How to Write a Coaching Proposal Template

A coaching proposal template should help a prospective client understand the need, the proposed service, the price and the next decision. Build it in six parts: context, desired development, approach, scope, investment and acceptance arrangements. Adapt the document after discovery and distinguish confirmed information from assumptions.

The proposal may become part of a binding agreement depending on its wording, acceptance and applicable law. Have appropriate advisers review the intended contracting structure. A polished document should make the real deal clear rather than hide terms behind a persuasive story.

Confirm the brief before drafting

Ask who receives coaching, who pays, who has authority to approve it and what support is wanted. Use the client's terms where they make the need clearer, but explain unfamiliar acronyms and avoid repeating a diagnosis that has not been established.

Four useful drafting habits are to reflect the confirmed context, describe relevant stakes without inventing financial losses, show only meaningful service choices and define the operational boundaries. Personal credentials can support a competence claim, but they should not crowd out the buyer's actual decision.

To follow the example through a decision, suppose coach Sora prepares the fictional Northfield proposal for buyer Rowan and participant Jordan. Rowan wants smoother hand-offs; Jordan says the company has not settled who can approve a delivery exception. Sora initially writes “coaching will eliminate escalation delays.” Jordan challenges that promise. Sora removes it and records two separate responsibilities: coaching can support Jordan's preparation and communication, while Northfield owns the authority map and operational decisions. Neither a proposal nor a self-rating demonstrates that a management problem has been resolved.

Use this six-part filled proposal

The following is a complete original fictional example for one newly appointed operations leader. Replace its information and obtain the necessary review before using it. It is a commercial brief, not universal legal wording.

1. Executive summary and current situation

Proposal for Northfield Operations: Leadership Coaching for Jordan

You described a need for Jordan to clarify delegation and prepare more useful cross-functional conversations in the new operations role. The sponsor will provide the current authority map and address organisational decisions through the company's management process.

The proposed coaching supports Jordan's development in that context. It does not replace performance management, legal advice or the company's operating decisions. The parties will confirm the priorities and information-sharing arrangements before coaching begins.

2. Desired development and review evidence

The initial priorities are to make delegation criteria clearer and rehearse difficult hand-off conversations. Jordan and the coach will agree specific actions within those priorities.

At review, we will examine appropriate examples selected by Jordan, any agreed sponsor observations and relevant contextual changes. We will distinguish delivered work, self-report and interpretation. No particular promotion, financial return or company outcome is guaranteed.

3. Approach

Sessions combine reflection on a real situation, examination of assumptions, rehearsal where useful and a client-chosen action. The coach and Jordan agree the focus of each session and adapt the work as needed.

A short preparation reflection is offered before meetings. No formal psychometric or clinical assessment is included. If a different professional service is needed, the parties will discuss an appropriate route.

4. Scope, cadence and outputs

The service covers one named participant for the agreed three-calendar-month period, with exact start and end dates recorded in the agreement. It includes a 45-minute three-party contracting meeting, six 60-minute private sessions, a 75-minute final review and two document reviews of up to five slides each.

Between meetings, Jordan may submit one concise coaching question per calendar week during published staffed weeks. Replies are due by the end of the next staffed day, Monday to Thursday, 09:00 to 17:00 in the agreed time zone, excluding published holidays. A Friday request is treated as received Monday at 09:00 and answered by Tuesday at 17:00.

The coach provides short agreed action summaries. The sponsor receives only the categories agreed with the relevant parties, rather than private session dialogue or working notes. Additional participants, workshops, implementation and specialist advice require a separately approved scope.

5. Investment and practical terms

The fictional fee is $6,000 before applicable taxes and separately approved expenses. Three payments of $2,000 total $6,000. Exact invoice dates, due dates, purchase-order requirements and accepted payment arrangements will be confirmed before the start.

The agreement states booking, cancellation, unused-session, termination, refund and renewal arrangements. Any additional work requires a written description, price and approval before delivery. This proposal does not authorise unspecified charges or automatically renew the service.

6. Review and acceptance arrangements

Please confirm the proposed scope, the contracting entity and the authorised commercial signer. Jordan and the relevant sponsor will also confirm the coaching and information-sharing arrangements.

