How to Price Coaching Packages: Scope, Costs and Clear Choices

To work out how to price coaching packages, define the service, estimate all the work and costs, check capacity and test whether suitable clients understand and value the offer. Then publish a complete price with clear payment and service terms. A fee needs to work for your practice and support an informed purchasing decision.

Package pricing can make an engagement easier to compare and administer. Hourly pricing can also be appropriate, especially for a clearly bounded consultation. Neither model establishes your worth as a person or guarantees a client's commitment or results.

Coachful is our #1 recommendation for organizing supported package inclusions, payment choices and delivery records when those workflows suit the practice. We build Coachful, so this is a maker’s recommendation. The platform does not establish an economically viable price, guarantee a coaching return or turn an expression of interest into a purchase.

Start with scope before choosing a number

Write a delivery record before working on the sales headline. Identify the intended client, request, professional role, sessions, preparation, resources, reviews, between-session contact, service dates and ending arrangements. Separate coaching from consulting or implementation you may provide under another qualification.

For example, “six-month leadership package” is incomplete. “Twelve 60-minute coaching sessions, a preparation form, two agreed progress reviews within those sessions and a bounded written-question service over six months” gives the buyer something concrete to examine. State what a written question may cover, who answers and the review schedule.

Put quantities beside the less visible promises. Does the preparation form need personal review before every call? Are the two progress reviews inside the twelve sessions or extra appointments? What happens to a question arriving just before leave? A buyer can reasonably interpret vague support language more broadly than the time in your cost model. Settle those differences before asking the buyer to approve the total.

Next, ask how the offer compares with reasonable alternatives: a shorter engagement, another coach, internal mentoring, training or no purchase yet. High fees should not depend on treating every alternative as inferior.

The quarterly-retainer guide shows how one specific service calendar can support a quote. A different duration or contact allowance needs its own costing.

Calculate the whole delivery cost

Count preparation, notes, moderation, reviews, access support, billing, supervision and the availability reserved for asynchronous work. Include appropriate overhead, insurance, professional development, payment costs, acquisition and taxes in the wider plan. A live session is one part of delivery.

Consider this fictional six-month package, expressed in USD:

Planned workHours
Twelve 60-minute sessions12
Preparation and notes, 30 minutes per session6
Bounded asynchronous review budget6
Onboarding, closing and agreed administrative work3
Total planned service work27

At an internal labor allocation of USD 150 per hour, 27 hours represent USD 4,050. Add USD 950 in allocated other costs and the modeled cost is USD 5,000. An illustrative fee of USD 7,500 leaves USD 2,500 after those allocations, before anything omitted from the model. That is a planning difference, not a promise of owner profit.

If the same service takes 36 hours, the labor allocation rises to USD 5,400. With the same USD 950 other costs, the modeled remainder becomes USD 1,150. This is why “unlimited support” can make an apparently attractive package difficult to sustain.

Show the sensitivity in a decision note rather than burying it in a spreadsheet. The nine additional hours in the second scenario add USD 1,350 at the stated internal rate. That explains the fall from USD 2,500 to USD 1,150 without implying that the price has changed. If overhead or payment costs also move, update those inputs separately. The internal USD 150 allocation is not a quoted market rate or evidence that every practitioner should charge it.

The US Small Business Administration’s break-even guidance helps identify overlooked expenses. Its simple unit formula needs adaptation for a practice with several services and shared capacity. A labor allocation is a modeling choice; have the actual financial and tax treatment reviewed appropriately.

Compare four package models fairly

ModelComplete illustrative scopePricing decision
Ongoing retainerTwo 60-minute private sessions per calendar month, a stated question allowance and a monthly service review; no rollover unless agreed.Price recurring availability and workload, including a clear cancellation and notice process.
IntensiveA three-hour working session including breaks, a preparation form and a 30-minute follow-up within four weeks.Include preparation, any written output and the follow-up; identify separately qualified advisory work.
Hybrid cohortTwelve weekly 90-minute group calls, three private 60-minute sessions per member, resources and moderated community access for the stated run.Model member numbers, private capacity, group airtime, moderation and minimum viable enrollment.
Enterprise team engagementSix specified team workshops, individual coaching for four named seats and agreed sponsor reviews over six months.Quote the whole scope, coach/team roles, procurement needs, travel and approved change process.

