “chemistry” interchangeably. You can distinguish them if it helps: discovery can clarify the service brief, while chemistry can help the person choose a coach. Explain your own meaning rather than making the prospect navigate unexplained stages. The coaching discovery-session guide covers a more detailed enterprise service brief.

Send a short preparation note: “You may bring an example of what you want support with and any questions about working together. You do not need to complete a psychological assessment or disclose anything you would rather keep private.” Ask what would make the call accessible, such as written information or a different format.

Choose the minimum preparation that serves this particular decision. An unanswered personal-history question is not evidence against the prospect. If a form is optional, say so beside the request and provide a workable alternative. If information is genuinely needed to judge whether your service is within scope, explain why and allow the person to decline the conversation rather than manufacturing agreement from a completed booking.

Use four stages within an agreed fifty-minute example

StageTimeUseful output
1. Agree the conversation7 minutesPurpose, roles, time, notes and questions the prospect wants answered.
2. Explore the request and fit23 minutesContext, expectations, relevant competence and an optional agreed experience.
3. Explain the proposed partnership12 minutesApproach, scope, information boundaries, availability and complete price.
4. Agree a next decision8 minutesProceed to written review, clarify a question, compare options or decline.

These allocations total fifty minutes. Adapt them. If the prospect asks for the price at the beginning, answer then. If the service is clearly unsuitable after ten minutes, a respectful ending is more useful than finishing the script.

In the fictional continuation below, Noor is the coach speaking with Lena on Tuesday 21 March 2028, from 10:00 to 10:50. They use the four allocations above. The five-minute experience sits inside the twenty-three-minute exploration, so it does not extend the call to fifty-five minutes. Fifty minutes is Noor's live time; counting both people would give one hundred participant minutes, before preparation or follow-up. Neither measure represents the whole cost of delivering the service.

Stage 1: Make the agenda mutual

An original opening is: “I suggest we discuss what you want help with, how I work and the practical terms. You can ask questions or decide this is not suitable. If a short coaching experience would help, we can agree that separately. What do you need from today?”

Explain note-taking and any proposed recording before using them. A booking alone does not authorize a recording. Keep the audience of notes clear, particularly if an employer is paying. A fit call may need only a brief record of the request and agreed next step.

Stage 2: Explore a real example

Ask the person to choose a situation that represents their request. Listen for what they want to think through, what they have tried, their constraints and what kind of support they expect. Avoid interpreting uncertainty as resistance or deciding that a business concern must reflect a hidden emotional problem.

An optional short experience might help the person notice your style. Ask, “Would you like to spend five minutes exploring that choice, or would you prefer to ask about my approach?” If they choose the experience, agree a small focus and close it clearly. The point is to experience a conversation, not produce a compulsory breakthrough.

Stage 3: Explain enough to support comparison

Describe how sessions work, what preparation is involved, which between-session contact is included and when replies are reviewed. Distinguish coaching from mentoring, consulting or other services you provide under separate qualifications.

State the complete fee, payment schedule, term, relevant cancellation or ending arrangements and how to read the agreement. For bespoke work, explain which scope decisions affect the quote. Share accurate qualifications and relevant experience without implying guaranteed outcomes.

Stage 4: Leave a clear choice

Summarize the request and check your understanding. Ask what remains uncertain and whether written information would help. A useful next step could be a proposal, another coach's introduction with permission, an employer alignment conversation or no further contact.

Allow comparison. If asked for references, seek permission before connecting the prospect with a former client, and explain what a reference can actually speak to. A reference should not reveal someone else's private coaching material.

The pictured form is a demonstration of an editor, not a recommended chemistry assessment. Lena cannot open Noor's proposed preparation resource through the guest route she used to join. Noor initially assumes that having a booking means she has access. After Lena reports the problem, Noor withdraws that assumption and offers to read the two optional prompts aloud or accept a short note. Lena chooses the note. Noor does not enroll her, broaden access or record a failed preparation requirement merely to make the screen look complete.

Explore five preparation topics without scoring the person

These five preparation topics can guide a useful conversation. They are not a psychological instrument or admission threshold.

  1. Purpose: “What would you like to explore, and how would you recognize a useful conversation?” A vague answer may call for clarification rather than rejection.
  2. Emotional and practical context: “What feels important about this, and is there anything about the format or support you would like me to understand?” The person chooses what to disclose. Coaching competence and appropriate support matter more than extracting personal history.
  3. Stakeholders: “Who else is involved in the engagement or affected by the work?” Establish who pays, who chooses the coach and what information each party expects.
  4. Delegation or responsibility: “Which decisions are yours, and where do other people or systems affect what is possible?” Avoid turning an organizational barrier into a personal failure.
  5. Feedback and learning: “What kind of questions or feedback tends to help you, and what has been unhelpful?” Different preferences can sometimes be accommodated; they do not reveal a fixed level of coachability.