We will resolve questions, complete the appropriate agreement and payment steps, and confirm account, access and meeting arrangements separately. The proposal version, date and validity period are recorded with the final issued copy. Work starts on the agreed date after the required arrangements are confirmed.

The live allowance is 45+360+75=480 minutes, or eight hours. Document reviews, preparation, support and administration add to delivery time. This calculation helps you cost the service honestly before quoting a fee.

The ICF Code of Ethics supports explaining the coaching relationship, roles, confidentiality and financial arrangements. Its 2025 Core Competencies support client partnership on focus and action. They do not validate this template or prescribe a package length.

Sora's proposed dates are 7 December 2026 through 6 March 2027, three calendar months and 90 inclusive days. The calendar provisionally places contracting on 7 December, private sessions on 8 and 17 December, 7 and 21 January, and 4 and 18 February, and the final review on 4 March. These are proposed allocations, not booked appointments or delivered sessions. The published closure is 21 December through 3 January. The term touches thirteen calendar weeks, of which eleven are staffed for the weekly question allowance; unused questions do not silently accumulate into an unlimited final-week queue.

For this proposed term, Sora costs 480 live minutes, 50 minutes for two document reviews, 90 preparation minutes, 165 support minutes and 55 administration minutes: 840 minutes, or fourteen selected provider hours. At an internal planning rate of $125 per hour, that is $1,750, plus a $250 allowance for other direct costs. The $6,000 fee less this $2,000 selected allowance leaves $4,000 before other overhead, taxes and unmodelled work. It is a planning remainder, not established profit, a market benchmark or an outcome for Jordan. If actual work exceeds those allowances, Sora must review capacity rather than claim the quote proved efficiency.

Turn the example into a reusable template

Keep the six headings and replace the actual facts within each. Your reusable fields should capture client entity, participant, sponsor, contracting authority, confirmed context, objectives, approach, counts, lengths, support, recipients, price, dates, version and acceptance steps.

Use a visible “to confirm” field for an unresolved item rather than inserting a confident guess. Before sending, remove irrelevant optional modules and review every populated name, number and link.

A useful proposal can be short while still pointing clearly to its supporting terms. If using an MSA and SOW, specify how the proposal relates to them and which terms prevail in a conflict. Do not assume that calling it a confirmation document means everything is already agreed.

Keep a revision register alongside the template. For Northfield, V1 proposes sponsor attendance at the final review. V2 changes that audience after Jordan's refusal. Record who requested the change, its effect on work and recipients, and which earlier version it replaces. A filename such as “final-final” does not identify the accepted record. Preserve the earlier proposal as history, prevent it being offered as the current copy, and obtain the required review of the revised version.

Present pricing choices only when they serve a need

Hourly, project and retainer fees can each be appropriate. Choose the model around scope, costs, capacity and client needs. Avoid assuming that a fee becomes more valuable merely by removing an hourly breakdown.

The following fictional alternatives compare the focused example with larger scopes. They replace one another rather than automatically stacking.

OptionComplete core allocationFictional fee
Three-month focused serviceSix 60-minute private meetings; one 45-minute kickoff; one 75-minute close; two five-slide reviews; one concise question weekly during stated staffed weeks$6,000 for the agreed term
Annual individual serviceTwenty-four 60-minute private meetings; four 30-minute sponsor reviews; four ten-slide reviews; one concise question weekly during stated staffed weeks; initial 45-minute contracting meeting$48,000 annually
Annual three-leader serviceTwenty-four 60-minute private meetings per leader; two three-hour workshops; four 90-minute shared labs; four 60-minute sponsor reviews; one concise question per leader weekly; separate initial contracting$96,000 annually

Include preparation, documentation, participant limits, response clock and exclusions in the full scope. These prices are illustrative and are not estimates of typical market fees. The third option contains 72 private meeting hours before shared work, so it needs a substantial capacity calculation.

The annual individual option contains 24 private hours, two sponsor hours and a 45-minute initial meeting: 26 hours 45 minutes of live work. The three-leader option contains 72 private hours, six workshop hours, six lab hours and four sponsor hours: 88 live hours before its separate initial contracting. Neither total includes preparation, document reviews, weekly support or administration. Rowan declines both annual alternatives because the current decision concerns one leader's first three months. Sora leaves them unpurchased and does not describe their combined prices as pipeline revenue or a likely upgrade.

