How to Structure a Multi-Tier Corporate Coaching Proposal

A multi-tier corporate coaching proposal presents two or more meaningful ways to address an organization’s stated need. Each option should define the participants, work, calendar, information arrangements and complete commercial commitment so the buyer can compare what they would actually receive.

Start with the request and decision criteria, then build the scopes. Three price bands are useful only when the differences serve real needs. The examples below are original fictional USD proposals, not market rates, guaranteed results or standard legal clauses.

Choose the buying structure that fits the request

StructureUseful whenWhat the buyer must understand
Hourly or session-basedThe work is limited or not yet sufficiently defined.Rate, permitted activities, estimate, cap and approval for extra work.
One defined proposalOne scope already fits the agreed requirement.Deliverables, assumptions, price, responsibilities and changes.
Several scope optionsThe buyer needs to compare genuinely different coverage or depth. What changes across options and which requirements each one meets.

An hourly arrangement can be clear and appropriate. A single well-scoped proposal can also be easier to assess than three choices. Use multiple tiers when the organization has a real decision about reach, intensity, format or implementation support.

Do not create an unusable low tier merely to steer the buyer toward a more expensive choice. Explain any requirement that an option does not meet, and recommend the smallest suitable scope when it answers the actual need.

Open with the problem and a decision-ready summary

Confirm who is buying, who will participate and who can authorize the work. A sponsor’s general aim to “improve leadership” needs more detail: which situations matter, what participants want help with and what the organization can change.

An original executive summary might read: “You want the eight product and operations leads to make cross-team handoffs clearer over the next sixteen weeks. Participants will receive private coaching and shared practice in a facilitated lab. The proposed Cohort option covers all eight leads, four individual appointments each and four group labs. The sponsor receives agreed delivery information and an aggregate implementation review, not private session accounts.”

Add the proposed decision date and practical next step. Describe the expected contribution as a working hypothesis. Reduced delays may depend on staffing, authority, tools and other work outside coaching.

Build three complete options

The following three scopes illustrate different participant coverage and delivery periods. They are alternatives, not three names for the same service. The lab components involve facilitation and practice alongside coaching; identify those roles in the agreement.

OptionParticipants and periodScheduled deliveryIllustrative fixed fee
Focused pilotFour leaders over twelve weeks.Three 60-minute private appointments each; agreed opening and closing sponsor conversations.USD 9,000.
Cross-team cohortEight leaders over sixteen weeks.Four 60-minute private appointments each; four 90-minute group labs; agreed sponsor and evaluation work.USD 24,000.
Wider implementationTwelve leaders over twenty-four weeks.Five 60-minute private appointments each; six two-hour group labs; defined stakeholder input and sponsor/evaluation work.USD 48,000.

All three need appropriate contracting, accessibility, scheduling, information handling and ending arrangements. The larger option adds work and reach; it does not buy a guaranteed organizational result or privileged access to private coaching material.

Option 1: a focused pilot

The pilot suits a buyer who wants to learn whether the approach is useful before wider adoption. Select four willing participants against agreed criteria. Each has a sixty-minute appointment in approximately weeks 3, 7 and 11, with flexibility for actual calendars.

During setup, agree the shared purpose, individual contracting, sponsor information and a small number of observable questions. A participant might choose to make ownership and next actions clearer at a real handoff. The final review considers what was tried, what participants found useful and what would need changing.

Scheduled private appointment time is 4×3=12 hours. The pilot does not include the cohort labs or a full organizational assessment. If the buyer needs all eight leads involved immediately, make that coverage gap explicit.

The sponsor output is a defined delivery record and agreed aggregate learning summary. With only four participants, review whether an apparent theme could identify someone. A confidential conversation is not automatically safe to summarize because names are absent.

Option 2: an eight-person cross-team cohort

The cohort combines individual work with shared practice. Each of eight participants has four sixty-minute appointments, giving 32 private contact hours. Four ninety-minute labs add 6 group delivery hours. One lab delivered to eight people is 1.5 facilitator hours, while each participant experiences 1.5 hours; keep those units distinct.

An illustrative lab sequence covers defining a handoff, checking assumptions, addressing disagreement and reviewing a real implementation attempt. Space the labs around weeks 1, 5, 9 and 13, with private appointments between them and an end review in week 16.