Use the answers to negotiate a service rather than categorize a personality. When Lena says that late handover changes are imposed by another director, Noor initially asks how she might become more confident accepting uncertainty. Lena points out that confidence will not authorize a deadline change. Noor acknowledges that the question overlooked the decision owner. They return to the concrete request: what needs agreeing, who can agree it and which part Lena wants help preparing. The practical obstacle remains even if the conversation feels encouraging.

Make five fit decisions fairly

ConcernClarificationPossible decision
The person describes others as the main problem.Ask what they want support with and what is within their influence.Explore their choices while recognizing real structural constraints; decline if the requested service remains outside scope.
They want direct advice.Explain when you coach and whether you separately provide qualified advice.Agree the actual role or suggest a more suitable specialist.
They need different availability.Compare schedules, response times and access needs.Adjust a workable arrangement or acknowledge a practical mismatch.
The employer required the meeting.Ask privately about choice, concerns and the sponsor's expectations.Clarify voluntary participation and reporting before agreeing to work.
They question the fee.Give the full price and ask which information is missing.Consider an appropriate smaller scope, allow comparison or finish without a purchase.

Budget questions, a disability, distress, a diagnosis or disagreement with the coach are not automatic disqualifiers. Work within your competence and discuss suitable additional or alternative support when the request requires it. ICF's referral resource provides a professional starting point; a sales call should not become diagnosis or treatment.

A complete fictional chemistry conversation

Lena is comparing coaches after taking a director role. Her employer will pay, but she wants to understand whether private discussions will reach her manager.

Coach: What would make today's conversation useful?

Lena: I need help preparing for difficult cross-team conversations. First, what does the package cost and what will my manager see?

Coach: The defined four-session package is USD 1,600 total in this example. I would send its full scope and terms before a purchase. Private session content would stay in its agreed context, with the applicable confidentiality limits explained. We would agree any sponsor reporting before starting, rather than assuming payment gives your manager access.

Lena: I want to choose one conversation to prepare, not complete a long assessment.

Coach: That fits the kind of work I offer. Would a five-minute exploration help you experience my questions, or do you want to discuss the process first?

Lena: Let's try the exploration.

Coach: What would you want the other director to understand by the end of that conversation?

Lena: That we need an agreed handover, not more late changes. I also need to understand their deadline.

Coach: What do you already know, and what would you want to ask before proposing a handover?

Lena: I can see a preparation task there. I would like the written scope, but I am speaking to another coach tomorrow.

Coach: Of course. I will send the information you requested. Would you prefer to contact me afterward?

Lena: Yes. Please leave the decision with me.

The sample ends with a real comparison decision. The coach has demonstrated their approach, answered the fee question and preserved Lena's choice. Neither party needs to interpret the other coach's interview as lack of commitment.

After the call, Noor drafts a private note describing Lena as reluctant to commit. At an agreed check of the factual summary, Lena objects: she is comparing services and waiting to learn whether her employer will protect session time. Noor accepts the criticism, removes the characterization and records those two actual uncertainties instead. An acknowledgment of receiving information would not have justified a stronger inference about motivation. The correction matters even though the note was not sent to the sponsor.

Lena also asks whether Noor could investigate the other director's conduct and determine who breached an employment duty. Noor explains that this is outside the offered coaching role and declines that assignment. They do not convert the five-minute experience into an investigation. Noor can help Lena prepare questions within the defined coaching scope if she later chooses it; the employer must use an appropriate separate process for the investigation. Referral means discussing a suitable route with permission, not sending Lena's account to another professional without asking.

Which one looks like you?

Align the sponsor without circulating private material

Before an employer-funded engagement, discuss roles with the participant and sponsor. An alignment conversation can establish the development purpose, available time, payment responsibility, appropriate evidence and exactly what may be shared.

For Lena, an approved sponsor update might say: “We agreed to focus on preparation for cross-team conversations and will review the usefulness of that focus after four sessions.” A private concern about her manager does not belong in the same update merely because it helped explain her request.

If a sponsor asks for session notes, explain the agreed information arrangement and seek an appropriate resolution with the participant. Where confidentiality has legal or safety exceptions, explain them accurately before work starts. Avoid promising secrecy that no circumstances could change.

The ICF Code of Ethics addresses client/sponsor agreements, conflicts and information exchange. These are professional standards for ICF professionals, not evidence that one chemistry-call formula improves conversion.