The multi-tier proposal guide develops the comparison in more detail.

Review five digital delivery capabilities

Check whether the actual tool can provide an understandable document, accessible sharing, the needed recipient and signature workflow, a suitable payment process and appropriate records. Treat these as questions, rather than a list of features every platform necessarily has.

A short optional video can explain the scope. A static PDF can also be a useful format when it fits the buyer's review process. Do not claim a document view proves comprehension, a particular stakeholder forwarded it or that digital delivery increases conversion by a fixed percentage.

In Coachful, Offers can contain actual tiers and included benefits, while native agreements follow their own activation and recipient-copy workflow. A proposal description does not itself create programmes, session credits, account access or every billing arrangement.

Coachful is our #1 recommendation for organising this proposal-to-delivery workflow. We build Coachful, so this is a maker’s recommendation. Check the actual configuration against your requirements. Applying an Offer starting template can populate its description, access and billing-cadence fields; it does not supply every price, currency, inclusion, programme or communication channel. The demo Offers image illustrates example formats and prices, not Northfield purchases or proof that a participant has received access.

Keep three record events separate: issuing a native agreement copy, completing its required signature steps and confirming the recipient received a readable copy. The released workflow can retain a completed signature while a later delivery attempt fails. An uploaded PDF is a filed external record, not proof that Coachful performed its signing ceremony or verified the signer's corporate authority. If your procurement team requires a different execution service, retain it and store the appropriate agreed record with controlled access.

Hold a twenty-minute proposal review

Use five minutes to confirm the brief, seven to examine scope, five for commercial and information questions, and three for the next decision. Total: twenty minutes. If the buyer needs more time or legal review, agree the next step instead of pushing for immediate signing.

A useful question is: “Which part of the proposal matches the need, and what have I misunderstood?” Another is: “Who else needs to review the scope or terms?” These questions can reveal a real gap before it becomes a delivery dispute.

In a fictional revision case, the buyer says the sponsor should not attend the final 75-minute review. The parties agree a private participant review and a separate scoped sponsor summary. They then update the allowance, recipients and fee implications as needed. The useful result is a clearer document, not a claimed forty-eight-hour contract win.

At Northfield's 20 November proposal review, Jordan says: “I will review my examples privately. I do not agree to the sponsor joining that conversation.” Rowan explains the need to know whether agreed activities occurred. Sora first suggests sending the session summary. Jordan refuses that too. V2 therefore retains the 75-minute private final review and describes a separate written sponsor summary limited to agreed administrative categories, subject to the relevant permissions before release. Its preparation is included in the stated 55-minute administration allowance; no additional live sponsor meeting is implied. The refusal changes the offer, and a sponsor request does not override it.

Rowan also requests two additional two-hour workshops. That adds 240 live minutes before preparation and administration. Sora identifies it as a separate, unpriced scope request, and Rowan declines it for this decision. Sora removes an earlier “all leadership support included” phrase. The proposed $6,000 scope does not quietly absorb the workshops, and Jordan is not told to compensate with unpaid extra preparation. The twenty-minute review itself is pre-contract work outside the proposed 480 delivery minutes.

Handle authority and signatures explicitly

Corporate approval and participant consent are different. Confirm the entity and authorised commercial signer. Separately agree the participant's coaching arrangement and appropriate sponsor involvement.

Coachful native agreement recipients receive individual copies. Sending a template to several people should not be described as creating one document with all parties' signatures. Review the required structure and use the appropriate document process when a true multi-party agreement is needed.

Electronic signatures can support execution under relevant legal frameworks. US E-SIGN section 7001 addresses electronic-form recognition while preserving other rights and obligations. EU eIDAS Article 25 distinguishes general electronic-signature recognition from the qualified category. Do not promise universal validity or a qualified signature without evidence. The agreement e-signature guide develops the practical steps.

After the review, Rowan emails “looks good.” Sora initially marks every acceptance step complete, then withdraws that entry: the intended company signer, procurement requirement and final issued terms still need confirmation. The correction is operational, not a legal conclusion that emails cannot bind parties. Sora asks the appropriate adviser about the intended structure and records the remaining steps explicitly. Jordan's agreement to the audience wording does not make Jordan the company's commercial signer; a document view does not establish either person's authority.