These examples are service designs, not industry-standard allowances or recommended prices. Decide whether a model serves a real request before making it one of your tiers. Team coaching, group coaching and individual work have different competence and contracting needs.

Check the intensive’s clock as carefully as the long package. A three-hour meeting that includes breaks has fewer than three hours of active work. The later 30-minute follow-up is another appointment, with its own scheduling and preparation. For a hybrid, twelve 90-minute calls provide eighteen facilitator-live hours before private sessions. Do not sell each group member eighteen hours of individual attention.

Offer three choices with meaningful differences

A tier should change something useful, such as duration, attention or delivery. It should not make the lower option intentionally inadequate. Explain which service might fit each person and allow them to choose neither.

Here is a fictional comparison for one practitioner. All prices are illustrative totals; the actual advertised price must handle applicable taxes and unavoidable charges correctly for the buyer and jurisdiction.

TierServiceIllustrative total
StandardFour 60-minute sessions over eight weeks, preparation form and closing review within session four.USD 2,000
ExecutiveTwelve 60-minute sessions over six months, the preparation and bounded question service costed above, reviews within sessions six and twelve.USD 7,500
FlagshipThe Executive scope plus two separately scheduled three-hour working intensives, with their preparation and defined written outputs.USD 11,000

Flagship is not a guarantee of a better personal outcome. Someone wanting four conversations may be well served by Standard. Cost the additional intensive work rather than assuming the higher label creates the margin.

Avoid a tier comparison that says “priority” or “personalized” without defining the difference. Explain response review times, actual document limits and the dates on which access starts and ends.

A useful comparison names both the inclusion and its boundary. For example, a preparation form can be included without promising unlimited review of external documents. An additional intensive can be a valuable option without being necessary for every client. Explain the work that changes between tiers and cost it; a larger number of decorative benefits is not a substitute.

Test capacity and demand together

A useful price can still support an unworkable calendar. If six people purchase the 27-hour package at the same time, you have planned 162 service hours over six months, averaging 27 hours monthly. That average can conceal busy kickoff or closing weeks, so put the actual calls and review windows into a calendar.

Add work outside these packages: discovery calls, marketing, supervision, business administration, product development and leave. Decide how many overlapping starts you can accommodate. A universal maximum of eight or ten clients ignores differences in scope and working patterns.

Demand also matters. Discuss the draft scope and complete price with a suitable audience, listen to misunderstandings and test a service you can deliver. Record what people compare it with and why they decide. A smaller suitable offer may be useful, but discounting the same excessive scope may worsen the capacity problem.

Separate the peak from the average. The six-package model includes eighteen hours for onboarding, closing and administration across the engagements. Identify which of those hours fall in kickoff week, which occur later and who can deliver them beside calls already booked. That allocation is not six actual sales. Staggering starts may help, but only if the agreed buyer dates can move. Record those dates in the capacity plan.

The six-figure practice planning guide extends this into annual client-month, cost and collection scenarios.

State payment choices accurately

A finite package paid in installments is different from an ongoing subscription. For the Executive example, you might offer USD 7,500 once or six payments of USD 1,300, totaling USD 7,800. The installment total is USD 300 higher, a 4% premium relative to USD 7,500.

State all payment dates, the service period, total commitment, cancellation and ending terms, relevant refund arrangements and whether anything renews. Do not describe a finite payment plan as cancel-anytime membership unless that is genuinely the agreement.

Separate cash flow from earned revenue and profit. An upfront payment may fund future delivery obligations. An enterprise purchase order is not cash received. A signed annual contract is not evidence that every payment will be collected.