A ninety-minute lab can use 10 minutes to reconnect with the purpose, 15 for a short example, 30 for paired practice, 25 for debrief and 10 for an agreed application. That totals 90 minutes. Participants can use fictional or suitably redacted material rather than disclose private coaching content.

Define preparation, resources, lab attendance, make-up arrangements and the sponsor’s review. A missed lab does not automatically create a private replacement appointment. Choose that treatment before the purchase and ensure the actual service remains workable.

Option 3: wider implementation with defined stakeholder input

The wider option covers twelve leaders over twenty-four weeks. Five private sixty-minute appointments per person create 60 private contact hours. Six two-hour group labs add 12 group delivery hours. The design can support repeated application and review across more participants.

Stakeholder input is a separate defined activity: who is invited, the questions, participation expectations, collection method, interpretation and reporting audience. The example’s allowance is twelve practitioner hours for this work. It is not an unlimited 360 process or permission to administer any instrument.

Agree a mid-point implementation review and a final sponsor review. Participants choose appropriate work examples; managers still own staffing, performance and organizational decisions. If a structural issue blocks application, record the decision needed from the organization.

Specify whether multiple practitioners are required and how their roles and information access differ. Additional coach capacity, licensed instruments, travel or new participant groups should have an explicit included allowance or a separate approved price.

Show the work behind the price

An internal budget helps test delivery capacity. It does not require disclosing private cost information to every buyer. In this original example, allocated practitioner time is valued at USD 150 per hour.

Check which overhead, supervision, leave, insurance, platform and payment costs are already included, and clarify tax treatment separately. The remainder is not automatically final profit. The SBA’s break-even guidance supports distinguishing fixed and variable costs; these figures are an original service budget.

Sensitivity matters. If the cohort requires an extra 20 hours, its time allocation rises by USD 3,000. With other figures unchanged, the remainder becomes USD 5,000 rather than USD 8,000. That information helps define the scope, workload reserve or change process.

Make the sponsor information schedule specific

Agree information sharing with the sponsor and each participant before coaching starts. Possible sponsor information includes whether agreed work was offered, aggregate attendance where appropriate, and progress against a participant-approved development purpose. Private notes, personal disclosures and stakeholder identities need their actual permissions and professional handling.

Use three columns in the proposal: information, audience and timing. For example, a monthly delivery record might go to the program contact, while a final aggregate learning discussion goes to the sponsor. Define what happens when a small group makes aggregate reporting identifiable.

The client needs to understand who the coach is serving and how conflicts will be handled. The ICF Code of Ethics provides professional context for agreements, confidentiality, roles and accurate representations.

Keep performance management and confidential coaching distinct. If the sponsor asks for evidence of misconduct, a fitness judgment or clinical conclusions, clarify the request and appropriate professional route rather than quietly expanding the report.

Include evaluation without selling an unsupported ROI

Choose measures connected to the purpose and feasible to collect. For the handoff example, participants might review whether named decisions, owners and dates appear in a small agreed sample of handoffs. The sponsor can separately examine operational data through its normal authorized process.

Record the baseline, period, definitions, missing data and other changes affecting the result. Participant usefulness, behavior reports, operational outcomes and financial estimates are different kinds of information.

A financial estimate needs credible benefit assumptions, full costs and an explicit approach to attribution. Do not convert a theoretical salary or retention benefit into guaranteed savings. The executive coaching ROI guide develops those calculations and their limits.

Review evaluation proportionality. A small pilot may produce useful feasibility and learning information without supporting a quantified financial return. That can still be enough to decide whether to adapt or extend the service.

Prepare a procurement-ready scope and commercial schedule

Ask the buyer which entity is contracting, which people can approve the purchase, what documentation is required and when work may start. Vendor registration, purchase orders, insurance evidence, security review, invoicing and payment procedures vary.

US tax forms are not interchangeable universal onboarding documents. A payer may need an appropriate W-9 or W-8 series form depending on the actual payee and transaction; the W-8BEN-E is an entity form. Use the payer’s legitimate process and qualified advice where needed rather than make one form mandatory for every international coach.

State currency, applicable tax treatment, complete fee, payment dates, travel, licensed assessment costs and reimbursable expenses. Specify valid invoice requirements and what happens if the organization delays access or scheduling. Net 30 and a purchase order are choices or buyer requirements, not inherent features of corporate coaching.

