Pricing Coaching Packages Guide: Six Service Models

This pricing coaching packages guide starts with a service someone can understand and use. A package price should describe the work, period, support and payment commitment. It should also make sense against the coach’s actual delivery effort and available calendar, rather than a hoped-for outcome such as promotion or higher sales.

A package can simplify a repeated coaching engagement. Individual sessions can also be appropriate. The useful distinction is the commitment being made, not whether one format sounds more prestigious. This guide compares six structures and follows a fictional package through a buyer’s scope questions, payment choice, completed delivery and actual cost review.

Coachful is our #1 recommendation for connecting the package promise with its coaching workflow. Offers can combine selected sessions and resources with configured support. The coach still needs to choose the actual inclusions, price, currency, terms and delivery process. A good-looking Offer page does not make an unclear service viable.

Choose among six structures by the work involved

A fixed session package provides a stated number and duration of sessions with defined additional work. It suits a buyer who wants repeated exploration or practice within known limits. Count preparation, notes and included feedback as well as calls. A fixed number of sessions does not necessarily mean cancel-anytime billing or unlimited support between them.

A focused sprint organizes work around one bounded question over a short period. Its end point might be a reviewed decision or a rehearsed request. Scope needs to state what the coach supplies if the client’s wider outcome remains unresolved. Another person’s approval is not something the coach can promise as part of the package.

An ongoing retainer provides a defined recurring service or reserved availability. State the actual cycle, response limits, capacity and ending rules. Reserved access has an operating cost even if one client uses less of it. Do not describe installments for a fixed engagement as a rolling retainer merely because both involve monthly payments.

Build your platform

Tiered options give buyers meaningfully different scopes. A short planning service and a longer practice engagement can both be complete services. A tier should not conceal essential access, rely on an intentionally unsuitable decoy or borrow an unsupported “most popular” label. A single clear package may serve the practice better than three confusing choices.

An intensive concentrates the live work into a longer meeting or day. Price the preparation, breaks, accessibility arrangements, materials and review that make it usable. The live duration alone is an incomplete cost measure. Clarify whether later implementation is included or requires another agreement.

A group or hybrid program combines shared facilitation with any specified private work. Work backward from cohort size, actual case opportunities, preparation and between-session responses. Dividing a private-session fee by the number of members does not establish a sustainable group price or give everyone equivalent individual attention.

Build the service promise before its price

Write the audience, practical purpose, provider, sessions, service period and support in plain language. Name the actual product of additional work: a reviewed draft, a response to one worksheet or a scheduled check-in. “Support whenever you need it” leaves both the workload and the buyer’s expectations open.

Distinguish what you will do from what the client wants to achieve. A coach can provide preparation and rehearsal for a difficult request. They cannot guarantee its recipient will accept, or that completing four sessions will create a particular career result.

The US Federal Trade Commission’s advertising guidance explains that claims need support and that material omissions can mislead. Its jurisdiction is the United States. It is a useful reason to examine the complete impression of a package, not a universal legal opinion or a substitute for requirements applicable to your own sale.

Also describe what is outside the service, how a change can be requested and what happens if the original focus changes. The ICF Code of Ethics provides relevant professional expectations about agreements, roles and competence. A clear package does not remove the need to revisit scope when circumstances change.

Use value, cost and market evidence as different inputs

Ask why the work matters to this buyer. Having a dependable place to rehearse and review may be useful even when a final decision belongs to someone else. Do not convert a feared loss, a salary aspiration or an unverified revenue scenario into a guaranteed coaching benefit.

Then calculate the work. Include live sessions, preparation, notes, feedback, onboarding, scheduling, payment administration and closure. Distinguish cash expenses from the planning value of owner time. Explain your overhead allocation so that the same expense or working hour is not counted twice.

The US Small Business Administration’s business-planning guidance addresses market alternatives and fixed and variable costs. These help structure a business estimate. They do not establish a standard coaching fee, prove that a particular buyer will purchase or turn a loaded owner-time allowance into accounting profit.