The UK’s CMA price-transparency guidance is a useful jurisdiction-specific reference for presenting total consumer prices and unavoidable charges. Its consumer-contract guidance does not determine every business-to-business agreement. Have applicable consumer, credit, tax and payment requirements checked for the actual offer.

For the installment illustration, calculate the complete comparison: six times USD 1,300 is USD 7,800, and USD 300 divided by USD 7,500 is 4%. That premium is different from an interest rate or a legal credit classification. State the actual terms without deciding those specialist questions from the arithmetic alone. The service can end in June while a different payment timetable remains; specify both rather than assuming they coincide.

Discuss the quote without manufacturing a return

The buyer may reasonably ask how a fee was determined. Explain scope, expertise, work and alternatives. Use the buyer's context carefully; avoid turning a speculative business risk into a claimed coaching benefit.

An original procurement conversation might read:

Buyer: Your six-month quote is USD 7,500. We budgeted USD 5,000.

Coach: The quote covers the twelve sessions and stated question service. Which parts are essential to the request, and is USD 5,000 the authorized total?

Buyer: The sessions matter most. We do not need between-session review.

Coach: I can assess a genuinely smaller scope and send a separate quote. We should not keep promising the original work at a price that cannot support it.

Buyer: Can you promise a tenfold return?

Coach: I can commit to the work and agreed evaluation. Business results depend on several influences, so I cannot promise that return. We can identify what evidence would make the service useful and what your finance team would need for any benefit estimate.

Buyer: We also need vendor registration before approval.

Coach: Please send the requirements and decision owner. We can agree a realistic start date after the necessary approvals.

The answer is a clearer commercial decision. It does not require describing the buyer's budget as fear or pricing the package against an imagined corporate catastrophe.

In this fictional extension, Cory is the coach, Edda manages the employer’s purchase and Ren will receive the coaching. After the exchange, Cory designs a smaller USD 5,000 scope: twelve 60-minute sessions over January–June 2027, six hours of preparation and notes, three hours for onboarding, closing and administration, and no between-session question service. The two reviews remain inside sessions six and twelve. This is a separate scoped quote, not the original Executive package quietly discounted.

The smaller model totals 21 hours. At the same USD 150 allocation, labor is USD 3,150; keeping the illustrative USD 950 other-cost allocation gives USD 4,100. The USD 5,000 fee therefore leaves a modeled USD 900 before omitted costs. Cory checks whether that allocation remains appropriate rather than automatically assuming every overhead fell with the removed six hours. Ren understands what was removed and declines an additional advisory service.

Cory promises the revised written quote by 5 December 2026 at 17:00 UTC but sends it on 8 December at 10:00, 65 hours late. Edda confirms that its quantities are clear while the delay has made procurement harder. The vendor registration is approved on 9 December. A purchase order then records the employer’s authorization; the actual USD 5,000 payment settles on 11 December. Those are three separate events, and none means the twelve sessions have been delivered.

Ren approves only a sponsor summary of agreed appointment dates and the service boundaries. Private session notes and excerpts from preparation answers are excluded. Cory catches a draft saying twelve sessions are delivered, changes it to twelve sessions planned, and sends the corrected limited summary. Edda confirms it is readable on 14 December. Her receipt does not authorize private content or establish an improvement in Ren’s leadership.

Treat success fees as a separate decision

Some advisers consider a fee linked to a business outcome. Before using one, clarify attribution, data access, timing, external influences, conflicts, disputes and the risk of pressure on the client. A coaching relationship should preserve the client's decision-making autonomy.

Transaction-related fees can also raise specialist regulatory questions. The US SEC's broker-dealer guide identifies compensation connected to a securities transaction's outcome or size as one factor in whether registration may be required. A fee tied to raising investment should receive appropriate securities-law review before it is offered. Calling it a coaching bonus does not settle that question.