Attach a clear service schedule to the reviewed agreement. The coaching agreement guide helps organize scope, information, changes and ending decisions. Material legal terms need review for the actual parties and jurisdiction.

Handle an add-on with a written change decision

Sponsor: Could the cohort also include our four regional managers?

Coach: The quoted scope covers eight people and 32 private appointment hours. Four more people on the same allowance add 16 private appointment hours before preparation and coordination.

Sponsor: Could they attend only the labs?

Coach: That is a different option. We need to check lab capacity, group agreements and whether the exercises still work. I can outline that scoped addition and its fee.

Sponsor: Please show the lab-only option and the full coaching option.

Coach: I will document the participants, delivery changes, information arrangements, costs and start conditions for approval before adding them.

A change brief should identify the request, affected deliverables, extra work and price, calendar implications, information impact and authorized approval. Keep the original service intact unless the parties agree a revision. Extra benefit text alone does not create delivery capacity.

Ten checks before sending the proposal

  • 1. Purpose: The problem, intended contribution and important external conditions are clear.
  • 2. Participants: Each option names its coverage, selection responsibilities and participation arrangements.
  • 3. Delivery: Calls, labs, preparation, resources and support have explicit allowances and professional roles.
  • 4. Calendar: Start conditions, period, milestones, scheduling, leave and make-up arrangements are workable.
  • 5. Information: Participants, sponsors and practitioners understand audiences, confidentiality and reporting.
  • 6. Evaluation: Measures, baseline, ownership, collection effort and attribution limits match the purpose.
  • 7. Price: Full commitment, currency, tax treatment, installments and expenses are visible.
  • 8. Procurement: Contracting entity, approvals, required documents, invoice process and payment timing are checked.
  • 9. Change and ending: Additional work, delay, cancellation, unused work and settlement have defined handling.
  • 10. Decision: The recommendation, reasons, alternatives, questions and next approval step are understandable.

Ask someone to read the proposal as the buyer: can they identify what happens next week, what is due, and what they will receive? Resolve ambiguous units such as “monthly support” before relying on a summary table.

Set up the actual service in Coachful

Use a relevant Offer and its actual included sessions, resources, Programs and access settings. Native tiers support two to six meaningful plans; review each saved scope and price. An explanation of stakeholder interviews or sponsor reporting is a commitment to arrange that work, not an automatic report generated by a pricing tier.

Keep the organization’s procurement approval, the service agreement, purchase/payment and participant enrollment as distinct steps. Confirm the relevant invitation and access states before saying the service is ready. Assign staff and resources according to the real participant and information arrangements.

Explore Coachful’s features for organizing offers, agreements, sessions and client delivery. Keep private coaching records separate from the sponsor’s agreed operational view.

Sources and further learning

ICF ethics informs professional agreements and information handling. US SBA guidance informs cost distinctions; US IRS W-8 instructions inform only the relevant tax-form context. UK CMA price and contract guidance concerns its applicable consumer scope, not a universal corporate-procurement rule. ROI Institute methodology informs the distinction between benefits, costs and attribution. All scopes, fees, dialogue and calculations here are original illustrations.

Frequently asked questions

How many tiers should a proposal contain?

Use the number needed for real choices. One defined scope may be enough. If offering several, make each usable and explain its coverage rather than assume three tiers always improve purchasing.

Should the middle option always be recommended?

Recommend the scope that meets the buyer’s stated need and constraints. Explain the reason and any important coverage gap in the alternatives.

Can assessment and facilitation be add-ons?

Yes, when their scope, competence, owner requirements, data handling, time and fees are clear. Identify the different professional activities rather than treating every addition as private coaching.

Does signing automatically authorize the project to start?

Check the actual agreement and buyer process. Procurement approval, payment, participant agreements and access may have separate start conditions.

Can I guarantee a financial return?

Support any marketing claim with appropriate evidence. A proposal can explain the intended contribution and evaluation plan without guaranteeing a business outcome beyond the service’s control.

A strong multi-tier proposal gives the buyer a practical choice. Make the differences in work, commitment and information visible, recommend a suitable scope and define how it becomes an authorized service.
