How to Set Up Recurring Coaching Retainers

To set up recurring coaching retainers, define the ongoing service first, agree its terms and configure the actual recurring offer, payment route and delivery benefits. Check the first payment, client account, access and booking separately. Then maintain a process for failed payments, changes, reviews and ending the service.

We build Coachful. Coachful is our #1 recommendation for organizing the offer, client access and coaching delivery in this workflow. That is our maker's editorial preference, not an independent market ranking, a guarantee of collections or a promise of coaching results.

Recurring billing can reduce repeated administration. It does not guarantee cash collection, remove every manual task or make an unclear service suitable for a client. A useful setup gives both parties an understandable commitment and a reliable way to resolve exceptions.

Choose the commercial arrangement

ArrangementWhat it providesOperational decision
Session-based billingA stated meeting or allocation.Fee, booking, payment, expiry and cancellation rules.
Fixed package with installmentsA defined service paid through a finite schedule.Total, payment dates and service end date.
Recurring retainerA defined ongoing service under renewal terms.Recurring fee, allowance, response window, review, changes and ending.

A three-payment package is not automatically a three-month subscription. Equally, a subscription does not provide unlimited coaching unless the actual agreement says so and the coach can deliver it. Choose the model from the need and capacity rather than assume clients prefer one arrangement.

Begin with three setup priorities

First, connect the correct service to the correct recurring price. Confirm currency, tax presentation, billing period, first payment and any separate initial fee. A deposit should not accidentally be added to a schedule that already collects the full agreed total.

Second, define the actual meeting allowance and support. A monthly allocation, program-controlled session and separately purchased credit can behave differently. Publish booking windows, expiry, rescheduling and an appropriate exception process.

Third, plan review and renewal communication. Agree when the service is reconsidered, who can change it and how notice is given. Configure any supported reminders deliberately; a signed agreement or recurring price does not itself create a renewal discussion.

Thinking of launching your coaching business?

Answer a few questions and Coachful builds it around you: your website, programs, booking and payments. Ready in minutes.

Build your platform

Build four operational pillars

1. A clear agreement

State the parties, service, qualifications, fee, currency, payment dates, information boundaries and ending terms. Choose an initial term and notice period suitable to the service and relevant law. Three or six months is a possible choice, not an established requirement for all coaching.

Distinguish the client, company payer and sponsor. Agree what each receives. The ICF Code of Ethics supports clear agreements and appropriate information exchange; payment does not grant the sponsor unrestricted access to private sessions or a client journal.

Have suitable advice on applicable cancellation, consumer/business and renewal requirements. The UK CMA's fair-contract guidance, updated on 22 July 2026, addresses consumer terms, including unfair cancellation and advance-payment provisions. Its consumer context does not settle the terms of every company-funded coaching arrangement. A blanket “nonrefundable” sentence is not a universal solution to disputes.

2. The actual recurring collection route

Connect the appropriate payment account and configure the real Offer or billing arrangement. Check whether it collects automatically or uses invoices, which methods are available and what the buyer must authorize.

Stripe's subscription documentation distinguishes invoices, payments and subscription states. A subscription can exist while money is unpaid or processing. The available method, currency, country and platform integration matter; processor capabilities do not establish that every method is available in every Coachful checkout.

3. The purchased delivery allowance

Configure the programs, resources, sessions, chat and community the buyer actually receives. If a program controls included sessions, use its allowance rather than accidentally add another set of standalone credits.

Check real appointment availability and how support is delivered. A client needs a practical way to use the service. Ending a billing period, expiring a credit, cancelling a booking and refunding money are different events.

4. Payment recovery and exceptions

Decide who reviews failed or delayed payments, how the payer is contacted and what the agreement says about continued service. Stripe can use configured retry rules, but some failures need a new payment method or another action. Recovery is not guaranteed.

Review the actual subscription, invoice and payment before creating another charge. Keep the client informed through the appropriate secure route, and verify any resulting payment rather than assume a reminder collected it.

Use a complete service and billing record

Here is an original fictional example for a monthly $2,500 private coaching retainer. It is not a recommended market price or ready-made legal agreement.

Record fieldExample to confirm before purchase
Client and payerNamed coaching client; named authorized payer if different; sponsor information rights agreed separately.
PurposeOngoing reflection on leadership conversations and decisions within the coach's competence.
Service periodMonthly recurring service from the agreed start date, with the actual first and next billing dates visible.
MeetingsTwo forty-five-minute meetings per calendar month, with booking and rescheduling terms.
Between-session supportOne relevant brief question weekly through the agreed channel; reply by the end of the next staffed weekday in the stated time zone, excluding published holidays and absences.
Review and resourcesA concise monthly client review and specifically listed resources, with audience and access duration stated.
Fee and collection$2,500 monthly in the stated currency; payment method, taxes where applicable, invoice details and any separate fee disclosed.
Change and endingAgreed notice route, service/access end date, unused-allowance treatment and any applicable refund or outstanding-payment calculation.