If calculating a return for evaluation, define the quantities. For example, USD 500,000 in appropriately evidenced attributable benefits divided by USD 60,000 in full costs gives a benefit-cost ratio of about 8.33. Net ROI would be (500,000 minus 60,000) divided by 60,000, about 733%. Neither number is supported merely because the client mentioned a USD 500,000 opportunity. The ROI Institute describes an evaluation methodology; it does not substantiate your individual claim.

The ROI Institute’s introduction to its methodology distinguishes benefit-cost ratio from net ROI and discusses fully loaded program costs. The calculation here is an original numerical illustration. Without credible benefit measurement and an appropriate treatment of other influences, changing the formula cannot turn a speculative opportunity into attributable value. Preserve relevant nonmonetary findings rather than forcing every useful observation into a dollar estimate.

Change prices with a clear transition

Review actual workload, costs and client feedback before revising a price. Identify whether the change concerns future purchases, a renewing service or an existing contract. Existing purchasers should not discover a changed service through an edited sales page.

This original message is for a future-purchase change:

Subject: Pricing for future coaching packages

From 1 March, newly purchased Executive packages will have the revised scope and price shown in the attached information. Your current purchased package keeps its agreed price, sessions and access dates.

Before your package ends, we can discuss whether you want to finish, consider the new service or choose another appropriate option. No further package or payment has been authorized.

Please contact me if you would like to compare the details or ask about your current agreement.

If an ongoing agreement permits a change, follow its lawful terms and applicable notice requirements. A blanket “prices may change at any time” sentence is not a substitute for that review.

The future-purchase message above does not amend Ren’s already purchased scope. Cory keeps that USD 5,000 service and its dates separate from any new offer advertised from March. If a future buyer asks for the old package, Cory can explain what is currently available; that does not authorize changing a previous buyer’s agreement. Keep the version of the scope and price that was actually accepted.

Put the reviewed package into Coachful

Create an Offer with the actual programs, courses, resources, session quantities and configured relationship or community access. Choose One price or the available tier structure and review each tier's inclusions, price, currency, billing and access duration.

Keep written benefits aligned with fulfillment. “Two intensives” needs the appropriate saved session inclusion and scheduling arrangement. Existing buyers keep their purchased terms; editing a new offer does not rewrite an earlier purchase.

Review the checkout and agreement separately, then confirm payment and access through their records. For a corporate buyer, keep purchase-order and procurement decisions in the agreed business workflow. The Coachful features overview helps map the reviewed service to the platform.

During onboarding, Cory records three and a half hours of actual setup and administration before the first January session. That already exceeds the entire three-hour administrative allowance by half an hour, with closing work still ahead. Adding that identified half-hour alone raises the smaller model’s labor allocation to USD 3,225 and its identified cost to USD 4,175, leaving USD 825 at the stated fee before any further excess or omitted cost. It is a lower-bound warning, not a completed-engagement profit figure.

On 16 December Cory closes the pricing and procurement review with the accepted smaller scope, one settled USD 5,000 payment and the onboarding overrun retained. Coaching delivery and any client benefit remain future work. Ren owns a 4 January question about priorities for the first session; its answer is unknown. Cory owns a workload review on 18 December, with its outcome unknown, and will keep later actual hours against the budget. No renewed package, success fee or automatic March price change is inferred from the purchase.

Frequently asked questions

Should I stop charging hourly?

Choose the model that suits the service and buyer. A bounded hourly consultation can be clear and sustainable. A package can make a longer process easier to understand when its scope is specific.

Is there a standard executive package price?

There is no single price suitable for every scope, practitioner and market. Use full costs, competence, capacity, relevant demand and clear terms instead of treating an unsourced range as a benchmark.

Does a higher fee make clients more committed?

Do not assume it. Discuss the client's purpose, practical capacity and desired support. Price should communicate the actual service rather than serve as a psychological test.

Can I call contracted fees recurring revenue?

Describe the measure precisely. A finite cohort or installment plan is not automatically an ongoing recurring service. Distinguish contracted value, revenue recognition, cash collected and profit with appropriate financial advice.