Address four risks with named controls

ConcernUseful control
Calendar burdenPublish meeting, preparation and support expectations; review the actual fit with the participant
Information sharingAgree recipients, categories, exceptions and appropriate handling before collection
EvaluationDistinguish service delivery, self-report, observation and any financial attribution
Changed circumstancesUse a defined scope-change and ending process, with an owner for the practical steps

The control should match the real risk. Do not promise zero homework if preparation is part of the service, or legal privilege simply because a conversation is private.

Test the response clock with dates before offering it. Using Europe/London, a hypothetical question sent Friday 11 December at 14:00 is treated as received Monday 14 December at 09:00 and due Tuesday 15 December at 17:00. A question sent Thursday 17 December at 16:00 is due at the end of the next staffed day, Monday 4 January, because Friday is unstaffed and the closure follows. A Friday 18 December request is treated as received Monday 4 January at 09:00 and due Tuesday 5 January at 17:00. These are future conditional examples, not reports of actual replies. State an appropriate urgent operational route; a coaching inbox cannot provide incident coverage during the closure.

Prepare procurement, financial and data terms

For procurement, supply verified relevant insurance and supplier information, appropriate agreement terms and a workable payment process. A certification claim needs actual evidence; a branded portal is not proof of regulatory compliance.

For finances, specify invoice schedules, taxes and entity details, expenses and payment instructions through an approved route. Address purchase-order terms and document precedence with the appropriate advisers. Do not invent a universal advance-payment rule.

For rights and data, distinguish four categories: the coach's existing materials, client information, any separately authorised research or benchmarking use, and retention or deletion arrangements. Identify third-party licences too. The US Copyright Office distinguishes original expression from ideas, systems and methods; ownership language should reflect the actual rights.

Aggregating data does not automatically remove identification risk or grant permission for research. Explain purpose, lawful handling, appropriate permissions and the relevant audience rather than inserting a sweeping blanket authorisation.

Follow up and review renewal appropriately

A first message might read: “Hi Rowan, please let me know if the current proposal raises a scope or information-sharing question. We can use the agreed review meeting or arrange another suitable route.”

A later message could say: “Hi Rowan, I am checking whether the proposed dates still fit your review process. Please confirm the next decision owner, whether the timetable needs changing or whether I should close the proposal for now.”

For an annual service, place a renewal discussion before the actual notice deadline. Review relevant evidence and next needs rather than treating continuation as compulsory or all company achievements as coaching results.

Sora promises the corrected proposal by 27 November at 16:00 but sends the readable V2 on 30 November at 11:00, 67 elapsed hours late. This is a missed pre-contract promise, separate from the future staffed support clock. Sora acknowledges it without relabelling the delay as procurement time. Rowan reads V2 at noon and spots one inconsistent workshop count in the covering message; Sora corrects and returns it at 13:00. Jordan reads it at 14:00 and approves the limited private-review and audience wording. Rowan confirms receipt at 15:00. Those receipts establish that the corrected proposal reached its intended reviewers, not that procurement or every contractual step is complete.

At the fictional 30 November close, no payment has been received and no service has started. The three $2,000 instalments are proposed for 7 December, 4 January and 1 February, subject to the agreed invoicing and due-date arrangements; they are not issued invoices or settled cash. The 7 December start remains conditional on completing the required arrangements beforehand. Rowan owns a 3 December procurement decision, whose outcome is still unknown. Jordan refuses a public story or testimonial, and Sora records that refusal without making acceptance of publicity a condition of coaching. The finite result is a corrected, received proposal and an explicit open decision, not a sale or demonstrated leadership improvement.

Frequently asked questions

How long should a proposal be?

Long enough to explain the decision, scope, price and terms clearly. Use supporting documents where useful, with clear relationships between them.

Must it include three tiers?

No. Include genuine alternatives only when they help the buyer compare needs and trade-offs.

Is a proposal the same as a contract?

Its legal effect depends on the wording, acceptance and applicable law. Have the intended document structure reviewed appropriately.

Can I guarantee confidentiality?

Explain the actual agreement, recipients, limits and legal obligations. Avoid absolute claims of privilege or unlimited protection.

Should I include an ROI forecast?

Only with defensible evidence and clearly stated assumptions, costs and attribution limits. A service description can stand on its own without invented savings.