Publish actual appointment windows rather than rely on an allowance alone. Explain how coach unavailability and changed client circumstances are handled. A fair process can include an appropriate adjustment without making every unused meeting an indefinite liability.

The retainer software guide develops the related service design. Keep the agreement and configured delivery consistent when using it as a reference.

Offer three distinct tiers only if useful

These fictional options illustrate differences in scope:

  • Focused, $2,500 monthly: the service in the record above, with two forty-five-minute meetings and bounded weekly support.
  • Extended, $5,000 monthly: four forty-five-minute meetings, two defined artifact reviews monthly and bounded support with its own volume and response terms.
  • Organizational, $10,000 monthly: four sixty-minute private meetings, one thirty-minute sponsor meeting and two thirty-minute artifact reviews per month. Each artifact is limited to five slides or 1,500 words and a suitable coaching question. Include one two-hour team workshop for up to six people each quarter, two hours of workshop preparation and a short agreed workshop summary. One brief question weekly uses the same next-staffed-weekday response clock as the Focused example.

For the Extended option, each review also covers up to five slides or 1,500 words within a suitable thirty-minute whole-review allowance, with one brief question weekly answered by the end of the next staffed weekday. Review suitability before accepting an artifact that needs more work. The Organizational option requires appropriate competence for the team work, a separate workshop purpose and clear audiences for private coaching, sponsor meetings and shared outputs. It includes no emergency cover or specialist board advice.

A simpler single service may be easier to evaluate. Price and seniority do not establish commitment, fit or the appropriate scope.

Verify the client journey in separate states

A signed agreement, issued invoice, authorized payment method, completed payment, client account, enrollment, resource access and booked meeting are separate facts. Assign an owner for any step that remains incomplete.

In Coachful, native agreement recipients can sign their own copy without creating a client account. A public agreement link does not create enrollment or marketing permission. Template activation alone also does not send an invitation or enable the public link.

Configure actual Offer benefits and review the intended participant experience. A descriptive line does not grant resources or sessions, and a starter does not create every fulfillment item. Confirm the right program, cohort and audience where relevant.

If payment succeeds but access is missing, reconcile the real purchase and account before asking the client to buy again. If access is available while payment is still processing, that does not establish cash has been collected. Resolve each fact through its proper route.

Handle a failed payment without duplication

Consider six fictional monthly agreements at $2,500. Their planned monthly fees total $15,000. At one reconciliation point, four payments have succeeded, one is processing and one has failed. Confirmed collections are $10,000, with $2,500 pending and $2,500 unpaid.

Annualizing the planned monthly amount gives $180,000, but that is not proof of annual revenue or cash. Subscription reporting definitions can also differ. Keep planned fees, actual collections, refunds and delivery obligations visible separately.

A useful recovery message might read:

The payment for your current coaching period has not completed. Please use the secure payment-update or invoice route provided for your actual purchase. There is no need to send card details by email or buy the offer again. We will confirm the payment status and explain any service implications under our agreement. If your organization handles payment, please ask the authorized contact to review it.

Before another collection attempt, check whether a payment is pending, whether an invoice already exists and whether the payer has taken action. A delayed bank payment and a failed card payment can need different handling.

Stripe's Smart Retries documentation describes configuration, exclusions and method-specific behavior. Use the actual connected-account settings and platform workflow. A retry appearing on a schedule is not confirmation that it executed or succeeded.

Manage session rules fairly

Choose whether an allowance follows calendar months, billing periods or a program schedule and explain it clearly. The first month may be partial; confirm the actual entitlement rather than assume every first-of-month credit rule applies.

Discuss expiry, rollover, late cancellation and coach absence before purchase. If the coach could not offer the agreed appointments, a strict expiry rule may not resolve the issue. Apply appropriate terms and rights with suitable advice.

Coachful's booking cancellation deadlines and credit-use policies do not themselves charge a card. Credit restoration, a cash refund and a manual invoice/payment request are distinct. Confirm the actual record and decision rather than tell a client that a cancellation automatically refunded or debited them.

Use a proportionate support boundary. If a request needs a long document review or a meeting outside the allowance, clarify the need and agree any new scope before work or charges. An unexpected question is not automatic authorization for an overage fee.