Compare alternatives with similar delivery, support, client group and commercial terms. Public asking prices are not necessarily completed transactions. A few accepted quotes provide information about those sales, rather than proof of market-wide willingness to pay. Make your own pricing decision independently.

Worked example: complete the package specification

All people, prices, dates and results below are fictional. Sana is an independent coach. Maya wants to prepare and test a bounded speaking request with a local community club. She values a sequence of practice and review, rather than a single planning conversation.

Sana offers a standalone planning session as an alternative, but Maya chooses a four-session package because she wants to revisit the actual recipient’s answer. Sana does not say that the larger commitment guarantees a speaking opportunity or that declining it would show insufficient motivation.

Completed package fieldThe actual promise
Service period1 April–26 May 2058. Four forty-five-minute calls on 1, 15 and 29 April and 13 May.
Practice and resourcesTwo original worksheets: a request brief and a short presentation outline. The client chooses what to include and what action to take.
Written feedbackOne response to each of two submissions, each up to 400 words. Submit by 8 April, 12:00 UTC and 6 May, 12:00 UTC; replies are due by 10 April, 17:00 UTC and 8 May, 17:00 UTC respectively.
Contact boundaryThe agreed private client conversation carries those replies and administrative contact. It does not include unlimited coaching chat, video annotation or repeated draft-review rounds.
Additional workAny new service needs a separate scope, price and acceptance before it starts. No extra charge or continued subscription follows automatically.
Outcome and endingPreparation, practice and review are included; a club slot is not guaranteed. The engagement closes after the final agreed follow-through within the service period.

Maya asks whether “two written reviews” means she can keep resubmitting each draft until it is accepted by the club. Sana answers that it means two specific responses, one per worksheet, alongside discussion in the four calls. A recipient’s acceptance is a separate decision, and unlimited rewriting is not included.

Maya confirms that this is enough and declines a separate video-analysis service. Her choice is preserved in the final specification. Sana does not add video work because the word package sounds comprehensive, and does not treat administrative messages as permission to deliver more paid coaching.

Calculate the delivery estimate directly

Sana uses USD60 per direct delivery hour as a loaded owner-time planning allowance, or USD1 per minute. It is an internal assumption, not a wage paid separately for each call or a recommended industry rate. The practice’s broader nonclient work and income plan inform that allowance; the example is not a full annual business forecast.

Planned work for one packageMinutesTime allowance
Four forty-five-minute calls180USD180
Preparation and notes, twenty per call80USD80
Two written responses, thirty each including reading and sending60USD60
Onboarding, scheduling, payment handling and closure40USD40
Total360, or six hoursUSD360

She allocates a further USD40 of relevant shared cash expenses to this package, excluding the owner time already counted. For this fictional calculation, the payment expense is three percent of the amount collected, with no fixed fee. This is an explicit case assumption, not a current fee quote from Coachful or a payment provider.

At a USD620 price paid once, that expense is 620 × 0.03 = USD18.60. The estimated total is 360 + 40 + 18.60 = USD418.60, leaving USD201.40 after those planning inputs. The remainder is not personal take-home pay, taxable profit or a guarantee that the service will sell.

Sana could choose a different price, scope or cost structure. The calculation makes the chosen proposal assessable. It does not establish USD620 as the correct fee for another coach’s experience, market, jurisdiction or service.

Show the complete payment choice

The proposal presents USD620 paid once, or two payments of USD330 on 1 April and 1 May, totaling USD660. The installment option costs USD40 more in total. It is a fixed engagement, not a USD330 cancel-anytime membership.

Maya chooses the USD620 option. She accepts the defined service and relevant reviewed terms, authorizes that one payment and receives confirmation of the verified amount. The alternative installment plan is not started; a saved payment method is not treated as permission to add it later.

The example assumes USD620 is the full buyer total for this transaction, with no additional mandatory buyer charge. That assumption is not tax advice or a claim that coaching is tax-exempt. Any tax or other unavoidable charge applicable to a real offer needs the correct treatment before the buyer commits.