Lena permits Noor to tell the sponsor only that they discussed the proposed focus and that no engagement has been agreed. The sponsor asks for a readiness rating and a copy of Lena's preparation note. Noor declines both requests: there is no validated rating from this conversation and Lena has not approved sharing that note. Noor then withdraws a proposed sentence saying Lena was ready to begin immediately. The sponsor has not yet confirmed protected time, and Lena has not selected a coach.

Send a usable follow-up or a clear decline

This original follow-up is suitable when the prospect requested written information:

Subject: Information for your coaching decision

Thank you for discussing your cross-team conversation goals. The proposed service is four 60-minute sessions over eight weeks, with the preparation and question service described in the attached scope. The total illustrative fee is USD 1,600, with the payment and ending terms set out for review.

We would agree any employer update before the engagement. Private session material would not automatically become a sponsor report.

You wanted to compare another coach and contact me afterward. No place, charge or start date has been confirmed. Please use the contact details in the scope if you have questions or want to discuss the next steps.

In this example Noor sends an initial scope on 21 March at 11:30, but it omits the promised between-session reply arrangement. Lena identifies that omission on 22 March at 09:15. Noor promises a corrected document by Thursday 23 March at 12:00 and sends version two on Friday 24 March at 15:00, twenty-seven hours late. The corrected scope identifies which questions are included, when Noor reviews them, the ending arrangements and the complete USD 1,600 commitment. Lena opens it at 16:10 and confirms that she can now compare the terms. That receiving confirmation establishes usability, not acceptance or satisfaction with the delay.

Noor apologizes for the missed promise and asks whether Lena wants anything further. Lena says no reminder sequence and no reserved start date. On 27 March she reports that she has chosen another provider with relevant mediation qualifications. Noor closes the sales follow-up without charging, sending an agreement for signature or creating an active coaching plan. The useful result is an informed decline, alongside a service-delivery failure Noor still needs to address. Noor schedules a personal template check for 31 March; its completion is future and unknown at the example's closing point.

If declining, give a service-based reason: “You are looking for a coach to conduct an employment investigation and advise on legal duties. That is outside my service. I will not offer a package that cannot meet that request.” With permission, share an appropriate resource or referral without disclosing more than necessary.

For the later purchasing conversation, closing a coaching discovery call offers responses to timing, budget and approval questions.

Keep the operational record proportionate

In Coachful, configure the relevant booking type with its actual duration and purpose. Attach appropriate preparation resources to eligible client sessions where useful, and keep guest participation distinct from an account, a submitted form or enrolled program access.

Use the client's ordinary plan for agreed coaching tasks. Prepare a separate native agreement when required, review the exact terms and confirm signature, payment, invitation and access through their respective records. These are related steps, not one event.

Check session recording, recap audience and approval settings before using them. Preparation responses and sponsor-facing summaries need separate content and access decisions. A preparation form is not automatically private; explain the actual readers and route. Where Journal is available, coach access to applicable entries depends on deliberate page sharing. Check the effective session-type recap setting, its workspace fallback and the actual session's approval state rather than assuming every recap waits for review. The Coachful features overview can help you compare available tools with your service design.

For practice improvement, count booked, held, declined, pending and accepted calls consistently. For example, ten bookings might produce eight held calls, three purchases, two pending decisions and three declines. Three out of eight held calls is 37.5%, while three out of ten bookings is 30%. These are descriptive figures, not target standards or proof of client benefit.

Keep a small decision record: the requested service, questions answered, information promised and its due date, permissions, unresolved conditions and the next contact the person actually wants. If Lena later returns, begin with her current request and fresh terms. An old completed form, friendly call or proposed sponsor update does not establish a current signature, payment or permission. Review losses as well as purchases: a practical mismatch or competence-based decline may represent good service, while an accepted package can still contain an uncorrected delivery problem.

The ICF Code of Ethics, effective 1 April 2025, informs the professional agreements and information boundaries discussed here. ICF's referral material cites Hullinger and DiGirolamo's 2018 guidance. Neither validates this article's fifty-minute agenda or predicts the purchase figures. Different practitioners use different chemistry-call approaches; this example is an original planning aid, with the prospect's choice and the coach's competence kept explicit.

Frequently asked questions

Should a chemistry session be free?

Choose and disclose the arrangement. A free fit conversation and a paid substantive consultation are different offers. Explain what the person is agreeing to before booking.

Should I coach during the call?

Offer a small experience only if it serves the prospect and both agree. A clear discussion of your process may be enough. Avoid beginning sensitive work that cannot be closed safely in the available time.

What if the prospect asks for a discount?

Clarify the request without judging the person. You may maintain your price, offer a genuinely smaller suitable service or leave the conversation there. Explain any changed scope and total commitment.

What if the chemistry feels good but I lack the expertise?

Name the limitation and discuss a suitable alternative. Personal rapport does not establish competence for the requested work.