Check eight operational standards

  1. Payment capability: confirm the real account, supported methods, currency and buyer authorization rather than list every processor feature.
  2. Billing and access: verify actual invoice/payment events and the configured delivery route; identify exceptions instead of assuming synchronization proves fulfillment.
  3. Session allowance: review count, period, booking availability, expiry and any adjustment process.
  4. Agreement: issue the correct version, signatories and consent process and provide the completed copy; technical signing records are not universal legal validation.
  5. Recovery: define payer communication, actual retry or update route, service implications and duplicate-charge prevention.
  6. Currency: display the intended amount and currency and confirm the buyer's selected option; exchange and bank charges may be separate.
  7. Tax and invoicing: obtain appropriate advice on registration, place of supply, tax treatment and required records; confirm what the actual system calculates and documents.
  8. Reporting and review: distinguish planned recurring fees, collections, unpaid amounts, refunds and full service costs, with a real review and ending process.

A platform can support these tasks without guaranteeing global tax compliance or removing accounting judgment. Keep confidential payment details in the appropriate secure system rather than collect them in ordinary coaching forms.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Check capacity alongside recurring fees

For the fictional Focused service, budget ninety meeting minutes, thirty preparation minutes, sixty support minutes, fifteen monthly-review minutes and forty-five administration minutes. Total: 240 minutes, or four hours per client monthly.

At an assumed internal cost of $150 per hour, time costs $600. Add $100 direct costs: $700. A $2,500 fee leaves $1,800 before acquisition, other overhead, taxes and risk. Six such clients require twenty-four modeled delivery hours monthly, plus separate business and initial onboarding work.

The Extended tier needs its own calculation; extra calls and artifact reviews cannot be absorbed by the Focused estimate. Record actual time and revisit the cap when support regularly exceeds the promise.

Change, review or end the service deliberately

Editing a Coachful Offer for future sales preserves existing buyers' saved purchased plan, price and access. For eligible recurring tiered Offers, the coach-led Change plan route starts the new plan and price at renewal without charging that day. An eligible client-led paid upgrade can apply immediately with proration once the required payment or bank action succeeds. Check the intended route and explain its timing.

For cancellation or a pause, confirm what ends, when billing changes, what service remains and what happens to resources, credits and records. Pausing payment collection, pausing a program and ending access are not interchangeable instructions. Verify the actual outcome.

Schedule a useful review of purpose, service and remaining needs. Share only agreed sponsor information, and keep client-owned writing, staff-private working notes and client-visible recaps separate. An unshared journal or takeaway page differs from a page deliberately shared with the coach through an enabled control; neither choice grants a sponsor unrestricted access. Review actual recap approval/type settings before sharing sensitive session content.

Explore Coachful's features against this setup checklist. The payment plans and late fees guide develops related payment-term decisions. Let the client finish or change a service through a clear process, without treating renewal as an obligation to demonstrate coaching success.

Follow one failed invoice through a real correction

The following complete case is original fiction. Coach Mika's six December 2026 agreements use the Focused example. At the 2 December snapshot, A–D have paid $2,500 each, E is processing and F has failed. F is Rowan, whose employer's authorized payer is Nell. Existing service design, contracting and initial setup are outside the later handling log, not free.

On 2 December Mika mistakenly tells Rowan and Nell that the service has closed and a refund has been issued. Rowan reads it that day and points to the still-booked 8 December meeting; Nell asks which payment was refunded when December's invoice is unpaid. The actual records show neither a cash refund nor a completed subscription cancellation. An email claim has not changed those records.

On 3 December Mika checks the subscription, original invoice, payment attempt, booking and access. His complete correction says:

I said the service had closed and a refund had been issued. That was incorrect. December's original invoice is unpaid, no cash refund has been issued, and the 8 December booking remains in place.

Please do not buy the offer again or email card details. Nell, I will provide the secure route for that existing invoice to you separately. Rowan's coaching information stays within its agreed audience.

We can retain the existing meeting while reviewing payment by 8 December if you both accept that arrangement. I will confirm payment and access from the actual records. A booking, subscription label or credit adjustment alone will not be described as collected or refunded money.

Rowan and Nell each read the correction on 3 December and accept that bounded review arrangement. It is a specific human decision under this fictional service's terms, not an automatic platform grace period or advice that every unpaid service must continue.

Nell uses the secure update route on 3 December. On 4 December at 13:00, Mika reconciles a successful $2,500 payment against the original December invoice and checks Rowan's intended access. No second purchase or refund is created. By 8 December, E's pending attempt has failed: the six-agreement snapshot now shows $12,500 collected and $2,500 unpaid, with nothing still processing. That portfolio snapshot does not describe E's later recovery or service outcome.