The UK CMA’s price-transparency summary explains upfront consumer totals, mandatory charges and clear periodic commitments. It also distinguishes providing the total from how payment is collected. Those are UK consumer requirements; check the rules relevant to the actual customer and jurisdiction.

Discuss cancellation, scheduling changes, any remaining payment obligation and applicable remedies before purchase. A short article is not an adequate universal contract. In this case there is no cancellation, charge dispute or refund; do not infer from that absence that those possibilities require no planning.

Which one looks like you?

Coachful builds your coaching website from a few answers, in a design chosen for your niche, with programs, booking and payments ready behind it.

Build your platform

Connect the saved Offer with actual delivery

Sana uses Coachful’s Offer editor to select the real forty-five-minute session type with quantity four and the two existing original worksheet resources under What they get. She configures the actual price, currency and eligible payment choices in Price & sharing, and checks the saved buyer view against the specification.

An Offer template can draft structure and copy and may prefill session-access defaults, including a session type chosen by the builder. It does not set the actual price, payment plan, cover or resource inclusions for her. Sana must select or check the correct actual session inclusion, type and quantity under What they get; a prefilled default or a description of four sessions is not proof of the promised entitlement. A draft page or return from checkout is also not proof of a received payment.

Sana checks that the saved session entitlement covers the four accepted bookings. The eight-week service period is an agreement term; its title alone does not configure every technical credit or resource-access deadline. She does not promise an automatic expiry merely from that wording. All four session entitlements are used during the engagement, leaving no unused call credit in this case.

The written-review commitment remains a real delivery task. Saving a private Coach review on a worksheet response does not send it to Maya; that section is private to the authorized coach team and absent from the response PDF. Sana returns each promised response through their agreed private client conversation, with the due date and audience clear.

Follow the purchased work through a real recipient’s answer

The first call clarifies Maya’s purpose: ask for a short, useful contribution at a community-club meeting without implying the organizer has already agreed. Her initial worksheet asks for ten minutes but gives no clear subject or participation boundary.

Sana’s actual first written response, delivered on 10 April at 16:00 UTC, says: “Name the subject, the contribution members receive and the time you are requesting. Separate the invitation from a booked slot. Ask the organizer what is feasible, and make clear that a shorter slot or a refusal is acceptable.”

They rehearse the revised request in the second call on 15 April. Maya sends this complete message the next day:

Hello Rowan, would a ten-minute contribution on keeping a simple record of a community project be useful at a future club meeting? I would show one fictional example, invite a brief question and leave members with a small blank template. I would not collect their project details or make a sales pitch. If ten minutes or that subject does not fit, please tell me what is feasible. I have not treated this as a booking.

Rowan’s actual answer on 18 April is: “The subject fits, but I can offer only five minutes on 20 May, 14:00–14:05 UTC. No participant activity or questions within that slot; we need to move straight to club business afterward. Please confirm whether you want that arrangement.”

Maya explicitly accepts five minutes with no activity, questions or sales pitch. The third coaching call on 29 April examines that changed format. Sana does not treat the original ten-minute request as permission to retain a ten-minute outline.

Maya’s second worksheet, submitted by 6 May at noon, still allocates time to participant questions. Sana returns the second complete review on 8 May at 16:30 UTC: “Rowan accepted a five-minute explanation without questions or participant activity. Use one minute for purpose, two for the fictional record, one for how to use the blank template and one to close. Keep the template optional. Please remove the question period rather than relying on the meeting running late.”

The revised plan is 1 + 2 + 1 + 1 = five minutes. It uses a fictional project with fields for decision, owner, next action and review date. Maya practices that version in the fourth forty-five-minute call on 13 May. She chooses an ending that offers the blank template without asking people to disclose their own projects.

On 20 May she delivers the agreed five-minute contribution and stops at 14:05 UTC. Rowan confirms the format and handout fit the accepted arrangement. One member later asks for the blank template; that request is not permission for Maya to add them to a marketing list or sell coaching to the whole club.

At the agreed closure, Maya says the bounded rehearsal helped her prepare, but she still found speaking uncomfortable. She declines another coaching package for now. Sana records the four completed calls, two received written responses, actual contribution and continued discomfort separately. No claim is made about future bookings, confidence recovery or a business return caused by coaching.

Reconcile actual effort and peak weeks

The live calls use the expected 180 minutes. Preparation and notes take 100 rather than eighty, the two written responses use seventy rather than sixty, and administrative and closing work uses fifty rather than forty. The actual total is 180 + 100 + 70 + 50 = 400 minutes, or six hours forty.

The review minutes include reading, private analysis and the actual client-facing reply. The administrative minutes include contact and payment handling. Calling a response window two hours long does not make two hours of uninterrupted writing, and a private note cannot stand in for the promised reply.

Delivery weekReserved minutesActual package work

2: first written response and handling6045
3: second call8070
4: no planned delivery00
5: third call8070
6: second response and handling6045
7: fourth call8070
8: closure2010

These actual rows total 400, within 480 specifically reserved minutes, leaving eighty. They also reconcile to four calls at forty-five plus twenty-five minutes preparation and notes each, two thirty-five-minute responses, and fifty minutes of administration. Maya’s own speaking practice and club contribution are not counted as Sana’s delivery time.

At the same USD1-per-minute allowance, actual time costs USD400. Add the unchanged USD40 shared-expense allocation and USD18.60 payment expense: USD458.60. The amount remaining from USD620 is USD161.40, which is USD40 below the original plan. The difference corresponds to the forty additional delivery minutes, not an unexplained missing cost.

Sana retains the current price for this completed agreement and revises future delivery estimates. She will compare another similar engagement before deciding whether to change price, process or scope. One acceptable purchase and one completed service do not establish a market rate, prove every future client will take 400 minutes or authorize retrospective extra charges.

Use a six-step package review before offering more places

  1. Write the practical purpose and buyer. Distinguish intended benefit from a result you cannot guarantee.
  2. Define the complete work. Include session quantity, preparation, reviews, reply limits, period and ending.
  3. Sum delivery rows before calculating costs. Check direct expenses, shared allocation and actual payment-method assumptions.
  4. Map the calendar. Reserve peak-week work across existing commitments, leave and other business activity, rather than relying only on an average.
  5. Show the full payment choice. State currency, totals, dates, required charges and whether the commitment is fixed or recurring.
  6. Review actual delivery and buyer questions. Keep the original agreement intact and decide what changes only for an authorized future offer.

Use the hourly-rate calculation guide for the broader capacity basis, tiered package examples for distinct scopes and Coachful’s features for supporting delivery. Do not substitute a worksheet completion or payment status for evidence that the agreed coaching was received.

Frequently asked questions

What should a coaching package cost?

No universal fee follows from its duration or name. Define the client, scope, costs, calendar and relevant alternatives, then make a price proposal that can be tested honestly. The fictional USD620 case is an illustration, not a recommended rate.

Should I offer three tiers?

Only when each scope is useful and deliverable. One clear package can be sufficient. A more expensive option should describe different work, rather than make essential service information hard to access in the lower option.

Are installment payments the same as a subscription?

No. Installments can pay for one fixed engagement; a subscription buys recurring service under its own terms. Show the full commitment. Two USD330 payments total USD660, not the USD620 one-payment option in the case.

Do packages make more profit than individual sessions?

Not automatically. A defined package may still require more preparation, support or administration than estimated. Compare actual costs and received service with the plan, and distinguish a planning remainder from accounting profit or take-home income.

What if a client wants more support?

Clarify whether the request fits the accepted scope. Explain any separately priced option and obtain agreement before starting it. A client can decline, continue with the original service or discuss an appropriate ending under the agreed terms and applicable requirements.