Deliver the retainer and accept a decision not to renew

Rowan sends one brief coaching question on Friday 4 December at 16:00 UTC. The stated staffed weekdays are Monday–Friday, 09:00–17:00 UTC; the published holiday calendar excludes 25 December and 1 January. The reply is due by 17:00 on Monday 7 December. Mika reads and writes the complete response within ten active minutes and sends it at 15:00, two hours before that deadline:

Your options assume you can change the team's priority order. Check who has that authority before choosing between them. You could ask which request takes precedence, what evidence the decision owner needs and what remains yours to decide. If the answer is no, retain it in the account rather than treating a clearer question as permission. We can rehearse the wording at the booked meeting.

Rowan reads it on 8 December before the first forty-five-minute meeting at 10:00. They rehearse a priority question. No employer decision or leadership improvement is claimed. On 10 December Rowan says the current work is sufficient and requests an end after December, without a January upgrade.

Nell declines Mika's proposed twenty-five-minute review call and accepts fifteen minutes on 11 December with Rowan and Mika. Their three-person agenda allocates three minutes to the request, four to remaining service, four to payment and access dates, and four to readback. All three attend and agree to complete December's second meeting on 18 December, end the recurring term at the 1 January renewal boundary and receive a monthly status review by 17:00 on 22 December. Nell receives the financial and ending summary, not Rowan's private coaching question.

Mika configures the period-end cancellation on 12 December through the appropriate billing route and checks its saved effective date. Rowan and Nell read the confirmation on 13 December. It schedules an ending at the close of December, before a new January term; it is not proof that December access has already ended or that a refund occurred. The second forty-five-minute meeting actually takes place on 18 December.

Mika misses the agreed monthly-review deadline. He sends the complete selected status at 09:00 on 23 December, sixteen calendar hours late. It records the two completed meetings, the single answered brief question, the original $2,500 payment, the corrected false-refund claim, the late review and the still-future ending boundary. Rowan reads and accepts it on 24 December; Nell separately reads and accepts the financial and ending summary. Neither is counted as approving wider disclosure or renewing the service.

Verify the ending and compare actual work with the budget

At the agreed post-period check on 4 January 2027, Mika verifies that the subscription ended at its saved December period boundary, no January renewal invoice or charge was created for this service, and the associated Offer benefit is inactive. He checks other access sources rather than claiming the entire account or every resource has disappeared. Retention of records remains a separate matter; no deletion is claimed.

At 10:00 he sends the final account: December's original invoice is paid; no duplicate payment or refund occurred; both December meetings were delivered; the recurring service ended; and January was not renewed. Rowan reads and acknowledges it at 11:00, Nell does so at noon, and Mika reads both returns at 13:00. The case ends with those actual checks and receiving steps, not the earlier scheduled cancellation alone.

The total is 270 active minutes, thirty above the 240-minute Focused planning budget. It includes ninety private-meeting minutes and fifteen minutes in the three-person ending call: 105 coach-live minutes and 165 other minutes. Rowan's additional live attendance totals 105 minutes and Nell's fifteen; their other effort and provider processing work are unmeasured, not free.

Applying the earlier assumed $150 hourly internal cost to 4.5 hours gives $675. With the same assumed $100 direct costs, the comparison cost is $775 and the $2,500 fee leaves $1,725 before acquisition, other overhead, taxes and risk. That is $75 below the original modeled remainder, not an audited profit statement. The other five clients' actual delivery time is not known, so the six-client twenty-four-hour plan cannot be presented as observed labor.

The ending is not a coaching failure that needs a new sales pitch. Rowan chose a finite period, Nell accepted the funding end, and Mika fulfilled and checked the agreed close. The false financial message and late monthly review remain failures to learn from. Payment recovery does not demonstrate retention, improved leadership or restored confidence.

Common questions

How do I start a recurring retainer?

Define the service and terms, configure the supported recurring offer and payment route, then verify payment, account, access and delivery separately.

What should the monthly fee be?

Use a complete service, competence, costs, capacity and relevant market information. The fictional examples here are not standard rates.

Must unused sessions expire every month?

Choose and explain suitable terms, with appropriate remedies and adjustments. Calendar, billing and program periods can differ.

What happens if a payment fails?

Review the real invoice, payment and subscription, use the appropriate secure recovery route and explain service implications. Automatic recovery is not guaranteed.

Does a saved card mean payment has been made?

No. Authorization, collection attempt, processing, successful payment and funds received are distinct facts that need the appropriate confirmation.
